Conference Travel Grants

The GSG Professional Development Fund aims to support USC graduate and professional students in activities related to the development of skills necessary for success post-graduation. Eligibility criteria is intended to be flexible, and funds may be used for activities such as: travel to conferences, organization membership fees, and online workshops. All students who have paid the “Graduate Student Programming Fee” are eligible to apply for this fund.

The Women in Science and Engineering (WiSE) Program  provides travel grants to USC Ph.D. students or postdoctoral fellows in science and engineering departments on the University Park Campus. Support will be approved in cases where either the participation by the candidate or the subject matter of the candidate’s talk or poster serves to increase the representation of women in science and engineering. The primary goal of the program is to benefit the student’s scholarly development through participation in a professional environment.

Graduate School funded fellows may apply for a travel grant through the Graduate School. A call for nominations will be sent to Graduate School funded fellows via email every Fall and Spring term. For more information, please email  [email protected].

Travel Grants

  • Grants and Awards

Deadlines : Applications are due no later than one month prior to travel. Decisions are made on a rolling basis, and grants are awarded based on the availability of funds.

Award Amount : Award amounts vary by distance and are contingent upon the applicant’s advisor paying 50% of the student’s expenses. If a student receives additional external funds (such as travel assistance from the conference organizers), the faculty advisor must commit to paying half of the remaining expenses. (The student must also provide documentation to show receipt of other funds.) Awards amounts are: $300 for travel within the State of California, $500 for travel within the United States, and $700 for international travel. Candidates for Travel Awards are eligible to receive one award per fiscal year, contingent on the availability of funds. In the case of limited funds, eligible candidates who have not already been recipients of WiSE Travel Awards will be given preference.

Students who receive an offer for funding from both WiSE and the Graduate Student Government for the same conference  MUST choose one award.

Directions : Doctoral students and Postdoctoral Scholars should submit an online application. One of the proven ways to increase the representation of women in math, science, and engineering is to provide young scholars at the beginning of their careers with opportunities for exposure to professional research-oriented meetings. Not only are they recognized for their research, they also have the opportunity to meet well-known scientists, other students, and successful women faculty who can serve as role models.

To this end, the WiSE Program provides travel grants to USC Ph.D. students or postdoctoral scholars in math, science and engineering departments on the University Park Campus to attend scientific meetings where they will present their own work, in cases where either the participation by the student or the subject matter of the student’s talk or poster serves to increase the representation of women in science and engineering. In the case of an undergraduate student, as long as the student is a co-author of the abstract, they are also eligible to apply.

Goal:  To provide young scholars at the beginning of their careers with opportunities for professional exposure in scientific meetings, the WiSE Program will provide travel grants to USC Ph.D. students or postdoctoral fellows in science and engineering departments on the University Park Campus. Support will be approved in cases where either the participation by the candidate or the subject matter of the candidate’s talk or poster serves to increase the representation of women in science and engineering. The primary goal of the program is to benefit the student’s scholarly development through participation in a professional environment.

Eligibility:

  • The applicant must be a full-time USC graduate student or postdoctoral fellow in a  WiSE-eligible department  in the Viterbi School of Engineering or USC Dornsife.
  • Undergraduate students in the same fields are eligible to apply provided they are a co-author on the abstract.
  • Ph.D. student and postdoctoral scholar applicants must be an author on the abstract and present either a talk or a poster at the proposed meeting. (For students/postdocs in the Department of Mathematics, please contact WiSE to discuss amended requirements.)
  • Applicants may only receive one WiSE Travel Grant per fiscal year.
  • The application must be submitted at least one month prior to the proposed travel. No retroactive reimbursements will be authorized.
  • WiSE will provide the student or scholar with up to $300 for travel within the State of California, $500 for travel within the United States, and $700 for international travel, provided their advisor makes an equal contribution of support. The specified dollar amounts or 50% of the travel expenses, whichever is less, will be paid from WiSE. The advisor must pay 50% of the total meeting expenses from their research funds. Only under special circumstances may the Department pay these expenses and these requests must be approved by the WiSE Program Director in advance.
  • The advisor must confirm in writing that: a) the participation of the student at the proposed meeting is important to the student’s educational advancement; b) he or she will pay for 50% of the student’s expenses. If a student receives additional external funds (such as travel assistance from the conference organizers), the faculty advisor must commit to paying half of the remaining expenses; and c) states how participation of the student will further the goals of the WiSE Program to increase the representation of women in science and engineering. The justification should be based only on the candidate’s participation and not on the benefits to the advisor.
  • A budget for the trip including reasonable estimates for transportation, accommodation, registration fees, and per diem costs should be submitted.
  • Students who receive an offer for funding from both WiSE and the Graduate Student Government for the same conference  MUST choose one award.

Applications materials should be submitted electronically to WiSE using the online system. All documents should be in Microsoft Word or Adobe PDF format. A complete application includes the following required documents:

  • Description of the Meeting: briefly describe the nature of the meeting, the size, the format, the location, and any other relevant information.
  • Budget: provide an estimation of total expenses for attending the meeting including transportation costs, housing, meals, and conference registration fees.
  • Abstract of Presentation: provide the title and a brief description of the accepted paper or poster.
  • Letter of Support from Advisor: a letter from the candidate’s advisor that a) explains how participation of the candidate at the specific meeting is important to the student’s educational advancement; b) guarantees that he or she will pay 50% of the student’s travel expenses; and c) states how participation of the student will further the goals of the WiSE Program to increase the representation of women in science and engineering. The justification should be based only on the candidate’s participation and not on the benefits to the advisor.
  • Students receiving other forms of support most include documentation showing receipt of these funds.

Award Process:  The Travel Grant Program is administered by the Manager of the WiSE Program. Reimbursement of the award amount or 50% of the approved travel expenses, whichever is less, will take place after submission of all receipts, according to University regulations.

Applicants will be notified via e-mail as to the status of their application. The e-mail confirmation will serve as official notice of the award and should be included with the request for reimbursement. Requests for reimbursement should be directed to the student’s Home Department Coordinator and processed through the “WiSE Travel Grant Fund” in either USC Dornsife or the Viterbi School of Engineering. No money will be transacted through the WiSE Program Office.

Graduate Student Government

The mission of USC’s Graduate Student Government (GSG) is to enhance the graduate and professional student experience by serving as the face of the student body.

  • Conference & Travel Grants : Provides partial reimbursement for expenses incurred by traveling to conferences that are related to the student’s major field of study.
  • Childcare Subsidy Grants Program : Provides a limited number of awards in the amount of $1,400 to assist eligible student parents with the cost of childcare.

Access to USC Connect/Career Center

In addition to being able to attend alumni career events, postdocs also receive four, 50-minute career counseling appointments for the academic year.

Tuition Remission

All postdoctoral scholars on the Postdoctoral Scholar Benefits Plan are entitled to receive up to 20 units of tuition remission for coursework at USC (cannot exceed more than four units in a semester). If the courses that you are taking are related to your job then the tuition remission benefits are exempt from taxes.

  • Postdoctoral Scholars need to get approval from their faculty mentor and Office of Postdoctoral Affairs
  • Complete your IDP
  • Complete the Tuition Remission Form
  • Email the Office of Postdoctoral Affairs BEFORE enrolling for approval
  • Talk to your mentor/supervisor/PI and ask for approval to take a course
  • Complete your Tuition Remission Form
  • Send your completed IDP and Tuition Remission Form to [email protected] by registration deadline

Tuition Remission only covers the cost of tuition, other fees are the responsibility of the Postdoc. These fees include:

  • lab and/or access fees, readers and other course materials
  • Norman Topping Fee
  • USC Student Services Fee
  • Optional:  Graduate Programming Fee

Only medical students currently enrolled at USC Keck School of Medicine are eligible to apply for the ASSM travel funding

Each student is allowed to apply once pe r year for travel reimbursements for confer ence registration, hotel, and transportation (air, bus, car, etc) only.

Rental car costs and miles driven on rental cars are currently not covered.

If you are going to present original research at the conference (and can provide proof) then you should also apply to the GSG Travel Fund in addition to ASSM, which can give you a maximum of $500.

If you are traveling to a conference in a group, please have the group leader contact me first so that I can give you specific instructions. The maximum per student for group travel may be reduced depending on the amount of students going.

STEPS FOR TRAVEL FUNDING

Step 1 : Before you leave: Complete the  ASSM Pre-Travel Cost Estimate and any forms from the USC Field Trip Guidelines that apply to your trip.

Step 2 : Retain all original receipts for hotel, transportation, and registration. We do not reimburse for food, alcohol, taxis, car rentals, or entertainment. Note that only one student can apply for reimbursement for the cost of a hotel room per night. Also, please collect a flyer, pamphlet, or your name tag from the conference you attended so that USC Disbursement Office can ensure you attended the conference.

Step 3 : When you return: Complete the  ASSM Post-Travel Funding Request and CAREFULLY follow instructions at the top of the Google Form .

Step 4 : Fill out the Travel Expense Report and be sure to print your name along with your signature at the bottom.

Step 5 : Return the completed documents to [email protected] . It would be preferable if you could scan and submit all receipts and documents to me as ONE PDF DOCUMENT.

Please complete Steps 3 - 5 within two weeks of returning from your conference. Late requests may not be honored. Your check will be mailed to you within 1-2 months of submission.

Please realize that our funds are extremely limited. We highly encourage you seek out additional funding sources such as the GSG Travel Fund , specific departments, administrators, and student groups in order to cover your costs if they are higher than the ASSM maximum.

Reimbursement Instructions for Travel Grant Recipients

If you have been selected to receive a grant for travel expenses to attend an event at the USC Viterbi School of Engineering, please read the following information carefully.

Travel grant awards are issued in the form of a reimbursement after the event. You are responsible for making all travel arrangements and submitting original or digital receipts, card statements, and boarding passes (if applicable) for reimbursement. The travel grant will reimburse you for approved travel expenses up to the amount specified in the award notification. Additionally, t he purchase of travel insurance is not reimbursable without prior approval from SBO. T he University under no circumstances will reimburse any first-class, business-class, or premium economy tickets. To be clear, the University will only approve and reimburse an economy-class ticket.

Prepare Reimbursement Documents

In order to receive a reimbursement, please prepare the following documents:

  • Travel Reimbursement Form (PDF)
  • Travel Expense Report (PDF)
  • Receipts of all travel transactions (must include the vendor name, date of purchase, service/goods rendered, total amount paid, and payment method)                                                                          ***Please ensure you submit ITEMIZED receipts for all charges.
  • Boarding passes (if applicable) – can be a screenshot of mobile boarding pass, paper boarding pass or picture/scan of paper boarding pass; must match itinerary in receipt/flight confirmation
  • Proof of purchase (credit card or bank statement) – charges must match the amount on receipts. If someone paid for any travel transactions on your behalf, please also submit written confirmation from the cardholder/purchaser that they will not be pursuing individual reimbursement from USC (can be a forwarded email from purchaser) and copy of cardholder/purchaser’s bank/card statement showing the exact charge amount.

International Visitors (Traveling from Mexico and Canada)

In addition to the documents listed above, please also submit the following:

  • Copy of passport
  • I-94 (OR copy of visa in passport)
  • Non-Employee Short-Term International Visitors Questionnaire

All of these documents are required to process the reimbursement. Missing receipts and payment confirmations will result in a hold on travel reimbursements.

Submit Reimbursement Packet

You are responsible for making all travel arrangements and submitting original or digital receipts, card statements, and boarding passes (if applicable) to our office for reimbursement no later than 15 days after the event .

In the subject line please input: "Graduate Travel Grant-(Your Name)"

You will receive a mailed check at the address indicated on the Travel Reimbursement Form two to three weeks after your reimbursement is processed. Failure to submit all required documents in a timely manner will cause a delay in processing. Prolonged delay in submitting materials will result in cancellation of the travel grant reimbursement offer.

Conference Travel Award

GSG is proud to present this one-of-a-kind conference travel award to the graduate students of University of Cincinnati. The GSG Conference Travel Award is provided to financially assist graduate students in presenting their research at an academic conference, and/or attending a research conference to develop their professional skills. General Guidelines

Instructions on applying for this award is divided into two major parts: Before Travel and After Travel . Review both parts completely in order to make a successful submission.

Award Amounts

Students are eligible to apply for the following maximum amounts of award in one fiscal year ( July 1st to June 30th ). You can either apply for the whole amount once or divide amongst multiple conferences. The higher amount is maximum for an FY, no matter how many or what type of conferences you attend.

Note the following maximum eligible award amounts for non-CEAS and non-CECH graduate students :

  • $800 for presenters.
  • $300 for non-presenters.

Note the following maximum eligible award amounts for CEAS graduate students :

  • $1600 for presenters ($800 from GSG and $800 from CEAS).
  • $600 for non-presenters ($300 from GSG and $300 from CEAS).

Note the following maximum eligible award amounts for  CECH School of Criminal Justice graduate students :

  • $1800  for presenters ($800 from GSG and $1000 from CECH).
  • $1100  for non-presenters ($300 from GSG and $800 from CECH).

Note the following maximum eligible award amounts for  CECH School of Education graduate students :

  • $600  for non-presenters ($300 from GSG and $300 from CECH).

Note the following maximum eligible award amounts for  CECH School of Human Services graduate students :

  • $2400  for Doctoral presenters ($800 from GSG and $1600 from CECH).
  • $1600  for non-Doctoral presenters ($800 from GSG and $800 from CECH).
  • $600  for all non-presenters ($300 from GSG and $300 from CECH).

Note the following maximum eligible award amounts for  CECH School of Information Technology graduate students :

  • $2400  for presenters ($800 from GSG and $1600 from CECH).

Important Note

All awards given will be  upto  the maximum allowable award amounts. Final award amounts will by decided by GSG and individual colleges for their respective portions, which will depend on availabilty of funds amongst other factors.

Application Approvers

You will need two approvers to sign off on your travel award application before GSG can process it. These two approvers are:

  • Your Research Advisor or Department Head (You can find contact information about your Department at  Graduate College Contacts  webpage).
  • Your GSA President or Treasurer (You can find contact information about your GSA officers on our webpage:  GSG Member groups ).

To be eligible to apply for this award, you

  • Must be a graduate student matriculated within the University of Cincinnati (UC).
  • Must have earned 12 credit hours before the start of conference.
  • Must be a graduate student in good standing, meaning you must be enrolled at least for 1 credit hour during the academic year.
  • Must not be graduated for more than two weeks before the start of the conference.
  • Must be a registered member of GSG and your affiliated GSA on GetInvolvedUC (campuslink.uc.edu).
  • Presenters:  Must be presenting original research either via a paper/poster/art presentation, or a keynote/talk. If multiple authors are attending the conference to present the same work, only one author (higher in author order) will be considered as presenter for this award. All other others will be considered non-presenters. 
  • Non-Presenters:  Must be attending a purely research-related academic conference where others present their original research.

You are ineligible to apply for this award if

  • Your conference travel is supported by departmental and/or an advisor’s external grants (including but not limited to federal, state and local government or industry grants awarded externally to UC), or if you are traveling to a conference as an employee of such grants.
  • You are attending summer schools, career workshops/panels, networking workshop, auditions, career fairs, job interviews, or any non-research related conferences. No exceptions .

Before Travel

Fill out this Travel Authorization Form  at least one week before traveling. This is a university-required document that needs to be approved/signed by GSG Treasurer before traveling. When you complete filling the form, further instructions will be sent to you via email.

  • Travel Authorization (TA) form is required if you are staying at least one night away from UC for academic purpose. When in doubt, it’s always a good idea to fill it out before traveling.
  • For international travel, forward the signed TA form immediately to UC International and check if need anything else.
  • If you cannot produce a signed TA form while submitting your award application, your application will be denied by default . 
  • Only accepted TA form is the one approved by GSG, since GSG is the sponsoring organization for this award. Other TA forms signed by your advisor or department business admin will not be accepted.
  • Please note that an approved TA form doesn’t guarantee travel award. It is just a UC-required document to have your academic travel on record.
  • Also note that this is not the travel award application, rather just a part of it.

After Travel

After you have traveled and have all documents with you (including the GSG approved pre-travel TA form), it is time to apply for the GSG Conference Travel Award . The application includes clear and explicit instructions where needed. If you are still not sure about something, please don’t hesitate to reach out to the GSG Treasurer ([email protected]).

IMPORTANT : UC requires any travel-related reimbursement applications be submitted within 14 days of last day of travel. Apply for the award accordingly, any applications not following this UC deadline will be denied by default .

Required Documents

GSG Conference Travel Award application requires following documents in the order (1-8) prescribed below. These details are also available on the application. Failure to produce all documents will result in unnecessary delay of award, if not desk-rejection.

You will need to upload a single PDF (under 5 MB) containing following documents. All documents must be clearly legible. Pay special attention to required highlights/annotations. After highlighting something, make sure underlying text is legible.

Name the PDF using this convention: FirstName_LastName_SubmissionDate. For instance, Jane_Bearcat_12-25-2023 . Documents must be in the below order:

  • All receipts must be in English, no exceptions. UC does not reimburse expenses presented in foreign languages. 
  • If expense is in a foreign currency, make sure abbreviation/symbol (e.g., USD/$) is mentioned.
  • Highlight your name (if available), date of transaction, amount, last four digits of credit/debit card used (if applicable).
  • This could be a monthly statement from your card company, or individual charge proofs that can be downloaded. When using the whole statement, highlight the expense(s) in question, and please redact everything else. 
  • This document should clearly mention your name, date of transaction, amount, last four digits of credit/debit card that appeared in the receipt(s).
  • If you have a shared expense with a colleague, include a Peer-to-peer (P2P) transfer proof, such as Zelle/Venmo/Paypal transfer.
  • Term bills can be found on your Catalyst account.
  • If conference was during summer and you aren't required to register during summer term, upload the prior spring term bill. 
  • Unofficial records can be generated on your Catalyst account.
  • Highlight the number of credits  earned  to-date.
  • Such an email is usually sent by organizers after you are research gets picked for presentation.
  • If you are a non-presenter, include a confirmation/welcome email from organizers.
  • Include the title page and page(s) from the program brochure with your name on it. Highlight your name and presentation title. DO NOT include the whole program brochure.
  • As an option, you can include certificate of attendance from the conference, or a picture of yourselves presenting.
  • You should have this document approved pre-travel from GSG (GSG Treasurer). If you do not have a pre-travel approved TA form from GSG, your award application will be denied by default .
  • This document is required by CEAS for the additional financial support they provide. This could be filled and signed after travel. CEAS Travel Request form can be found  here .
  • If you are a CEAS Non-Presenter applying for additional support provided by CEAS, you need to obtain a signed "Letter of Support/Recommendation" from your research advisor stating the importance of why you needed to attend this conference. 
  • This letter could be a couple of paragraphs. It needs to be addressed to CEAS and also needs to be signed.

Ineligible Expenses

UC, and hence GSG, cannot reimburse following expenses:

  • Food/Per Diem when you are traveling on conferences
  • Airline Baggage Fees
  • Membership Fees/Dues of the organizers' professional bodies

After Submission

You will receive a confirmation email (with a submission PDF) within 30 minutes after you submit your form. Along with this, both of your approvers will also receive emails with unique approval links. Please ask them to review and approve your application as soon as they can.

It would help if they add <[email protected]> to Safe Senders list as well. If not, they might find approval emails in their Junk Email folder. GSG will automatically send your approvers reminder emails every 3 days to help you out.

For CEAS and CECH students:  Your approved application will be forwarded to your respective colleges and you will be notified of the same. No further action will be required by you at the time, and your colleges will reach out to you in case they have further questions.

Reimbursement Time

After you receive both signatures and if all required documents are in order, it will typically take 5 weeks for the award funds to show up in your account or mail.

For CEAS  and CECH students: Reimbursement time for you will typically be 8 weeks , as approval and processing from further offices is required.

Terms And Conditions

When you submit your application, you agree to below terms and conditions by signing your full legal name.

  • No awards are guaranteed. Final approval depends on budgetary restrictions, and the decision solely lies with GSG.
  • Falsifying data on application will lead to denial of application.
  • Failure to produce pre-travel GSG approved TA form will lead to denial of application.
  • Failure to submit travel application within 14 days of last day of travel will lead to denial of application.

The travel grant offers three funding tiers. Tiers are assigned based on average scores and final placement in applicant pool. 

The number of awards allocated per month varies based on applicant pool size and budget. 

  • TIER 1 This application is excellent and should be funded at $750
  • TIER 2 This application is good and should be funded at $500
  • TIER 3 This application meets criteria and should be funded at $250
  • TIER 4 This application is poor and should not be funded

Before Applying

Review Eligibility Requirements

  • Applicants must be presenting Purdue research at the conference (oral, poster, etc.)
  • Purdue graduate students may only submit one application per semester.
  • Purdue graduate students may only receive one award per fiscal year (Summer – Spring)
  • Incomplete applications will not be considered for funding, so double-check completion prior to submission.
  • Applicants must use their Purdue email when submitting, failure to do so will result in a ineligible application.

  • Proper documentation must be submitted for full reimbursement.

Steps to complete your application

1. WRITE APPLICATION ESSAY

Essay Prompt

In 500 words or less (excluding title), please describe your research and the importance of attending this conference. Please keep in mind that someone outside your field will most likely review your application; thus, write for someone who might not be familiar with your subject area (i.e., jargon-free).

Essay Rubric  

Your essay is the only component of the application that is used for scoring. Travel Grants are competitive and applicants are expected to thoroughly address each criterion. Please pay careful attention to the rubric provided below to ensure the best possible outcome.

  • Applications that are not formatted correctly will be docked 1 point on the final evaluation.
  • Your advisor’s name
  • Collaborators’ names
  • Lastname_Firstname_TravelGrant.docx
  • Essays that are not named correctly will be docked 1 point on the final evaluation

2. ASK ADVISOR/MAJOR PROFESSOR TO CONFIRM TRAVEL PLANS

You must have support from your advisor/major professor to present your research. Ask your advisor to confirm their approval by emailing the Travel Grant Vice Chair . The email must include:

  • The name of the conference or event
  • The date and place of the conference or event
  • A statement that your advisor supports your attendance to that conference or event

Your advisor’s statement must include all of these components and be sent to  [email protected]  by the application deadline.

3. SUBMIT YOUR APPLICATION

When you have completed the above steps, submit your application through this online portal. 

After Application

After completing the application, the survey will provide you with a pdf of your responses. It is the applicant’s responsibility to double-check the completion and accuracy of your responses.

7 Must-See Attractions in Perm

Perm Opera and Ballet Theatre

When you hear “Perm”, you probably think of an embarrassing hairstyle from the 80s. It might come as a surprise then that Perm is also the last city on the European side of the Ural mountains, and a place very much worth visiting. When you find yourself there, here are the attractions you absolutely cannot miss.

1. permyak salty ears.

This is the main symbolic landmark of the city. It is a sculpture consisting of an oval frame with big ears and a figure of a photographer taking a picture of it. The region is rich in minerals and in the past it was a very important salt mining location. The workers of salt mines would carry big bags full of salt on their backs. The salt would spill on their ears, making them big and red. Salt mining became so interwoven with the identity of the region that all of its inhabitants started being called Permyak’s Salty Ears. Now everyone can become one in one of the central squares of the city.

One of the culture ministers of Permsky Krai once called it a cultural capital of the universe. While it might be a little bit too exaggerated of a statement, Perm is indeed a place of unexpected cultural gems. PERMM Museum of Contemporary art is one of them. It holds temporary exhibitions and also hosts festivals, lectures, workshops and performances. It is the only contemporary art gallery of this kind outside of Moscow and St. Petersburg.

3. Museum of Permian Antiquities

Perm-36 was one of the better-known forced labour camps in Russia. Political prisoners were kept here until the 1980s. It is also the only GULAG in Russia that was turned into a museum. The museum was founded by Memorial, an NGO devoted to helping the victims of Soviet political repressions. Since its establishment, the museum has constantly been at odds with the local authorities, who are perpetuating the pro-government version of history. The museum was closed in 2015 but has reopened now, with a slightly more apologetic administration in place. It is still a place very much worth visiting, another must-see to put on your list.
