How Should I Safeguard My Passport When I Travel Abroad?

Traveling outside of the United States can be an amazing experience. However, any time a passport is involved, you can feel some anxiety.

Some airports are experimenting with biometrics making it possible to travel abroad without physically bringing your passport . But for now, the physical copy matters.

When you’re outside the country, you may start to feel the importance of protecting your passport. You don’t want to lose it or have it stolen. But what’s the best way to protect it when you’re on a trip?

That’s what a listener of the  Clark Howard Podcast  recently asked.

How Do I Protect My Passport When I’m Outside of the United States?

What do I do with my passport to keep it safe when I’m traveling outside of the United States?

That’s what a Clark listener asked.

Asked Patrick in Wisconsin: “I would like to know what Clark recommends we do with our passports when traveling abroad. We have a trip coming up and were wondering what the best ideas are. “Should I carry it around? Should I leave it in the hotel (makes me nervous)? Zippered pockets? How about a passport holder?”

You don’t ever want to lose your passport or get it stolen while you’re out of the country. But there is something you can do even before you leave for your trip to protect yourself just in case the worst happens.

“Always take a picture of the key pages of your passport and store them in whatever photo storage app you use,” Clark says. “Because if your passport vanishes — you lose it, stolen, whatever — having that page makes it much easier to get an emergency-issued passport. “I always use the hotel safe. We’ve had people who have said it was stolen out of the hotel safe. But I think the much greater danger that we’ve heard from years of experience is that you get pickpocketed or mugged. So I don’t like carrying it around.”

What if You Don’t Want To Leave Your Passport in Your Hotel?

If you feel uncomfortable leaving your passport in your hotel, consider a secure pouch that you can wear around your neck or waist.

That’s better than keeping it in a backpack or your pocket.

“If you feel more comfortable carrying it around, you can go to Target or go online to Amazon or Walmart+ or wherever,” Clark says.

“And you can get these various pouch kind of things that you either wear around your waist or you wear around your neck and you push it down in your clothing. And you can have your passport in there.”

Final Thoughts

Keep a photo of your passport, especially the important pages, in your favorite photo storage app. That way even if something happens to your passport, you can find a way to get an emergency replacement.

If you don’t want to leave it in your hotel in a safe, try to buy something secure with a zippered pouch that you can wear tight against your body.

Requesting a Refund for Expedited Service

If you paid the $60 fee for expedited service when you applied and you did not receive expedited service, you may be eligible to  request a refund  of this fee. We cannot refund any other passport fees or your travel expenses if you miss your trip.

Non-Refundable Fees

We cannot refund the passport application fee and the execution fee. By law, we collect both fees and keep them even if a passport is not issued.

Officials at the visa application center and/or embassy of the Schengen state you have applied to will process your Schengen visa application . This usually takes around 15 days, but processing time can sometimes take up to 30 days, or 60 in exceptional cases.

You can track your Schengen Visa application via the embassy of the country you applied to by contacting them, or going online, either via their website or the website of the outsourced visa application center you have applied to.

Tracking your visa application via VFS Global

All Schengen states outsource the processing of visa applications in many countries, with the firm VFS Global operating a network of visa application centers in countries including China, the U.S., and India, where you will submit your application, supporting documents, and provide biometric data. Another firm that handles visa applications is TLScontact. If you applied for your Schengen Visa at a TLS application center, then you can use the online tracking tool on their website ( tlscontact.com ) to track your Schengen Visa application. To obtain information about your status, you will need to log into the TLS account you set up when you made your initial application.

Greece’s official visa applications partner - although they do not act for them in all countries - is the firm Global Visa Services. You will need to input an application ID and your date of birth to obtain this information.

Should I worry if my visa application tracker says it is still being processed after 15 days?

No, you should not. Although visa applications usually only take around 15 days, they can take up to 30 days if embassies and visa application centers are busy - and can take up to 60 days in some circumstances.

Once your application has been processed you will be asked to collect your passport from your visa application center. If you’re lucky - certain countries offer a passport courier service to deliver it back to you.

You should contact the embassy or consulate for an update - especially if you have waited a long time for your application to be processed.

How to Protect Your Passport While Traveling

Pro tips for keeping essential travel documents safe in transit.

Nothing spoils an international vacation faster than misplacing a passport.

You've packed the perfect carry-on . You've armed yourself with tech-savvy travel accessories, plenty of cash, an up-to-date passport and photocopies of crucial travel documents (your driver's license and flight tickets). Yet, despite taking these precautions, you're still vulnerable to pickpockets, water damage and losing your passport in a foreign country . And let's be honest: Nothing spoils an international vacation faster than misplacing a passport. After all, a passport is your key to crisscrossing the globe; without it, you'll need to get a replacement from the nearest U.S. embassy or consulate (or passport-processing location in the U.S.), and you'll be stalled from jetting off to new countries or returning home. So, on your next getaway, safeguard your passport by following these expert-endorsed strategies.

Pay Attention to Your Surroundings

When it comes to ensuring your passport stays protected while traveling, the key is staying aware of your environment, says Michelle Bernier-Toth, managing director of overseas citizen services for the U.S. State Department’s Bureau of Consular Affairs. "I'm not sure anything is absolutely foolproof," she cautions, but carrying a passport card or copy of your passport can help, along with utilizing extra tools, such as a money belt or a concealed pouch containing a passport and cash or a credit card. In some countries, including Russia and China, "it's the law that you carry your passport," she explains, and while there's no tried-and-true method for ensuring your passport is out of harm's way, keeping it concealed underneath your clothing or in an inconspicuous pouch is a smart idea.

"In countries where you're not required to carry your passport , we recommend locking it up," Bernier-Toth adds, noting it's wise to use a hotel safe and keep your suitcase protected with a travel lock while you're away from your room.

Make Multiple Copies

Sure, it may seem like a no-brainer to stow away copies of your passport in different compartments of your carry-on or even different pieces of luggage. But according to Tom Spagnola, senior vice president, supplier relations at CheapOair, beyond ensuring you have extra copies of crucial documents, you should "always make sure a friend or a family member has a copy." That way, if you do misplace a passport while traveling internationally, you can easily access need-to-know information from trusted allies at home to expedite the process of replacing your passport. He also ensures he has a copy of his driver's license on him while traveling abroad, as an additional form of identification.

Stay Consistent

An easy way to minimize your odds of losing your passport is following smart travel habits . You should always keep your passport in the same place while traveling, says Carol Margolis, the founder of Smart Women Travelers, a website for female travelers that offers recommendations for optimizing safety while traveling. Her method: keeping her passport shielded in a passport cover inside a zippered pocket within her laptop tote. "When I’m at my destination and touring a city, I have a waistband holder for my passport that I wear under my shirt," she adds. When it comes to keeping your passport out of sight while traveling, Margolis says to have it near you at all times, and she cautions against keeping it in a checked bag – or in a carry-on stowed away in an overhead bin. "And keep it in good condition, as damaged passports (ripped pages, tears, stains) may not [get] you into a country," she adds.

Use a Strategic Location

Instead of digging into your back pocket for your passport and praying thieves don't identify you as an unsuspecting target, keep your passport in an easily accessible front pocket or undercover belt, Spagnola says. And when retrieving your passport, make sure you're in a private place to deter lurking pickpockets, he says. If you're traveling to a tourist-heavy destination, Spagnola also recommends blending into a large group and avoiding putting your passport, money, credit cards or any valuable items in a purse, or laptop bag, which can easily be snatched. He cautions that it's essential to understand the culture of the country you're visiting before venturing outside your hotel or resort, where you can easily expose yourself as a tourist. And if your passport is lost or stolen, file a police report immediately and alert the closest U.S. embassy or consulate, Bernier-Toth says. Then, you can take the appropriate steps for declaring a missing passport and arranging an in-person appointment to receive an emergency passport.

Aside from keeping your passport out of sight, it's also important to conceal it from the elements, as passports with significant water damage, particularly on the personal information section and cover, can be deemed no longer valid. "If you're going to be in a zone where a hurricane is bearing down, use a waterproof pack," Bernier-Toth says.

Know When You'll Need a Passport

If you do misplace or lose your passport while traveling abroad, you will need to get a replacement to get through airport security and customs. "In general, it is not possible to travel internationally [without a passport] at least by air, " Bernier-Toth explains. Still, carrying another form of identification, such as a Global Entry or NEXUS Trusted Traveler card, can help verify your identity and make the process smoother. And in some cases, such as entering and exiting Canada by land or sea, you may use a passport card, a NEXUS card, a passport or another approved document, including an enhanced driver's license, a state-issued ID card which offers proof of U.S. citizenship. Being aware of when you need various documents will make international travel easier to manage.

On April 24, 2024, the White House established new rules for airlines , mandating automatic and timely refunds for passengers whose flights had been changed, delayed or canceled . Trip cancellation

If your trip is canceled for a covered reason, a policy will often reimburse airline tickets, hotel rooms, rental cars, tours, cruises and other prepaid, non-refundable expenses. Covered situations can include illness or injury, the death of a family member or traveling companion, job loss, military deployment and even unplanned jury duty, according to Allianz's Daniel Durazo.

Cancellations can also be covered if a natural disaster, severe weather or airline strike prevents your carrier from getting you to your destination for at least 24 hours.

CFAR plans provide a lot more flexibility and typically reimburse 50% to 75% of your expenses. But they can bump up the cost by about 40%, said Durazo. Policyholders are also still usually required to cancel no later than 48 hours before their scheduled departure. 

Trip delay 

Should you experience a hiccup in your plans, your policy can provide some relief: Food, lodging and local transportation are usually covered if a delay is due to severe weather, airline maintenance or civil unrest.

"For a traveler to be eligible, they must be delayed for the minimum amount of time listed on their policy," said Squaremouth spokesperson Megan Moncrief. "Some policies are very lenient and provide benefits for any length delay, while others list a length requirement — usually somewhere between three to 12 hours."

Daily payout limits range from $150 to $250 per traveler, according to Moncrief, while the total policy limit can be anywhere from $500 to $2,000. Save any receipts to submit with your reimbursement claim.

Trip interruption

Should you need to cut your trip short due to illness or injury, or if there's a family emergency back home, your policy may reimburse non-refundable expenses you forfeited.

It may also cover the cost of a one-way economy airline ticket home.

Baggage loss

Airlines are required to compensate passengers for luggage lost in transit, but a travel insurance policy may have a higher benefit limit. It could also cover you if your bags, passport or other possessions are lost, damaged or stolen once you've gotten to your destination., The Platinum plan from AXA Assistance USA has a $3,000 benefit limit for lost luggage, well beyond the $1,700 that airlines are required to provide on international flights. AXA has offices in more than 50 countries, with multilingual operators available 24 hours a day to help reschedule flights, book hotels and make other arrangements.

AXA Assistance USA Travel Insurance

AXA Assistance USA offers several travel insurance policies that include travel interruption, trip cancellation, and the option of cancel for any reason (CFAR) coverage.

Travel insurance doesn't cover every loss: Cash is not reimbursable and many policies won't reimburse for expensive jewelry or heirloom items. Read your policy carefully to see what is included.

Medical expenses and emergency evacuation

If you travel within the U.S., your health insurance should cover any illness or injury you sustain. If you're traveling abroad, though, your plan may provide little or no coverage. The right travel insurance should cover doctors' fees and hospital bills, Durazo said. 

The provider can also help coordinate care and ensure you're at a medical facility that's up to U.S. standards.

An emergency medical evacuation can cost anywhere from $15,000 to over $200,000, Durazo added.

New airline regulations in April 2024

The Biden administration announced on April 24, 2024 , that it had finalized new rules requiring airlines to issue cash refunds to passengers if their flights were canceled or significantly changed, their checked luggage was significantly delayed or if purchased services, like Wi-Fi, were not provided.

Refunds must be automatic and made via the same form of payment as the original purchase. Travelers must be reimbursed within seven business days if the refund is going to a credit card. (Other forms of payment can take 20 calendar days to be reimbursed.)   The new Department of Transportation regulations also require airlines and ticket agents to disclose upfront any fees for changing or canceling your reservation, seat selection, checked bags or carry-ons. The Biden administration has targeted junk fees across numerous industries, including credit card companies. It said the rule will help consumers avoid unneeded or surprise charges that can quickly add up and obscure the real cost of a seemingly inexpensive ticket.

A travel insurance policy typically costs between 4 and 10% of the overall price of your trip. The cost can vary:

  • Plans with higher limits and more optional coverage cost more.
  • A plan with a CFAR benefit can cost up to 40% more.
  • Older travelers typically pay more because there's more of a likelihood of a claim being filed. 

Whichever plan you choose, read the fine print so you understand what you're paying for.

While regulations on airlines are becoming increasingly stringent about reimbursing travelers for delayed or canceled flights, that doesn't do you any good if it wasn't the airline that put a kink in your plans. Travel insurance covers numerous scenarios, from medical emergencies to tropical storms. It could be particularly useful if:

  • You've spent a lot on prepaid, non-refundable expenses
  • You're traveling internationally where your health insurance won't apply
  • You're traveling to a remote area
  • Your flight involves multiple connections or destinations

"When deciding if travel insurance is right for you, ask yourself how much you could stand to lose if you had to cancel at the last minute," said Godlin.

We found we were able to fit all of our essentials with space to spare. 

One of our favorite features was the included pen, perfect for filling in immigration documents on the go. This does add to the overall size and bulk of the holder, though, which means we’d be unlikely to use it as our everyday wallet (we found it difficult to fit into a small backpack compartment). However, after testing, we can confirm that the quality is extremely high, with a buttery feel, perfect stitching, and a sturdiness that suggests this is a one-time investment that will last many years. The wallet comes in a rainbow of colors from lavender to tan or turquoise, and for an additional fee you can have yours monogrammed, change the thread color, or add RFID blocking. 

More than a passport holder, it’s really a slim, elongated wallet with space for all your essentials. We loved the all-in-one nature of this holder, which we found could even fit a phone or slimline Kindle. You could use it on its own or fit it into a medium-to-large purse or backpack. The organization is intuitive and we appreciated the sense of security offered by the zippered section and button latch.

What to Look for in a Passport Holder

Intended use.

Passport holders fall into two main subcategories: simple protective sleeves that act as a weather- and spill-resistant cover for your passport only, and wallet-style holders that typically provide space for other essentials as well. Which is the better choice depends on your personal preference. If you already have a trusted carry-on, purse, or backpack to conveniently store the rest of your travel necessities and purely want to keep your passport in tip-top condition, a protective sleeve may be all you require. However, a wallet-style holder lets you keep everything in one place and may allow you to streamline your packing so much that you can use it as your primary personal item or carry-on.

Passport holders come in a variety of fabrics: most usually leather, faux leather, or polyester. Whichever you choose, look for quality materials built for long-lasting durability with reinforced seams and straps (if applicable). Leather is often perceived as the sturdiest and most stylish option, but can be expensive. There are good plastic-based, faux leather options out there that offer the same aesthetic for a fraction of the price while also scoring better in terms of sustainability and animal ethics (depending on their construction). Passport holders keep precious documents protected and secure while traveling. However, be prepared to remove the passport from its case or cover when presenting it to customs officials.

Many passport holders do more than hold a single document. They contain extra slots and pockets for credit cards, IDs, cash, credit cards, and/or vaccination documents. You may find better peace of mind knowing that all your important documents are stored in the same place.

Many passport holders help store the document discretely and away from  pickpockets’ sticky fingers . If you’re opting for a passport cover instead of a holder, plan to keep your passport in a difficult location for thieves to access. For example, if you carry it in your purse or a backpack, zip it into an internal pocket. Don’t carry it loosely or in an external bag pocket.

You should also keep backup copies of your passport’s identification pages. You can do this by taking pictures of the pages with your smartphone or photocopying hard copies. If you keep a hard copy, store these documents separately from your passport. Don’t keep them with the original in your passport holder.

Apply for a passport book , opens a new window and/or a  passport card , opens a new window at the cupertino , los altos , or milpitas libraries. coming to gilroy and saratoga libraries by fall 2024., by appointment only., services offered.

  • First-time passports.
  • Replacement of  lost, stolen, or damaged , opens a new window  passports.
  • Passport Photo Service, described in section 5 below.
  • Renewal of passports issued before applicants were 16 years of age.
  • Renewal of expired passports issued more than 15 years ago.
  • Other types of renewals are not offered by the Library, and you may use directions at the U.S. Department of State's " Renew my Passport by Mail , opens a new window " webpage to apply for renewal by mail.  Please also note that the Library does not accept visa applications.

Routine or Expedited Options*

  • Routine Service : Averages 6-8 weeks processing time only, following the appointment.
  • Expedited Service , for added fees (see section 6 below): Averages 2-3 weeks processing time only.

Book an Appointment

Review all passport application requirements before booking an appointment.  Please arrive 10 minutes early with your ID, payment, and all required documents.  Arriving to your appointment more than 10 minutes late may forfeit your time slot.  A separate appointment is required for each passport applicant.

Please Note:  At 12am midnight a new day of appointments becomes available at the end of the 60 day booking window. At times, all appointments within the 60 day window are booked. Dates with no more available times are greyed out and have no link. If no appointments are available, please check back after midnight.

Passport Application Requirements

Applicant must be present. bring the following items to your appointment:.

DS-11 Application Form , opens a new window

Completed but NOT signed. Typed or handwritten: black ink only. Single-sided printed forms only.

For children, see also section 7, below.

Evidence of U.S. Citizenship Bring ONE of the following.  Bring the original/certified copy AND a black-and-white photocopy: U.S. Birth Certificate , opens a new window , or U.S. Passport (fully-valid, undamaged, may be expired), or Consular Report of Birth Abroad, or Certification of Birth, or Certificate of Naturalization, or Certificate of Citizenship.

The document and photocopy must satisfy the U.S. Department of State's “Provide Evidence of U.S. Citizenship” and “Bring a Photocopy of U.S. Citizenship Evidence” , opens a new window requirements.

If you do not possess any of the documents listed above, please read the U.S. Department of State's Citizenship Evidence , opens a new window page.

The documents you submit will later be returned to you by the U.S. Department of State after you receive your passport.

Identification (ID) Bring a valid ID (original copy) AND a black-and-white photocopy of the ID. The ID and photocopy must satisfy the U.S. Department of State's “Present ID” and “Bring a Photocopy of ID” , opens a new window requirements.

Passport Photo

Bring one photo OR the library passport office can take your photo for $12. Please adhere to the U.S. Department of State's Passport Photo , opens a new window requirements.

The Library's Passport Photo Service:

  • $12 fee for a set of 2 photos (payment method described below in section 6).
  • Children must be able to stand still and unassisted (exception: wheelchairs) to be eligible for the Passport Photo Service.
  • Photo service is available as part of a passport appointment. Photos are not available as a walk-in service or outside of a passport appointment.

For Children
