Your insurance requirements while on exchange

UCD students who are selected to participate in outbound mobility and international internships must have appropriate travel insurance in place. This is in line with the recommendation of the Department of Foreign Affairs and is a requirement of Erasmus Programme guidelines. 

When purchasing your travel insurance policy, familiarise yourself with the coverage, terms and conditions and point of contact. It is also important to consider your insurance in relation to the COVID-19 pandemic as it differs from company to company. Make sure that your policy is valid for the entire period of your stay abroad.

Health insurance

Private health insurance is insurance that helps cover all or part of any medical and hospital costs incurred. Other benefits may also be provided as part of your policy.

Travel insurance

Travel insurance can cover you against losses such as damaged or delayed luggage, cancelled flights, delayed or missed departure, loss or theft of money or passport, and emergency medical expenses associated with illness or injury. You may not be able to claim if you have not filled out your medical information truthfully.

UCD requirements

In accordance with  UCD’s exchange programme terms and conditions  (please see point 13), and in compliance with the  recommendations of the Department of Foreign Affairs  and the Erasmus programme guidelines set out by the European Commission in Brussels, you will be required to take out a travel insurance policy to cover you while you are abroad.

To ensure that you are adequately covered while travelling, UCD requires all students participating in our exchange programme to have adequate travel insurance. This includes students studying within and outside Europe. When purchasing insurance please ensure that it covers the criteria outlined below. If you have already purchased insurance, please check your policy to ensure it covers the minimum criteria as listed.

Travel Insurance policies typically cover items such as emergency medical expenses, medical repatriation costs, costs associated with delay or curtailment of travel, and loss or theft of personal items. The level of cover provided differs from policy to policy, with increased levels of cover typically costing more. Students should note that travel insurance policies generally do not provide any cover for medical costs associated with the treatment of pre-existing illnesses. If you suffer from an illness that may require medical attention when abroad you may need to disclose this to your insurer - check the terms and conditions of your policy.

If travelling within the EU/EEA

If you are a resident in Ireland and are going on exchange within Europe, you must apply for an European Health Insurance Card (EHIC). Further information on the application is available on the  HSE website . 

The EHIC provides you with basic healthcare in another EU or European Economic Area (EEA) state for free, or at a reduced cost but you must carry the card with you. The EHIC entitles you only to the state-funded healthcare scheme in the country which you are visiting, and few countries will pay the full cost of healthcare for people who have a card, so you may have to pay for some of the services yourself. 

Purchasing adequate travel insurance will ensure that any of the costs involved in transporting you back to Ireland will be covered as these are not included in the basic EHIC cover.

  • If you are arranging through a different policy, please ensure that you are covered for the minimum conditions as listed above
  • The full duration of your exchange should be insured
  • If you have a pre-existing condition, you should declare this when arranging cover, as otherwise your insurance may be void if you need to claim for that condition
  • Check the  DFA website  regularly for updates on restrictions on travel to your destination; follow their  Twitter  account
  • Familiarise yourself with your policy document and the claims procedure, including any excess payments which you may need to pay upfront.

The Department of Foreign Affairs recommends that all students going abroad should be covered by comprehensive travel insurance policies. Under the new Erasmus programme and UCD’s Terms & Conditions of Exchange, all students going on exchange are required to take full responsibility to ensure they are adequately insured for the purpose and duration of their stay abroad.

Your travel insurance covers only those medical costs that will get you fit and well enough to travel home, it does not cover any long-term treatments that might be required when you get back. If you have an injury while abroad and need medical treatment in-country that will be covered, but if follow-up treatment is required on return to Ireland, you would need to be covered under your own health insurance. This is one benefit of having both.

You cannot rely on the healthcare cover provided by the EHIC as this may be quite limited. The EHIC does not cover repatriation, illness, an accident abroad, cancelled/delayed flights and the loss/theft of luggage, personal belongings or money which can incur extra travel and accommodation costs.

As you are participating in a UCD Exchange Programme, UCD needs confirmation that you have appropriate travel insurance cover in place should an emergency arise while you are abroad. You will be responsible for liaising with your insurance provider in relation to confirming cover and submitting claims. UCD holds your policy details for reference purposes only.

UCD will request you to complete a form before you depart on exchange with your policy information. We will email you information about this form.

No, International SOS provides 24/7 support if you need help in any situation.  They can advise and guide you but they cannot pay for any medical or other expenses - this must be done through your insurance provider.

The Department of Foreign Affairs recommends that all students going abroad should be covered by a comprehensive travel insurance policy and, in the case of EU citizens travelling to an EU destination, hold an EHIC . University of Galway requires you to follow this advice.

There are therefore two requirements here for students going to EU countries:

  • A European Health Insurance Card (EHIC) is essential for every EU citizen travelling to another European country; as a student, it entitles you to necessary healthcare in the public system of any EU/EEA member state. The EHIC provides for basic health cover, but what constitutes basic cover may vary from one country to another, and in some cases the patient will be required to make a contribution to the costs of care in the public health system, so it’s advisable to check the website www.ehic.ie to get precise information on the different countries. You can also apply for the card via that website. One card is needed for each individual or member of a family. You don’t need to send us a copy of your EHIC, but by signing the Erasmus grant agreement you will be confirming that you hold an EHIC (if you are an EU citizen) and that it’s valid for the entire duration of your study visit. The EHIC is not a substitute for travel insurance, however, and it’s quite limited in what it covers. Healthcare in a private setting is not included, nor is the cost of repatriation, or the additional travel and accommodation costs that can accrue in a case of illness or an accident abroad. You will also need to be covered for eventualities like cancelled/delayed flights and lost luggage, as well as insuring your personal effects and money. This is where private travel insurance comes in.
  • You will need to purchase a private travel insurance policy that also includes cover for accidents, medical treatment, cancellation/curtailment of travel, personal liability, and repatriation, and you must provide the basic details of this policy (insurance provider, policy name and number) in the allocated space in your Grant Agreement. Without these details, your Grant Agreement is not valid and you will not be eligible for an Erasmus+ grant. Please note that you do not need to send us your insurance policy document. Indeed, you may find that some host universities will also require you to provide them with details of your private travel insurance policy.

Where can I get help with choosing an insurance policy?

Ultimately, you must make a decision yourself about the insurance policy that’s right for you. There are a number of Insurance providers in Ireland who can provide cover, and you can find a list of some of them on the following University of Galway website, in the drop-down menu under Insurance: www.universityofgalway.ie/international-students/outbounduniversityofgalway/outbound-study-abroad/undergraduatetoolkit/ .

There are different levels of cover available, which provide different levels of benefit under the policy, and students are advised to familiarise themselves with the cover types available.

University of Galway Insurance Cover Requirements & Recommendations:

  • Medical Expenses to include Repatriation – at least €1 Million
  • Personal Liability – at least €500,000
  • Cancellation/Curtailment/Rearrangement – Highly recommended
  • Baggage /Personal Items/ Money/ Passport – Highly recommended

Other important considerations when purchasing insurance:

  • Duration of the policy cover: your Travel Insurance must cover the entire duration of your time abroad.
  • Material facts: please ensure you disclose all relevant material facts to your Insurer, e.g., pre-existing medical conditions.
  • Covid-19 cover: please ensure you check and review the policy carefully in relation to Covid-19 costs and expenses. Policies differ from one Insurer to another in relation to the coverage offered.
  • Excluded Territories: all policies will include an Excluded Territory List. Please ensure you are familiar with same and discuss any issues/concerns with your Insurer.
  • Exclusions: please read the policy before purchasing to understand the specific exclusions.
  • Holidays/returning home: if you intend to take a holiday during your trip abroad, or return home at any point, please check that this is covered by your policy before travelling.
  • Winter Sports: if you intend to participate in any winter sports during your time abroad please ensure this is covered by your policy.
  • It’s important to check the policy Terms and Conditions at the time of purchase, as these can change frequently.

Students are reminded that it is your responsibility to ensure that you obtain a policy which satisfies the University requirements and your own needs in advance of departure and to ensure you have adequate cover in place for the duration of your time abroad. My parents have me on their health insurance plan, so I’m covered, right?

Not necessarily. If you are covered by your own or your parents’ private health insurance plan, you should confirm the actual level of cover you will have while abroad. Ensure that travel, cancellation/ curtailment, medical treatment, repatriation and personal liability are included. Find out whether there is a stipulation about the duration of any one single trip – for instance, some policies set a limit of 60 days for a single trip, and this clearly wouldn’t cover you for a study visit where you will be away continuously for a longer period, although you may be able to arrange “extended stay” cover for a small additional fee. You can establish all of this quite easily by carefully reading the policy document and by contacting the health insurance company directly. You may be able to purchase additional cover for travel insurance if this is not included in an existing health insurance policy. Please note that the International Affairs Office will not be able to advise on the suitability of various policies, and the onus is on you to ensure that you are adequately covered.

If the worst happens and you need to make use of your insurance …

Make sure that you keep a record of any emergency numbers provided by the insurance company in case you have to make a claim. Having the details readily to hand will alleviate some of the stress if you are in a difficult situation. Should you find yourself in circumstances where you will have to make a claim, you should contact the insurance company immediately, as a delay in doing this could affect your claim.

To sum up, it is very important that you are covered for accidents, emergency medical treatment and repatriation, and you should also make provision for disruptions to your travel plans (cancellation/curtailment) and insure your belongings against theft. A good travel policy will offer a wide range of benefits and will give you peace of mind.

What is Erasmus+?

What country can i travel to with erasmus+, what costs does erasmus+ cover, what projects does erasmus+ fund, how to apply for erasmus+, when to apply for erasmus+, other eu funded opportunities.

Erasmus+ is an EU programme that can help you travel to experience work, study or train in another country. Your time abroad on Erasmus+ can be from 2 days to 30 days or from 2 weeks to a year depending on the type of project you are on.

Erasmus+ is open to many people including:

  • Pupils in school
  • Students in higher education
  • Students in vocational education and training
  • Young people in youth organisations
  • Adult learners

Staff in educational settings and youth workers can also access Erasmus+.

You cannot apply directly to Erasmus+. You must apply through a participating organisation such as your school or college or place of work.

If the application is successful, you will get funding that usually covers your travel costs and the cost of living abroad. You may get funding to cover other costs too.

You can also get Online Linguistic Support to help you learn the language you will use when you are abroad with Erasmus+.

The year you turn 18 years old you can apply for a DiscoverEU rail pass as part of Erasmus+, if you are an EU citizen.

You can go to any EU country and some countries outside of the EU with Erasmus+.

Programme countries are eligible for all parts of Erasmus+. Programme countries include all EU member states, Iceland, Norway and Liechtenstein, the Republic of North Macedonia, Turkey and Serbia.

Partner countries can take part in some aspects and must meet specific conditions.

The European Commission website has a list of countries that can take part in Erasmus+ .

Northern Ireland students

The UK ended its participation in the Erasmus+ programme on 31 December 2020.

The Irish Government will  support higher education students in Northern Ireland to avail of mobilities and internships across Europe.

You will generally get Erasmus+ funding to help cover your travel costs and living expenses such as accommodation and food. Any costs not related to these you will have to cover yourself. The amount of funding you get depends on the type of project you are on.

Extra funding is available to support people with disabilities and from disadvantaged backgrounds.

Higher education students will not have to pay fees for tuition, registration, examinations, and charges for access to laboratories or libraries in the institution where they are studying with Erasmus+. Fees for insurance or student union membership may still apply.

You can find information on grant levels and types of funding in the Erasmus+ Programme Guide . You may get additional grants from your institution, government or other sources. Check the European Funding Guide .

Only organisations can apply for Erasmus+ funding. This includes schools, higher education and training institutes, youth and sport organisations.

Applications from participating organisations must support one or more of the four priorities of the Erasmus+ programme 2021-2027.

  • Inclusive Erasmus+ aims to ensure equal opportunities for everyone
  • Digital Erasmus+ aims to develop accessible and high-quality digital learning and training
  • Green Erasmus+ encourages participants to build knowledge and understanding of sustainability and climate change and to use lower carbon transport
  • Erasmus+ participation in democratic life supports active engagement in society

If you are at school, you can spend time abroad studying at a partner school. You can also go as part of a group to learn with other school students abroad.

If you are in higher education, your study period abroad can combine with a traineeship.

If you are a trainee or apprentice, you can be hosted in a workplace or in another institution for trainees for work-based learning. Your traineeship can last from 2 weeks to 12 months.

If you are an adult learner, you can spend time at an adult learning organisation which may include class or work-based learning or job-shadowing. You can also study abroad as part of a group.

Young people in youth organisations and volunteers can travel for training or a youth exchange and take part in workshops, debates and outdoor activities.

Internship vacancies are offered by companies and organisations on Erasmusintern.org website.

School children

If you are in a school, applications for Erasmus+ must be made through your school. The school must be fair, inclusive and transparent when selecting candidates for Erasmus+.

Your school can apply to Erasmus+ directly or through a consortium of schools .

Your school can explore Erasmus+ opportunities through the eTwinning platform and the School Education Gateway .

Students in higher education institutions

If you are a student at third-level, you can apply for your Erasmus+, traineeship or a combined Erasmus+ and traineeship through the international or Erasmus+ office of your higher education institution.

You must be registered in a higher education institution and studying for a recognised degree or third level qualification and be in at least your second year. The study abroad or traineeship must be relevant to your degree or your personal development needs .

If you are a recent graduate, you must be selected for a traineeship during your last year of study and must complete the traineeship within one year of graduating.

If you have completed a primary degree you can apply for an Erasmus Mundus Joint Masters Scholarship .

You can do an Erasmus+ many times. However, you can only do one Erasmus+ during each Bachelor, Masters, Doctoral degree or equivalent.

Vocational education and training (VET) learners or apprentices

If you are an apprentice or attending a vocational education and training (VET) course, contact Leargas for information on organisations or employers that you can apply for Erasmus with.

Your local Education and Training Board (ETB) would be considered a VET organisation for Erasmus+. Leargas publishes a list of vocational education and training (VET) organisations that are eligible for Erasmus+ .

Youth participants, volunteers and youth workers

Young people in youth organisations or volunteers should apply through a youth organisation or group .

There are generally two application deadlines for organisations each year, one in spring and one in autumn.

Application dates for schools, vocational education and training, apprenticeships, adult education and youth organisations are published on the Léargas website .

Applications dates for higher education institutes are published on the Higher Education Authority’s Erasmus+ website euireland.ie .

Young people can take part in volunteering projects and solidarity projects in Ireland or in another country through a different programme called the European Solidarity Corps. You can register on the European Solidarity Corps Portal or visit europeansolidarity.ie to find out more.

Outgoing Erasmus+ and Exchange Students

Welcome, you have taken the first step in setting off for a semester or full year abroad.

Study Abroad

For full-time registered students, Erasmus is a once-off opportunity for you to study at another European institution for a semester or a full academic year. The benefits (academic, social, personal and cultural) of participating in the Erasmus programme are huge.

Students and Trainees (interns) opting for a study visit or work placement spend a semester or full academic year at a partner institution or enterprise within the EU, as an integral component of your qualification at TU Dublin. The time spent in the host institution is  fully recognized by TU Dublin  through the use of the European Credit Transfer System (ECTS). 

TU Dublin currently has around 250 academic partners (Universities and other HEIs) in 21 countries across the European Union and EEA countries. During the 2019/2020 academic year, upwards of 250 TU Dublin students and trainees will spend at least one semester studying at one of our partner institutions, or working in enterprises.

Work or Train Abroad

Students whose programmes of study include a work placement may have the opportunity to complete this placement in another EU member state. TU Dublin works closely with industry partners throughout Europe who offer excellent work placement opportunities to students from a variety of disciplines. Students participating in the Erasmus+ programme not only gain invaluable academic and/or work training experience, but also have the opportunity to experience life in another country, develop language and intercultural skills, travel and broaden their horizons.

To start, speak with the Academic Coordinator attached to your school to see what opportunities and countries are available to you.

Nominations

Once a suitable 'host institution' or 'host enterprise' has been agreed upon, your Academic Coordinator will nominate you to the Erasmus and Exchange Office by completing our  Outgoing Student Nomination Form . 

Applications

Once your nomination has been accepted, you will then complete an online application form yourself.  This is the internal TU Dublin application form. You will receive an email from the TU Dublin Erasmus and Exchange Section to explain how to apply online and what documents are needed. This email with online application link is sent to the e-mail address your academic co-ordinator provides at the time of your nomination.

Once your application is received by the Erasmus and Exchange Office your nomination will be sent to your desired destination or 'host institution'.

The host institution will then advise you of their application procedures needed (this is the external application to the place of study/work abroad), and will notify you of their decision.

All outgoing students are required to attend a Pre-Departure Meeting, organised by TU Dublin International Office. At this meeting you will get information about Erasmus documentation, the Erasmus App, receive the Erasmus Student Charter, and learn about your role in applying for your Erasmus funding.

Remember to pay close attention to all application deadlines. The host university/organisation where you plan to study or work/train may have an earlier application deadline seperate to our internal deadline here in TU Dublin. Please be sure to check this.

Applicants must ensure that a pdf copy of their online application ( duly signed by both the student and their Academic Co-ordinator )  is submitted to our Erasmus and Exchange Office on or before the below stated deadline:  

Application for the Erasmus study/work programme is different to application for your Erasmus funding.

To qualify for Erasmus funding, a study period abroad must be a minimum of 3 months, and a traineeship period abroad must be a minimum of 2 months. In both cases the maximum duration for funding is 12 months. These durations are set by the European Commission.

Under Erasmus regulations Erasmus students are not charged tuition fees in the European institution that they attend, however there may be other charges to pay to the university, and of course there are costs involved in living abroad. You will need to budget for flights, accommodation, food and other expenses.

Only TU Dublin students who have made a successful application within the deadline(s) can receive an  Erasmus Grant .  You will receive an Erasmus pack outlining the required documents for payment of grant.  The Erasmus funding is intended to offset the costs of studying in another EU state; it is not intended to cover all of your costs

Some students who are deemed to be financially disadvantaged may be eligible for  Social Inclusion Supplementary Support Initiative (SISSI) Funding. 

SISSI Rate for Study Mobility - €250 per month extra top-up for those receiving SUSI  

SISSI Rate for Traineeship Mobility - €250 per month extra top-up for those receiving SUSI  

Your grant is usually paid in two instalments - after arrival in your host institution and after departure from your host institution.

The amount a student will receive depends on the country of destination and the duration of the mobility. At the start of the mobility we can only estimate how long you will be abroad on your Erasmus+, and we use this estimation of months to calculate your first payment. The first payment will be 80% of your estimated duration multiplied by the appropriate grant level for your host country as indicated above. Your estimated duration will be entered into your Grant Agreement.

At the end of your mobility, we will take the start date from your confirmation of arrival document, and the end date of your confirmation of departure document and use these to calculate your actual duration.

Please note:

  • If this duration is more than the original estimated duration your second allocation grant will be increased to reflect this change.
  • If it is less than the original estimated duration your second allocation grant will be decreased to reflect this also.

Student Universal Support Initiative (SUSI)

SUSI is the national body responsible for grant support to students in full time third level education. Access the  SUSI  website directly, for information on making a student grant application. Erasmus funding is not linked to SUSI grants. While on Erasmus abroad, you continue to receive your SUSI grant. Some Erasmus participants who already receive SUSI may be able to avail of extra Erasmus funding. These terms and conditions are clearly explained at your compulsory pre-departure meeting with the TU Dublin Erasmus team.

Insurance while on Erasmus

To be eligible for Erasmus funding, outgoing Erasmus+ students must have valid medical and travel insurance under the Erasmus+ guidelines. The Erasmus Office does not arrange health insurance for students.

Your travel & medical insurance must cover the whole period of time abroad and must include repatriation. In addition, all outgoing trainees must have valid accident and liability insurance.

European Health Insurance Card (EHIC)

All outgoing participants must provide a copy/scan of their valid European Health Insurance Card (EHIC) showing it is valid for the duration of their stay. Confirmation of Application or Temporary Replacement for EHIC certificates cannot be accepted as proof of EHIC.

Listed below are the documents that will be required by UL over the course of your Erasmus experience.

NB: The documents required by the host university are not listed here. Please consult the documentation you received from the host university for further information.

Necessary travel documents

Please ensure that you hold a passport or National Identity card (EU citizens) that is valid until the end of the semester abroad.

If your passport's expiry date is close, please check that it will be accepted where you are travelling. Some countries require that the passport be in date for another 3 to 6 months to be valid.

Irish citizens may renew their passport online:  https://www.dfa.ie/passportonline/  

All EU students travelling to the EU must hold a valid EHIC.

The card is valid for a period of 4 years and may be obtained from the HSE:  https://www2.hse.ie/services/ehic/ehic.html

Non-EU students who undertake an Erasmus academic placement as part of their programme must have an Irish Residence Permit (IRP) card that is valid until the end of the Erasmus academic placement (please consult the Irish Immigration Services website  for further information).

Non-EU students will also be required to have private health insurance (see next section). Please check specific requirements with your host university.

Students are strongly advised to take out additional private medical insurance to cover the period of study abroad. If you have a medical insurance policy (VHI, Laya, Aviva, etc.) in Ireland, contact the insurer to ensure that you will be covered while abroad and bring a copy of your policy or policy number.

In some universities, students are obliged to take out additional insurance, e.g. liability insurance, repatriation cover, etc. Read the host University’s requirements on insurance or contact the host university directly to obtain this information. Please be aware that in recent years, accidents involving injuries such as broken limbs have occurred to students who were under-insured while abroad. This can incur serious problems for the student and their family, so please be attentive to this matter.

As a registered student of the University of Limerick you will also be covered by the University of Limerick Students’ Union Personal Accident Policy, which covers basic medical expenses resulting from accidental injury, certain permanent disabilities such as loss of a limb or loss of an eye, and accidental death. This policy extends to most sporting activities except hang-gliding. Please note that this insurance does not cover medical insurance for illness.

In addition to private health insurance, students are strongly advised to take out travel insurance which includes repatriation to be transported home in the case of an illness. Please be aware that multi-trip insurance policies from most insurance providers do not cover an extended period abroad.

Students may take out travel insurance from any provider of their choice. Many institutions offer travel insurance, including insurance companies (Allianz, AXA, etc.), banks (Bank of Ireland, AIB, etc.), credit unions, etc.

ATTN: Insurance policy must be taken out prior to travelling abroad. Cover cannot be provided once students have left Ireland.

Many insurance providers require that students have been residing in Ireland for at least 3 months prior to taking out insurance.

Many French institutions require a translated Birth Certificate for enrolment. Students can obtain a certified translation of the birth certificate from Mrs Marie Hackett, French Honorary Consul for the Limerick region. Please contact our office ( [email protected] ) for Marie Hackett's contact details. You will need to send a copy of your birth certificate with a stamped, self-addressed envelope and €10.

Required Erasmus documents

Learning Agreement (Section A): This document is used to record the academic programme followed during the Erasmus semester and must be completed by the student. The document must be signed by the student, the  UL academic coordinator  and, if possible, the host institution academic coordinator. More information on completing the Learning Agreement can be found  here .

Online Linguistic Support (OLS) test:  Prior to the start of the Erasmus mobility period, students will receive a login and password to access the OLS platform. Students must complete the language assessment before the mobility period. This is a requirement for students whose main language of instruction during the Eramsus semester will be French, German or Spanish.

  • Erasmus Confirmation of Attendance: The first section of this document (Certificate of Arrival) must be completed by the International Office of the host institution at the start of the semester abroad. The document must then be uploaded to the  Erasmus Upload Power App . Students should aim to complete this document and upload it as soon as they begin their Erasmus semester, as it is a required document to receive the  Erasmus Mobility Grant .
  • Learning Agreement (Section B): This document is used to record the academic programme followed during the Erasmus semester and must be completed by the student. The document must be signed by the student, the  UL academic coordinator  and, if possible, the host institution academic coordinator. More information on completing the Learning Agreement can be found  here .
  • Erasmus Confirmation of Attendance:  The second section of this document (Certificate of Departure) must be completed by the international office of the host institution within the final 10 days of the semester abroad (including any exam period you must attend). The document must then be uploaded to  Erasmus Upload Power App . This document is a required document to receive the  Erasmus Mobility Grant .
  • Erasmus Participant's Survey: This EU questionnaire will be automatically e-mailed to the student's UL account by the EU Commission. The email is sent on the day following the expected end date of the Erasmus semester and students are given 30 days to complete the questionnaire. For example, if the expected end date of the semester is 25th January, the survey will be sent on 26th January.
  • Official Transcript of Records: The host university is required to provide all students with an official Transcript of Records, showing the modules, grades and credits achieved at the host university. Students must submit their Transcript of Records to the UL Global office ( [email protected] ) as soon as they receive their Transcript. Without a Transcript of Records, the Erasmus semester cannot be evaluated or validated. It is the responsibility of the student to ensure that they submit their Transcript to the UL Global office. Students are advised to check with the host university when the Transcript of Records will be issued, in what format and to whom it will be sent.
  • Student Report on Host University:  Students are given 30 days following the end of their semester abroad to submit the report. The Erasmus Team will issue the link to all students a few weeks before the end of their Academic Placement.

I’ve lost my documents. How do I retrieve them?

If you have lost your policy documents, you can retrieve them online. Enter your quote number and e-mail address to access your documents. If you would like your documents resent through the post or you have forgotten your quote number or if you have any other problems accessing your documents online, please call our customer service team on 091 545 904 or email [email protected] .

What do I do if my passport is lost or stolen abroad?

You should report any loss or thefts of passports to the local police in the country you are in as soon as possible. You will need the crime reference details they provide for the APS1 (which is the Lost or Stolen Passport Notification) form. You should also report the loss or theft to the Irish embassy of the country you are in. You can get details of your local Irish embassy wherever you are by visiting the website of the Department of Foreign Affairs. The Irish embassy will issue you with replacement travel documents so you can travel back.

When will my documents arrive through the post?

Normally, we say to allow between 5 to 10 working days between you buying your policy and your documents being received in the post. However, we do always aim for your policy pack to be with you sooner. You can still travel with a printed copy of your emailed documents if the posted documents don't arrive in time.

What do I need to take on holiday with me?

We advise that you take your travel insurance certificate and the relevant policy wording booklet away with you.

Wintersports cover

We will pay (up to the amount specified, based on the policy you choose) for:

loss, theft or damage to winter sports equipment, the hire of winter sports equipment (should your equipment be lost stolen or damaged), the cost of your ski pack (should you become ill or injured), extra travel and accommodation expenses if your outward or final return journey is delayed due to avalanche, and if the piste is closed for more than 12 hours.

Private health insurance discount

If you and each additional traveller on this policy have private health insurance in place providing inpatient medical cover abroad to a minimum of €55,000 per person per claim, you qualify for a reduced premium on your travel insurance. This cover must remain in place for the full duration of your policy with us.

In the event of a claim for inpatient medical treatment abroad, you must claim on your private health insurance first. The benefits payable under your travel insurance policy will commence once you have reached the limit on your private health insurance policy.

What is an Erasmus+ mobility for students? 

Erasmus+ offers students the opportunity to undertake a study period or traineeship abroad as part of their undergraduate or postgraduate degree. It offers students the chance to expand their geographical and intellectual horizons through studying and working throughout Europe. You’ll find testimonials on this page from students about their experience of going on Erasmus+ and more information on the Erasmus+ Programme.

Students who go on Erasmus will have the option to study at a higher education institution in Europe (for a period of 3 to 12 months) or undertake a traineeship at a host enterprise (for a period of 2 to 12 months).

I would like to go on Erasmus, how do I get started?

The first step is to contact the International Office at your Higher Education Institution. They will be able to advise you of specific opportunities available to you.

Will I receive funding?

While on Erasmus, students are exempt from paying tuition fees at the host institution and regularly receive financial support from the European Commission to help cover their expenses. The Commission supports students for a maximum of 12 months and a student can start their mobility anytime from the end of their first year in university to one year after they graduate (post-graduation students are only eligible to take part in traineeships). Funding for individual students is organised through the International Office of a Higher Education Institution.

Due to a physical, mental or health-related condition, I would incur additional costs going on on an Erasmus+ Mobility. Will these be covered?

Do I receive credit recognition for participation in Eramus+?

Upon completion of their study programme, students receive full recognition of their Erasmus study programme utilising the European Credit Transfer System (ECTS).

Types of travel insurance

At Aviva, we understand that how we travel has changed, but you can still enjoy peace of mind with our travel or holiday insurance - now including Covid-19 medical expenses and cancellation cover. Find out more information about our single trip, annual multi-trip and backpacker insurance policies.

Single trip insurance

A Single-Trip policy covers you for one holiday of up to 31 days. To get a Single-Trip quote, simply choose the number of days you are away, or click on the calendar and select the dates you leave and return. Remember that if your holiday is 7 nights, you need 8 days cover, and if you are away for 14 nights, you need 15 days cover.

Multi-trip insurance

An Annual Multi-Trip policy could save you money if you are going on holiday more than once this year. It offers cover for up to 90 days travel in the year, but no holiday can be longer than 31 days. With an Annual Multi-Trip policy, you can also be covered for holidays in Ireland provided that you spend at least two nights in accommodation you booked before your departure.

Covid-19 - What we cover

It's important that you know what Aviva Travel Insurance will and won't cover for Covid-19 so that you can decide whether this policy meets your needs.

We'll cover cancellation costs if you or someone you're travelling with:

  • Contracts Covid-19 before your trip.
  • Is required to quarantine on orders of a treating doctor/HSE, and the period of quarantine goes past your original departure date.

Important Note: Covid-19 "positive" test must be certified in writing as specifically relating to You or Your Travelling Companion(s) by a test that is recognised by the Republic of Ireland Government, including such a test that is carried out by a licensed pharmacy, a licensed laboratory or the treating Doctor.

What Covid-19 cover do you have when you’re on holiday:

  • We will cover overseas medical and repatriation (the cost to get you home) expenses provided you are not travelling to areas where the Department of Foreign Affairs (DFA) allocates a security status of "Avoid non-essential travel" or "Do not travel".
  • We'll also cover any additional accommodation (room only) and travelling home costs you may have if you are required, on the orders of a Doctor, to quarantine on holiday, if the period of quarantine goes past your original return date.

At Aviva, we recommend that you follow the advice of the Department of Foreign Affairs.
