Faculty and Staff Reimbursements

Effective October 30, 2023, NYU School of Law Faculty and Staff reimbursements are processed on the Travel and Expense (Concur) system by submitting an expense report. This new system combines processes such as travel, expense, payment cards, and traveler safety into one platform.

Accessing Travel and Expense (Concur)

You can access Concur by logging into NYU Home and searching, “Travel and Expense.”

You can also access Concur by using the mobile app. The Concur mobile app allows users to book travel, change reservations, receive travel updates, take pictures of receipts, and create expense reports. To log into the Concur mobile app, enter your N Number followed by @nyu.edu as your username (i.e., [email protected] ). Your password is your NYU network login password. 

Travel and Expense Delegates

Travel and Expense Delegates are assigned by a user to allow them to book travel, prepare expense reports, and prepare payment card reconciliations on behalf of the user.

Instructions on how to add or remove a Travel and Expense Delegate. 

Note: Delegates can only prepare expense reports and/or prepare payment card reconciliations, and are unable to submit them for review. The user must ultimately log in to review the prepared expense reports and/or payment card reconciliations, and submit it for approval. 

Creating an Expense Report for Reimbursement

An expense report is created to receive reimbursement for expenses paid out-of-pocket, or with your NYU T&E Card.

Reviewing and Approving an Expense Report for Reimbursement

In Concur, your supervisor is the first level of approval for expense reports. After your supervisor approves, the expense report is routed to the appropriate financial analyst on the Finance Team for further approval, and then to Accounts Payable for final approval.

You can find everything you need to know on traveling and reentering the US as an F-1 or J-1 student and helping family members come for a visit. And remember, the US government determines your and any family member's eligibility to enter the US. Be prepared and have the needed travel documents with you.

Traveling to and from the US for NYU International Students

Get a new travel signature.

Getting a travel signature from an OGS advisor is easy. If the signature on your I-20 or DS-2019 will be more than a year old by the time you reenter the US, you need to get a new signature before you travel. For students on post-completion Optional Practical Training , the travel signature is only valid for six months. And remember, the US government determines your eligibility to enter the US. Be prepared and have the needed travel documents with you. Find out how to get a new travel signature .

International Visitors

You do not need any letter or document from the OGS to invite a family member as a B2 visitor. If you wish to invite family members, other than your spouse or child, to visit the United States for a short time on a B2 visitor visa, review the documentation that you need here . 

International Visa Requests for Graduation

International guests who plan to attend the Commencement ceremony may need to apply for a U.S. Visitor Visa (B-2).

Information about applying for a visa is available at the U.S. Embassy or Consulate where the visa application will be made. Applications will need to show that the visit to the U.S. is temporary, that there are adequate finances to cover the trip, and that they intend to return to their home country (proof of ties such as job, family, property or other commitments).

Please note that family members from certain countries may be eligible to visit the U.S. for up to 90 days without obtaining a B-1/B-2 visa through the U.S. Department of State Visa Waiver Program .

The I-94 is an official US government record of when you enter and depart the United States. Your I-94 record confirms what immigration status you entered the United States in, and the duration of time you can legally remain in the US.

Travel Monitor Program

Recent policy changes from the US federal government have made travel more difficult for some members of our community. The federal government has also adopted more rigorous policies on questioning non-US citizens at the border. As a result, non-US citizens may face extra scrutiny at the border.

In response to these changes, the NYU Immigrant Defense Initiative (IDI) and the NYU Office of Global Services (OGS) collaborated with NYU Departments of Public Safety and Information Technology to create the NYU Travel Monitor Program, which provides security and support for members of the community passing through US ports of entry.

Travel for International Student Alumni

Are you an international student on post-completion OPT or Academic Training? Traveling outside of the US soon and need to reenter the US without a problem? Avoid a long wait in the airport immigration office by having these needed documents with you.

If you do not plan to use your post-completion Optional Practical Training (OPT) or your Academic Training, traveling outside of the US after graduation is not possible. Learn about traveling during the grace period .

Visa, Academic, & Status Changes

As an international student, US law requires you to notify the Office of Global Services if anything changes with your academic program or immigration status. 

Read on to find out about the most common changes and what you need to do in these circumstances.

Visa Changes

A) Change to F-1 or J-1 Status  |  If you are presently in the United States in a non-immigrant status (such as H-4, A-1, or L-2 status), you may be able to study in your current status. Find out if you can study at NYU under your current status.   You may, however, want or need to change to F-1 or J-1 status in order to complete your degree at NYU.  For more information visit this page .

B) Regain Your Status  |  Loss of status for an international student results in your immediate termination of eligibility for such immigration benefits as employment, extension, transfer, or travel signature recertification. Once out of status, you must take prompt action to get back into lawful status in order to regain eligibility for immigration benefits. Any delay in doing this could result in serious, possibly permanent immigration consequences for you.   In addition to using the Office of Global Services as a resource, we encourage you to consult with NYU's Immigrant Defense Initiative and with a qualified immigration attorney. OGS has an attorney list we could provide to you as a resource for further expert guidance.   For more information visit this page .

C) Renew Your US Visa |  If your visa has expired, you need to get a new visa from a US consulate or embassy outside of the US. You can’t apply for a new visa inside the US. Find out how to renew your visa and be prepared for the process .

E) New Immigration Status |  Have you recently filed or been approved for a new immigration status and need to end your F-1 or J-1 record with NYU? Consult this page .

Academic Changes

A) Register Part-Time: Reduced Course Load |  All F-1 and J-1 international students must register full-time every semester or receive permission from OGS for a reduced course load (RCL), which is anything less than full-time registration. 

You are eligible for a reduced course load if:

  • It is your last semester before you graduate and you have fewer than 12 credits left to finish your degree or program.
  • It is your first semester in the US , and your department recommends English-language courses in addition to your studies.
  • You have a medical condition requiring you to take a leave of absence or a reduced course load. For permission to register less than full-time due to a medical reason, please follow the instructions for Medical Leave of Absence or Reduced Course Load .

B) Extend Your Study |  As an international student, you are granted a specific period of time to complete your degree requirements. You must complete your degree by the completion date listed on your I-20 or DS-2019. If you are unable to finish your degree requirements by that date, you must apply for a program extension before your current document expires.

C) Take a Leave of Absence |  Need to take a personal or medical leave of absence from your studies at NYU? As an international student, if you decide to take a leave of absence, withdraw from your program, or are given a suspension, you must contact the OGS immediately to discuss your immediate plans and any plans you may have to return. A personal or medical leave of absence can impact your eligibility for F-1 or J-1 benefits such as CPT , OPT , or Academic Training .  

Unless you have a medical condition that requires you to take a full or partial leave , if you will register for even one course during the Fall or Spring semester, you instead need to review how you can get permission to register for a reduced course load .

If you plan to take a leave of absence, review NYU's policy on Leave of Absence and Term/Total Withdrawals to learn more about things you should consider and understand before taking any leave.

  • Personal Leave of Absence  |  This kind of leave includes military duty, or taking a leave for any other personal reason.  
  • Medical Leave of Absence or Medical Reduced Course Load  |  This kind of leave or reduced course load is for any physical or mental health condition for which a health professional advises you to take a full or partial leave from your studies.
  • Returning from a Personal Leave of Absence

Booking Business Travel

NYU’s preferred online travel booking tool is SAP Concur. Travel & Expense online booking tool (“Concur Travel”) replaces the Egencia online booking tool. Access the travel booking website, or the SAP Concur mobile app to book travel online. When necessary, travelers will engage with CTP travel counselors to book via phone or email, and for customer support or account management

No pre-approval for international travel

No advance reimbursements. NYU T&E Card or a Department Travel Card is strongly recommended to avoid paying for travel bookings in advance with your personal funds

The SAP Concur Mobile App provides helpful on-the-go capabilities to book travel, change seats, take pictures of receipts, create expense reports, etc.

Employees should pay for business travel with a Travel & Entertainment (T&E) or Department Corporate Travel (CTA) Card , which is paid directly by the University, so you do not have to use a personal credit card to book travel . P-Card can be used to book conference expenses. If you use your personal credit card to pay for travel expenses, you must wait until  after  completing the trip to submit reimbursement.  The university is no longer reimbursing for travel costs charged to a personal credit card befor e a trip.  The Concur system will block all advance reimbursement submissions, which means NO exception will be accepted by the system.

If you do not have a Travel & Entertainment (T&E) Card, travel at least twice a year, or incur more than $2,500 annually in travel and local entertainment expenses; please submit a T&E Card request in Concur . Allow two weeks to receive your T&E Card.

Before You Get Started

Please ensure you have updated your travel profile  (Video)   (PDF)  the first time you use Concur. You must ensure that your legal first and last name in PeopleSync matches the government-issued ID you present for travel .

Your legal first and last name in PeopleSync will be used to update your traveler profile in Concur.

For these data elements, contact PeopleLink to request updates as necessary. Ensure the proper set up of expense Delegate / Travel Arranger as needed and review the updated policies , transition checklist , and training resources .

Access to Concur

NYU’s preferred online travel booking tool is SAP Concur .The platform is accessible via webpage, mobile app, and phone.

  • Bookmark the tile for quick future access by right-clicking on a card
  • Download the mobile app
  • Log in with your N Number as the username, followed by @nyu.edu  (e.g., [email protected])
  • Find your N Number on the back of your NYU ID

The mobile app allows users to book travel, capture receipts, create expense reports, etc.

Setting-Up Delegates

Set up a delegate if you have an administrator who supports you.

  • Travel Arranger : Can book a flight, hotel, car rental, etc. on your behalf
  • Expense Delegate : Can prepare your expense reports, and submit cash advance requests for you

Contact your Department iTravel Super-User or drop by a Support Session  if you need assistance setting-up delegates.

NOTE: Delegates can only prepare, and CANNOT submit your expense reports. The end-user must submit expense reports in Concur. You must select the "Can View Receipts" checkbox to allow a delegate to email receipts to a user’s "Available Receipts" library

Step-by-Step Booking Process

Collegiate Travel Planners (CTP) , powered by Concur, is NYU's travel management supplier. Travelers can conveniently make all bookings using the online tool. Although using Concur for booking travel is not mandatory, it is highly recommended.

Before initiating the booking process, familiarize yourself with NYU's preferred airlines, hotels, and car/rail services.

  • Include details such as dates, carrier, flight number, and class
  • Provide information on where the lower fare was found
  • The CTP Lead Team will review your submission and respond with their findings

4. Registering Trips Booked Outside of CTP

If you've booked your itinerary outside of CTP:

  • Faculty, staff, and students are strongly encouraged to register travel plans via NYU Travel
  • This registration ensures communication in emergencies and alerts about local incidents

Travel Tips

  • Air, Hotel, and Car: NYU preferred providers will be notated in Concur
  • Out of Policy: Warnings will show when booking out of policy – but will not stop travel bookings
  • Guest Booking Process: Anyone at the University may book guest travel
  • Travel Arranger / Delegation: The traveler must delegate travel booking arrangements to a travel arranger. A traveler may have more than one travel arranger
  • Grants and Federal Funds: Related travel must be booked in accordance with the Fly America Act . A pop-up message with link to FAA is provided
  • TripIt Pro Subscription: App that incorporates all travel details as well as provides travel alerts, including flight changes, gate changes etc.

Minor in Travel, Hospitality, and Tourism Management Curriculum

Hospitality is a sector that is experiencing global expansion and one that offers a wide range of career opportunities in the public, private, and voluntary sectors. The NYU SPS minor in Travel, Hospitality, and Tourism Management is designed to provide students with a solid understanding of the breadth, scope, and operation of the hospitality industry. This minor will allow students to position themselves as competitive employees in an industry that holds wide appeal and prepares them for graduate study in this field. Through two required foundational courses and a selection of elective courses, students will be able to tailor the minor to a specific interest in the hospitality discipline. The minor offers exposure to and exploration of the related industry sectors in lodging, food and beverage, travel, tourism, and events.

Tisch Study Abroad/Away FAQ

Do i need to have a passport at the time of applying to study abroad.

Yes, you must have and upload a valid passport at the time of your application . The passport must meet all of the parameters listed below. There are no exceptions. If you have more than one passport, upload both.

Your passport must be valid for at least 6 months past the end of the program you are applying to.

Your passport should contain at least two adjacent blank pages. 

If you are in the process of renewing your passport at the time of application, you must upload the passport renewal receipt in place of your passport. Once your new passport is received, you will need to email a copy to Tisch Special Programs Admissions at [email protected] . Applications with an invalid passport are considered incomplete and are not reviewed.

How many study abroad programs can I apply to on one application?

You may indicate your preferred first and second choice programs; however, if you are applying to the spring Television Writing in London program, you cannot indicate a second choice.

If I apply to more than one program on my application, will I be considered for all my choices or just my first choice?

Your application will initially be reviewed for your first choice program, and you'll be notified of your admissions status specifically for that choice. If you meet the qualifications for your second choice, it will be assessed only if there are available spaces after admitting candidates for their first choices. However, if you select one of the Drama programs as your second choice, you'll be evaluated for both choices regardless.

Students Applying to Drama Programs for Second Choice:

If you apply for any of our Drama programs as your second choice, you'll be assessed and informed about the admissions decision for both your first and second choices. This is because Drama programs have an audition component.

Students Applying to Television Writing in London:

If you're applying for the Television Writing in London  program, you cannot select a second choice program. This ensures that applicants are fully committed to this specialized program.

Will my Tisch study abroad application still be considered if I have an incomplete on my transcript?

To be considered, any incomplete (I) grades for prerequisite courses must be resolved by the time of application. Preference will be given to students who have no incomplete grades or in-progress courses for prerequisite classes.

What is the difference between NYU Tisch Study Abroad/Away and NYU Global Study Abroad/Away?

NYU Tisch Study Abroad/Away programs are specifically arts-focused and include intensive and specialized practical training in a particular craft of study (e.g. acting, filmmaking, playwriting, screenwriting, etc.). NYU Tisch offers these programs through partnerships with local arts institutions and organizations. The NYU Tisch programs typically include a core course with companion courses. 

NYU Global Study Abroad/Away programs offer a varied curriculum and academic studies in areas such as anthropology, business, comparative literature, economics, history, politics, sociology, and more. Some locations also offer academic internships. Language immersion opportunities are also available through NYU Global.

Can I study abroad for more than one semester?

Due to visa and other administrative processes, it may be possible but not guaranteed to study abroad for multiple semesters. It is highly recommended that you get in contact with the Tisch Special Programs office at the time of application, or earlier, to discuss your request. Additionally, you should discuss your plans with your academic advisor to ensure you are fulfilling your degree requirements.

Can I take classes through an NYU Tisch Study Abroad Program and an NYU Global Study Abroad Program simultaneously?

There are prescribed courses within each NYU Tisch Study Abroad/Away program and each NYU Global Study Abroad/Away program. You would not be allowed to mix courses from the NYU Tisch and NYU Global programs, except for Directing the Actor in London , Playwriting in London , and Television Writing in London .

Can I participate in an NYU Tisch Study Abroad/Away program one semester and an NYU Global Study Abroad/Away Program another semester?

Hi, I want to travel to Mariupol, but very worried about safety and situation at the moment. Has anyone been there recently? Please share any advice. E.g. how to best get there? I.e. from which airport and from airport travel by taxi/train/self drive etc?

Any advice much appreciated.

Why would you want to go to Mariupol, please?

The city remains among the prime targets for russian invaders and russia-sponsored terrorists. And although it is so far more or less ok there, it is best to be avoided by any relaxed travellers at the moment, just in (the worst-)case scenario.

Nothing changed since Cora had written her answer.

But similarly to Cora I cannot understand your interest to this city. Definitely Mariupol hasn't belonged to the worth to visit places for tourists even in the past, before 2014, because of heavy industrial pollution with combination of lack of places of interest.

Now the same problems combine with constant risks described in Cora's message, which hasn't disappeared (but never appeared during those 1,5 years since Cora had written her message though).

I visited Mariupol in 2003 and apart from the very nice lady I met there,hardly anything of interest at all.

Much industry but thats about this.

And I wouldn't rush back there either

I visited Mariupol couple of months ago. It's safe, no problem. There's a direct overnight train from Kyiv. You may swim in the sea there.

Whats the Internet connection like there. Do many people have smartphones with daily access to Internet? I mean from England and have seen mariupol on the TV news. I can't imagine living where a war is taking place.

There is internet connection and people with smartphones there. The war does not take place in Mariupol per se.

Absolutely nothing changed.

Mariupol remained safe all those time since answer #1 was written.

It's same abit boring, same heavy industrial, same bad air, nothing changed.

All the concerns written above still remain. Yes, nothing bad occurred during those 2,5 years since answer #1 was written but no reason to afraid less (or more) than it was worth to afraid 2,5 years ago.

I went there November last year and it seemed pretty normal. A little more military around but that was about it. Definitely industrial city.
