Business Events tourism, popularly known as MICE( Meetings, Incentives, Conferences, Exhibitions), is a more limited and focused subset of regular tourism. People are still at their job and are getting paid but are doing so away from their workplaces. Such events are good for networking, marketing, and education. Business event tourism, in comparison to conventional tourism, involves a smaller segment of the population, with distinct objectives and extra freedom-of-choice-limiting limitations imposed by the commercial components. Business tourist destinations are far more likely to be locations that have been heavily developed for corporate purposes (cities, industrial regions, etc.). A typical business tourist is wealthier than a typical leisure visitor and are anticipated to spend more money. Music and Entertainment Event Tourism is the fastest-growing travel trend observed in the new generation. Event tourism is big business- read on to find out what event tourism is and why it is so important.

What is event tourism?

Event tourism is essentially any tourism that relates to events. Events come in all shapes and sizes- they can be large scale events or small events, private events or public events.

Event tourism can bring a lot of money into the host community, making it a valuable contributor to the tourism economy.

Traditionally, events have always been viewed as being part of the tourism industry, however that has been slowly changing in recent years, with many people recognising the event industry as an industry in its own right. In fact, it has become so separated that many universities now offer event management degrees that are totally separate from travel and tourism !

There are different types of events that happen around the world and these often fall under different types of tourism . I have written a detailed article on the major types of events , but for now, here is a brief breakdown-

Event tourism is hugely beneficial to the tourism industry because it bring in money!

Events attract people and people spend money- people need a place to stay and somewhere to eat. Events also create jobs- someone needs to build the venues, there needs to be security working on the door and a customer service agent selling tickets. The events industry contributes to many of the jobs in travel and tourism .

Events can also help to put destinations on the world map. You may never have heard of a place before but if they host a big event, especially if it is a global event like the Football World Cup or the Olympics, then people all over the world will learn about the destination! This can often have long lasting effects and can even be a catalyst for the start of a booming travel and tourism industry.

With large amounts of visitors to a destination, however, there are bound to be some negative impacts too. Events can bring many unwanted social impacts of tourism and environmental impacts of tourism . It can also encourage economic leakage in tourism . There are sadly many negative impacts of event tourism as: the increased cost of living, traffic congestion, crowding, crime, property damage, pollution, deterioration of natural, cultural or historical resources and other various forms of discomfort experienced by residents or local businesses.

There are many specific examples of where event tourism has led to negative issues. For example, during the construction of the Olympic village for each 4-yearly Games, there have been many recorded fatalities. 14 people died building the Olympic village for the 2004 games in Athens – and seventy people lost their lives during the construction of the Olympic village for the Russian Winter Olympics. The huge levels of tourism associated with the Games mean that a lot of work goes into ensuring the stadiums, accommodation and fan zones are built to a high standard. However, this doesn’t always correspond with worker safety.

Another example is living in Wimbledon during the tennis championships. Everything about life is made a little bit more difficult due to the heavier-than-normal traffic, the long queues everywhere you go, an inability to book restaurants or access public transport and so on. This overcrowding is typical of event tourism, and it is one of the downsides for people living in areas affected by large events.

There are so many examples of event tourism which we can look at. You can read about some of them below…

With sports, many people support teams or clubs based in or near their hometown – so for league games, sport is unlikely to generate a LOT of tourism , though there will be some. But for cups and championships, as well as large competitions or sports where the same people or teams compete in different places, there will be a lot of tourism generated from fans who are required to travel to watch it live.

Little to no event tourism:

  • League and cup matches at home grounds

Large amounts of tourism:

  • Cup finals at neutral venues
  • International sporting competitions e.g The Olympic and Commonwealth Games
  • International championships e.g Wimbledon or the US Open (Golf)
  • Sports where the venue changes e.g Formula 1

When it comes to music events, there are also different levels of tourism.

Little to no tourism:

  • Tours where the artist is playing in so many cities that generally people won’t need to travel far to see them
  • Short tours with only a few locations
  • Music festivals e.g Reading and Leeds Festival

Other entertainment events such as Comic Con and other conventions, food shows, flower shows and so on tend to be in one set location each time. This means they generate a lot of tourism as most people will need to travel if they want to attend.

Similarly to entertainment events, business events tend to be in one place. A conference will take place in a specific venue in a specific city, for example, and attendees will need to travel to get there. This obviously generates event tourism as people use transport and book places to stay.

Impacts of event tourism on different industries

Types of Events

The rolling impact of an event touches every part of the tourism industry, which you can read about below through specific examples.

Accommodation is highly in demand for any event. It is usually not just locals who attend an event – unless it is something small-scale like a village fair, which does not generate event tourism per se. But for football games, music festivals and so on, hotels and Airbnbs in the surrounding area get booked up super quickly.

The example I will use here is the Champions League Final in Kyiv in 2018; hotels were like gold dust even before it was decided which two teams would be battling it out for the title. Prices were hiked, and people who had booked before the location of the final was actually confirmed (e.g people who were visiting Kyiv for other reasons) saw their booking cancelled to make way for football fans travelling from Liverpool and Madrid. This was obviously beneficial for hotel owners. It was also beneficial for locals in Kyiv, however, who were able to open up their homes as temporary accommodation for travelling fans.

Transport is affected in that when an event is taking place, there are a lot more people travelling to and within the area via public transport.

If we take the specific example of Oktoberfest in Germany, an annual beer festival, we can see that flight prices to these areas are more expensive in the lead up to it. On top of this, trains within the area are getting booked up already – and smaller local public transport which can’t be booked in advance will see a busier-than-normal time.

It stands to reason that when an event is taking place, people will use public transport especially if there is little or no parking at the venue. Events create congestion, which is one of the negatives discussed earlier in this post. But Oktoberfest also creates a lot of revenue for hotels, bars, restaurants and shops!

Working in hospitality is often a thankless job – and during large events it can be even more difficult as bars, cafes and restaurants fill up with visitors.

Using the specific example of the London Olympics in 2012, there were streams of visitors to the city who each spent an average of around £1300 during the Olympic period. Restaurants, cafes and food outlets were full of tourists ; many wanted quick service, and there were of course foreign languages for the staff to contend with.

All in all, jobs seemed harder during this period but there was not actually an increase in revenue. This article explains how and why the restaurant, hotel and pub industry saw a £55 million loss in revenue during the London Olympics… The Games were, however, a big deal for tourism generally. The ONS stated that visitor numbers were up by 2.63m and visitor spending reached a whopping £1.9 billion. This has had a lasting impact over the past decade with visitor numbers remaining high.

Of course, event tourism brings with it a lot of marketing. When there is an event, it needs to be advertised.

Let’s take, for example, the annual music festival Coachella. This is big business, with visitors coming from worldwide to enjoy seeing their favourite artists in sunny California . Like any festival, however, it needs to be advertised. A lot of their marketing is digital – primarily across Instagram and Twitter. However, this still costs money and people are employed to do this across different levels: from the people who write the Tweets to the staff at Twitter itself. Other marketing like posters, billboards and so on have costs involved too. Whether it’s a page in a magazine or a slogan on the side of a bus, event tourism undoubtedly has a massive impact on the marketing industry.

BENTONVILLE, Ark., June 24, 2024 — Walmart is announcing its largest savings event ever: “Walmart Deals.” Starting Monday, July 8 at 5 p.m. ET through Thursday, July 11 at 11:59 p.m. ET, customers can shop thousands of deals on popular items from electronics, home, toys, travel and more – including must-have items heading into the back-to-school season. As we’ll be looking at two different types of event itineraries, let’s get clear on the difference between the two.

An attendee event itinerary is used to inform event attendees of important agenda details like the event date(s), location, session and activity times, and scheduled transportation. On the other hand, an event itinerary for planners and staff contains scheduling details used to organize and execute the event, such as timelines for speakers and exhibitor setup times.

What Are the Essential Elements of an Event Itinerary?

Events can be huge revenue drivers, which is why it’s so critical to get them right. According to a recent study conducted by Research Dive, the global event industry is projected to generate $1,457.2 million in revenue by 2028, rising at a CAGR of 23.1% from 2021-2028.

As a planner, part of your job is undoubtedly to rake in as much revenue as possible with the help of your events. Your attendees’ event itinerary must be clear and easy to follow and provide all the information attendees need to successfully navigate your event. The below event itinerary template includes all the details you should incorporate in your attendee itinerary.

  • Check-in and registration times and location
  • Opening remarks and keynote speaker time, location, and description

Most of us have some experience planning an event, be it at home, work or in our community. For this article, let’s focus on large events.

A conference is a common type of large event, so for our event management purposes, let’s talk about a TEDx conference that we were involved in to illustrate how to plan an event. This example is a good scenario to explain the structure and challenges of planning a big event, along with the benefits of planning an event with project management software .

Let’s break down the other components of setting up an event. They’re summarized below:

  • Event timeline: First, establish a timeline for your event. This timeline should include pre-event planning, event execution and post-event activities.
  • Budget: Estimate your event costs and create a budget. Your available budget will influence many event management decisions such as your venue, the marketing and advertising methods, etc.
  • Venue: The event has to take place somewhere, and that involves logistics management , food and beverages as well as the décor.
  • Marketing: Once you’ve selected a venue, you need to start drawing people to it through a marketing program that can include a website, social campaign, email and print work.
  • Advertising: Hand in glove with marketing is advertising. That can include radio, TV, newspaper and magazine advertisements.
  • Volunteers: A big event needs a big crew of people to get it off the ground and run smoothly. That means volunteers, which means writing contracts, defining their roles, setting up meetings and determining schedules.
  • Speakers: You must have a keynote speaker or a group of speakers to attract an audience. This involves contracts, curators to select the talent, a program, bios and rehearsals.
  • Sponsors: All of this costs money, and a big event’s budget is supplied by its sponsors. This again involves contracts, marketing and logistics.
  • Production: The production involves creating contracts as you work on creating an audio-visual recording of the proceedings, as well as a sound and video broadcast during the event.
  • Stage: The event takes place at a specific venue and on that venue is a stage on which the event proper will be presented. That usually incorporates a projector, screen, microphones, internet connection, batteries, cables and more.
  • Attendees: Don’t forget about the people attending the event! You’ll need communications to inform them of event information, payment processes to collect fees, emails to stay in touch, directions, badges and access points.

The event manager is often mistaken for the event planner, but they are two distinct roles. Most simply, the event manager is responsible for event management activities, which involve coordinating and implementing the event. They take care of setting up the event, including its design, and make sure the vision of the event planner is realized.

As stated earlier, you can’t change the date of your event, so you’ll want to be as prepared as possible for any risks or issues that may pop up on the day of your event.

Do a Post-Event Review

A post-event review or a post-mortem as they’re often called, is very valuable. By looking back at the past event and seeing what worked and what didn’t work, you can better plan your next event.   • Decide on needed infrastructure: wifi, capacity, bathrooms, near shopping & restaurants, etc.
  • Hire a caterer
  • Secure what equipment you’ll need
  • What are your security needs?
  • Do you need permits, licenses or insurance?
  • Create event signage and communication plans for attendees
  • Research potential speakers
  • Create a list of relevant speakers

  • Finalize speaker selection, get bios and headshots and arrange travel and accommodations
  • Develop a list of sponsors and what you can offer them.

Most travelers trying to keep frugality in mind when planning summer travel: Experian

Summer travel is heating up with the weather, but consumers are weary about spending too much. Nearly 71% of consumers blame inflation for impacting their road trip plans, an Experian survey found .

A majority of survey respondents planned to spend an average of $1,000 on their trips this summer. Road trippers plan to spend the most on gas and accommodations.

Auto insurance rates are also impacting travelers. Three out of four respondents to Experian’s survey are worried their rates will increase in the next year. This concern that rates will rise is causing a third of respondents to shop around for auto insurance.

States with higher insurance rates have the highest percentage of drivers looking to switch. About 14% of drivers looking to switch live in Texas and 11% live in Florida.

Many consumers plan to use their credit cards to pay for travel this summer

Most travelers don’t plan to use cash to pay for their traveling this summer. Credit cards are the most preferred method of payment, according to a PYMNTS study .

About 69% of those planning to travel will use their credit cards for at least part of their accommodations. The rewards and cash back programs offered through their credit cards are the most popular reason consumers choose credit cards over other payment methods. Cash flow management and accessibility are two other major reasons travelers opt for credit cards.

While a majority of travelers choose credit cards, 59% use debit cards and 57% choose cash to pay for their travels.

PYMNT’s data also focused on the financial picture of travelers. Higher credit scores indicate a higher inclination to travel. About 57% of high credit borrowers have summer travel plans, slightly higher than the 51% of those with mid-level scores or low credit scores.

CREDIT CARD USAGE IS UP AS INFLATION CONTINUES TO RISE

Younger generations are willing to travel and spend more on live events

Travelers from all generations are attempting to be more frugal with their travel plans this summer, but millennials and Gen Z are more willing to spend in one area: live events. Gen Zers in particular are willing to splurge on concerts, sporting events and other live events, a AAA and Bread Financial report found .

About 65% of Gen Zers and 58% of millennials have or plan to travel within the next 12 months for in-person entertainment that is at least 50 miles from home, signaling a willingness to spend extra on travel. Just 43% of Gen X and 27% of baby boomers are willing to do the same.

Many Gen Zers are even willing to travel more than 1,500 miles to attend these events. Twice as many Gen Zers in the study said that they’d be willing to travel this far, compared to just 9% of baby boomers.

"Younger generations are leading the charge when it comes to a shift in consumer spending habits surrounding live event travel," Paula Twidale, senior vice president of AAA Travel explained. "Gen Z and Millennial travelers are taking their trips to the next level by going farther and spending more than other generations for live events. They don’t want to miss out and will do what it takes to see their favorite artist, sports team, or other live event in person," said Twidale.

Not only are younger generations willing to shell out more money for travel, but also for the tickets themselves. About two in five Gen Zers and millennial travelers paid between $500 and $5,000+ for just tickets. Dipping into savings is no problem for these generations when it comes to live events in particular. Some would even consider taking on a side hustle to pay for any concerts or shows they’re interested in.

The Smithsonian American Art Museum presents its annual exploration of video games and art, SAAM Arcade 2024, Saturday, July 27, from 11:30 a.m. to 7 p.m. This program is part of the museum’s ongoing commitment to the study and interpretation of video games as part of the national visual culture.

This year, the popular celebration of creativity and innovation in games focuses on the theme of “Adventure Awaits.” This daylong event features video games that celebrate the theme of travel, exploration and the exciting possibilities of visiting real and imagined new worlds. The centerpiece of the event is the independent developer showcase, which this year features nine games. In addition,  MAGFest, a non-profit organization dedicated to the appreciation of games and video game music, is providing a variety of classic arcade and console games featuring cars, travel and new worlds to play.

The titles selected for the “Indie Showcase” include: •     “Hair Nah” by Momo Pixel, reflecting on the experience of Black women while traveling •     “A Highland Song” by inkle, set in the Scottish Highlands, where players test their survival skills •    “Atuel” by Matajuegos, focuses on the ecosystem of Argentina’s Atuel River Valley •    “Skábma-Snowfall” by Red Stage Entertainment, where players transform from Sámi reindeer herders to traditional healers •     “Sophia The Traveler” by Memo Gogo Studio, explores Venice, Italy •    “Journey” by thatgamecompany, navigates a desert and the remains of a forgotten civilization  •     “Spiritfarer” by Thunder Lotus Games, where players travel by sea and become ferry masters, caring for and befriending spirits on their way to the afterlife •    “Isles of Sea and Sky” by Cicada Games, where castaway survivors journey across ancient islands •    “Morgan: Metal Detective” by Studio Morgan, where players discover lost treasures on an island through metal detector work

From 11:30 a.m. to 1 p.m., the sound levels in the space will be reduced so attendees with sensory needs can enjoy the offerings, and throughout the program, noise-cancelling headphones will be available to borrow. American Sign Language (ASL) interpreters will be available during the program so Deaf visitors may fully engage with the game offerings. 

Musical performances by Triforce Quartet will be at 2 p.m. and 5 p.m. A special themed scavenger hunt will be available so visitors can explore the museum’s galleries and connect video games to objects in the museum’s collection. An additional activity created by the museum is Side Quest, a game where participants ask developers questions and win prizes. Detailed event information and a full list of the featured games are available on the museum’s website . This program is free, but registration is encouraged.

The Smithsonian American Art Museum is a leader in exploring the impact and artistry of video games and was one of the first art museums in the United States to acquire video games as part of its permanent collection. Video games create compelling participatory and social spaces, imagined by artists and designers and activated by players whose individual interactions are uniquely required to complete the experience. SAAM Arcade emphasizes this aspect of video game appreciation by encouraging hands-on engagement and in-person exchanges among independent developers, gamers and new audiences.

Travelers are expected to follow all internal travel approval procedures prior to making trip reservations. Driving 

To drive an automobile for business purposes, you must first become an “authorized driver.” Driver authorization results in liability protection while driving in the course and scope of university business. For detailed information go to:

Lodging 

All lodging must be reserved through the Concur online system, directly with an agent at the  University’s contracted travel agency , by booking directly with the lodging facility, or by booking through  AirBnB . Use of other third-party booking sites (e.g. VRBO, Hotels.com, Travelocity) is prohibited.

The University has  contracts with various lodging suppliers  in top travel destinations, including Wisconsin. UW contract rates are only offered within Concur.

Travelers are reimbursed for meal and incidental expenses (M&IE) while in travel status requiring an overnight stay. M&IE are reimbursed on a per diem basis, not for actual costs. Travelers cannot claim M&IE for other travelers.

The M&IE per diem rate varies from location-to-location and sometimes can vary from month-to-month. Calculate your per diem allowance .

  • Gather your receipts and documentation. This can be verified prior to travel with a Nelson administrator (see above), or a policy check will tell you what is needed.  
  • Access e-Reimbursement from the Travel and Reimbursement Tile on your MyUW homepage (see instructions above). You can assign a Nelson administrator as an alternate to create and modify expense reimbursements for you, but you still must review and submit your own. Procedure - How to Assign an Alternate .  
  • Once submitted, expense reimbursements are reviewed by a least two levels of approval. Once fully approved, the reimbursement amount is directly deposited into your bank account within 5 business days.
  • Expense reimbursements must be submitted within 90 days of the end of the trip, date of purchase (for non-travel expense reimbursements), end date of course (for tuition or job training expense reimbursements).
  • Travelers may seek reimbursement for airfare, registration fees, lodging, and vehicle rental reservation guarantees at the time payment is made. All other travel expenses are reimbursable after the trip is complete.

These free travel planning apps use AI and machine-learning tools like ChatGPT to prepare an itinerary for you in a few seconds, and we took them for a spin.

Layla describes itself as an AI trip planner, meaning you can use it to decide your vacation destination, create itineraries, and find suitable hotels and flights.

If you are uncertain about your destination or would like suggestions, you can ask Layla for advice regarding your trip. Otherwise, enter your destination and ask Layla to create your itinerary. Within a few seconds, you'll get a detailed plan for your trip.

As Layla is a chatbot, you can enter a prompt to ask it to change your itinerary. For instance, ask it to focus more on outdoor activities or include local restaurants. If you're unsatisfied with the activities planned on any particular day, you can give instructions and ask Layla to regenerate that part only.

Once you've perfected your itinerary, you can share it with your friends via a URL or add it to your bucket list.

2. Wonderplan

Wonderplan is a wonderful AI tool for planning your trip. To create your itinerary, Wonderplan first asks you to enter your destination country and city, your budget, the number of days you'll be staying, and your interests.

It then creates a travel plan within a few minutes, displaying various places to visit, their descriptions, and the time usually spent at each location. Although Wonderplan doesn't show the trip map, it does provide a link to Google Maps for each place.

It also displays different types of accommodation available (like Airbnb, hotel, or hostel) and their respective costs. Similarly, there are details about transportation, food, and activities. This way, you can estimate the potential cost of your trip.

In addition to your itinerary, Wonderplan also shows essential information about the country you're visiting. These include the currency conversion rate, electricity plug type, languages spoken, weather, and popular conveyances.

3. PLAN by ixigo

PLAN by ixigo starts by asking you about your dream destination. Then, it provides an option to describe the type of experience you want to have. This is just like a ChatGPT prompt, so you can enter anything you wish.

For example, you can specify the duration of your stay, your interests, the kinds of activities you're looking for, whether you have a family with you, and so on.

But if you can't think of any prompts, PLAN by ixigo provides a few trip ideas, so you can always select those. PLAN by ixigo then shows a day-wise plan, showing what you can do in the morning, afternoon, and evening.

However, if the suggested itinerary doesn't sound appealing, you can again enter a prompt to edit it.

4. iplan.ai

While iplan.ai doesn't mention which AI or machine-learning algorithm it uses, the results are fantastic enough to gloss over that. The app works beautifully on phones to give you a full itinerary for any one city at a time, depending on how many days you have there.

The app first asks you to name the destination city. As far as we checked, iplan.ai works best for popular tourist cities, not offbeat or obscure travel. Next, note how many days you will be there, and then choose your free time each day—a cool step to ensure a better itinerary if you already have some plans, but not a whole days worth.

Tell iplan.ai if you're traveling solo, as a couple, with family, or with friends, and then choose your interest among topics like history, art and culture, nature, entertainment, shopping, food, sports, relaxing, etc. Finally, choose between an economy, normal, or luxury budget.

After a few minutes, iplan.ai gives you a day-wise itinerary for your trip. It's plotted on a map so you can see all the locations, and each point of interest has a brief description along with estimated travel time.

The app has both free and paid plans. With a paid account, you can share the trip plan with your friends and access it offline. Another limitation of iplan.ai is that you can't get an itinerary for a multi-city trip. For now, you'll need to make a plan for each city you're visiting, one at a time.

5. Curiosio

The easiest last-minute travel plan is to get into a car and drive. Curiosio specializes in helping you plan an itinerary for a road trip to several major countries on all continents. It doesn't cover every single place, but the existing collection is impressive enough.

Curiosio uses its own AI engine, Ingeenee, which is trained on several crowdsourced travel-based resources, such as Wikivoyage, Wikipedia, Wikidata, Freebase, DBpedia, GeoNames, OSMNames, and OpenStreetMap. Through this dataset, it can chart an itinerary that meets your requirements across various parameters.

You can set options for a round trip or a one-way trip with starting and finishing points. If there are any places you want to visit on the way, add them in. Then set the number of travelers, dates of the journey, what vehicle you're using, total budget, and whether you want to visit places that spark curiosity or are obscure. The AI will usually give you multiple plans and routes for these options.

The itinerary includes a map of your route and a day-wise breakdown of where you'll be going and what you'll be seeing. Each point of interest is clickable to find more information about it. There are easy ways to share your itinerary with co-travelers, print it out, or even export it to Google Maps. Curiosio is one of the best road trip planners for your next adventure .

6. Trip Planner AI

Trip Planner AI plans a perfect trip to your dream destination. Begin creating your itinerary by entering the city you wish to visit and traveling dates. You can add multiple destinations here.

Then, select the kinds of activities you prefer, the number of people, and whether you're traveling with friends or family. Trip Planner AI asks you about your dietary preferences and budget.

As an optional step, you can specify the place where you'll be staying so that it creates an itinerary accordingly. If you haven't decided on your lodging yet, you can explore hotels suggested by Trip Planner AI.

Finally, Trip Planner AI generates a detailed itinerary, a map, and basic information about the city you're visiting. For each destination, it provides the details of the place, expected traveling time, and cost. Though it provides a complete plan for your trip, you can manually add or remove activities from your itinerary. You can also invite your friends to edit the itinerary and download it as a PDF.

7. Vacay Chatbot

Vacay Chatbot is not a dedicated itinerary maker but an AI chatbot that acts like your travel advisor. So, you can ask it to give travel recommendations, compare different destinations, and, of course, create an itinerary. If you've previously used AI chatbots like ChatGPT, you'll find this trip planner easy to use.

Just enter a prompt specifying your destination and trip details and ask Vacay Chatbot to create an itinerary. You can include details like your trip duration, budget, preferences, number of travelers, etc. The more details you provide, the better your itinerary will be.

One of the downsides of using Vacay Chatbot is that it doesn't provide a map for your trip. However, you can use these apps to plot your itinerary on a map .

All these travel planning AI apps urge you not to use the itinerary as-is and only treat it as a template or guide to begin planning your trip. This is because they currently have several limitations, like databases that aren't recently updated or require specific prompts from the user.

A real human travel agent will still give you a more customized itinerary, but it will cost you a few bucks. If you want a free base guide, more basic travel planning apps are a good starting point.

Planning on traveling for the Fourth of July holiday? Here’s how to avoid the rush

NEW YORK (AP) — The Fourth of July is right around the corner, and the travel rush is already heating up.

Millions of Americans are preparing to get out of town sometime in the coming holiday week. That will likely mean busy roads, as well as packed airports and train stations.

Motor club AAA projects that some 70.9 million travelers will head 50 miles (80 kilometers) or more from their homes over a nine-day Independence Day travel period — surpassing pre-pandemic numbers for the U.S. holiday. And the Transportation Security Administration  expects to screen  over 32 million individuals in airports from this Thursday through July 8, up 5.4% from last year’s numbers.

Are you traveling for the Fourth? Here’s a rundown of what you need to know.

When is the best time to hit the road for July Fourth?

Smooth sailing for travel around any holiday is never a given. But avoiding the most hectic times, when others are rushing out of town, is a good way to start.

If you’re traveling by car for the Fourth of July, it’s best to hit the road in the morning, according to transportation data and insights provider INRIX. Peak traffic congestion varies by location, INRIX data published by AAA shows, but the worst times to drive on, or leading up to, the holiday are generally between 2 p.m. and 7 p.m. Either way, be prepared for the roads to be jammed.

“Road trips over the holiday week could take up to 67% longer than normal,” Bob Pishue, transportation analyst at INRIX, said in a prepared statement.

July Fourth falls on a Thursday this year, and many travelers will likely take Friday July 5th off to extend their trip into a four-day weekend. Drivers in large metro areas can expect the biggest delays on Wednesday July 3 and Sunday July 7 — as travelers leave and return to town, Pishue added.

And if you’re renting a car ahead of July Fourth, the busiest pickup days will be Friday, Saturday and Wednesday before the holiday, AAA notes.

When will airports be busiest?

Airports will also likely be packed all week long — but the TSA expects most people will take to the skies on Friday.

It anticipates that it will screen more than 3 million individuals Friday. That would surpass the agency’s current record for most people screened on a single day,  which reached just under 3 million  last Sunday.

“We expect this summer to be our busiest ever,” TSA Administrator David Pekoske said, adding that travel typical peaks around Independence Day.

Last year, the busiest day for Fourth of July air travel was also the Friday ahead of the holiday, TSA data shows. If past trends hold, travel will likely be higher on the days before and after the Fourth — particularly closer to the weekend. In 2023, for example, more than 2 million people were screened on the Fourth, which landed on a Tuesday last year, down from 2.88 million the Friday before.

What should I do if my flight is delayed or canceled?

Flights can be delayed or canceled for an array of reasons — from plane-specific mechanical problems to major storms impacting popular travel paths.

If your flight is canceled, airlines are required to provide refunds for customers,  even if the cancellation is due to weather . Delays are trickier, because they typically have to meet certain criteria for relief, such as refunds or compensation — but carriers will often give customers to chance to switch to alternative flights, if available, at no cost.

In April, the Biden administration  issued final rules  that include requiring airlines to provide automatic cash refunds within a few days for canceled flights and “significant” delays. Those rules are set to take effect over the next two years, but the Department of Transportation has a site that lets consumers see the  commitments each airline has made  for refunds and covering other expenses when flights are canceled or significantly delayed.

Always check your itinerary before leaving home

It’s better to be stuck at home than locked in hourslong traffic or stranded in an airport terminal. Before heading out the door this holiday week, do yourself a favor and check the status of your travel plans.

Was your flight, train or bus ride delayed? Are there are traffic incidents set to disrupt your drive? And what about the weather? A quick look through your itinerary — such as trip updates on a carrier’s website — checking weather forecasts and monitoring traffic safety through services like the 511 hotline or your phone’s navigation apps can go a long way toward avoiding travel misery.

Here are a few more tips to keep in mind:

— Leave early: There are more people everywhere during a holiday week, so lines will be longer and roads will be busier. Give yourself more time to get to your destination or to make your way through airport security.

— Keep an eye on the weather — and not just for your destination: Look at the weather for your entire travel path. Even if it’s sunny skies both at home and the place you’re headed, it’s important to keep an eye out for any storms in between. You may need to do some rerouting.

— Be kind: A trip delay or cancellation can be really frustrating — but if you’re running into disruptions, chances are others are too. Customer service agents have a lot on their plate at this time of year, and it’s important to be patient and respectful as they try to help you.
