Don't Forget Your Travel W-2 When Doing Your Taxes

Did you do a Personally Procured Move , also known as a PPM or DITY move, in 2020? If so, be sure that you have the special travel W-2 when you complete your 2020 income tax return.

Many military families are eager to file their tax returns when the IRS opens the filing season on Feb. 12, 2021, especially when they are expecting a refund. Having this special W-2 is an important part of having an accurate income tax return filing.

Reimbursements for PPM moves are taxable income to the military service member. As such, the Defense Finance and Accounting Service issues a W-2 for that money. It's found on MyPay, in the tax document section, under Travel/Miscellaneous Tax Statement (W-2).

Thankfully, that money isn't always taxable, or at least not all of it. Active-duty military service members moving on Permanent Change of Station orders are the only group of U.S. taxpayers who are still eligible to deduct moving expenses from their income tax calculations.

You'll use the information on the travel W-2 to calculate your deductible moving expenses on IRS Form 3903, Moving Expenses. The IRS has pretty specific rules on which moving expenses can be deducted. If you're unsure what you can include in your calculations, consider getting free assistance from your installation's Volunteer Income Tax Assistance (VITA) program, or get advice from the Military OneSource MilTax program .

If you've been reimbursed more than your actual expenses, you must include the excess as income on Line 1 of your 1040 tax form. This may increase your tax liability for the year, which means you'll either get a smaller refund or owe a larger payment.

If qualified service members moving on PCS orders have actual moving expenses that exceed their reimbursement, they can deduct the excess costs on Line 13 of the 1040 tax form. This may decrease your tax liability for the year, which means you'll either get a larger refund or owe a smaller payment.

Either way, it's important that you report the income listed on your travel W-2. It has been reported to the IRS, and not showing it on your tax return may cause it to be flagged for review or even audit. Plus, if your expenses exceed your reimbursement, you want to get the benefit of that moving expense deduction.

If you don't know that it exists, it's easy to miss the travel W-2. The first time I saw one, I had no idea what it was or what to do with it. We ended up just adding it to our taxable income and paying full taxes on it. Be smarter than me, and calculate your actual moving expenses so that your tax return will be as accurate as possible, and you won't have to pay taxes on the full amount of your reimbursement.

Tax season can be stressful for many people, especially with the various tax forms that you'll have to remember to file. Form 1040 is the main form that US taxpayers use to report their individual income tax returns with the Internal Revenue Service each year.

Although there's been some changes made to Form 1040 to make the filing process easier, some still find it complicated. Here's a guide to Form 1040, how it works, and the different types of 1040s to know about.

What is Form 1040? 

Form 1040 is the IRS form that US taxpayers use to file their annual income tax returns. It has sections requiring taxpayers to report their annual taxable income and deductions to determine whether taxes are owed, or the filer will get a refund. Based on the type of income you report, you may also want to attach extra forms, referred to as schedules.

"In the past, you could choose to file Form 1040A or Form 1040EZ instead of Form 1040 if your taxes were relatively simple. But starting with the 2018 tax year, these forms have been eliminated in favor of a shorter Form 1040," says Brandon Berquist, tax planning specialist at Empower . "There are fewer boxes to fill in on Form 1040 than there were before because many lines from the old form have been moved onto additional schedules."

The purpose of Form 1040 is to declare annual income tax returns. If you earn income over a certain threshold, you need to report that plus tax deductions and tax credits for that year. You'll then use this information to calculate your tax liability for the year and find out if you owe any taxes or you'll receive a refund.

Tax season begins in earnest around mid-February. You need to send your 1040 form to the IRS by the deadline for filing taxes each year, which is April 15, 2024 for 2023 tax returns.

If you need more time to file your taxes, you can file for a six-month extension to file your taxes by October 17.

Here's a closer look at what the Form 1040 does:

  • It confirms your identity. The very top part of Form 1040 requires you to fill out your basic information. This includes your tax filing status, name, address, Social Security number, and dependents. The filing status can be single, married filing jointly, married filing separately, head of household, or qualifying widow(er). 
  • It calculates your taxable income. Form 1040 is used to determine your taxable income for the year plus the deductions you'd like to claim. One of the steps is calculating your adjusted gross income (AGI) minus any allowable adjustments. When reporting your AGI, you can reduce how much you owe the IRS with standard deductions or itemized deductions. Subtracting your itemized or standard deductions from your AGI will result in your taxable income. Itemized deductions include mortgage interest, charitable deductions, state and local taxes, and medical expenses — with certain limitations.
  • It calculates your tax liability. When filing your taxes, you need to report how much income tax you owe the IRS. This is called tax liability. If you have dependents, you can claim tax credits at this point. For example, you may claim a child tax credit or any other qualifying tax credit.
  • It determines whether you've paid all or part of your tax bill. Form 1040 also ascertains if you've paid all of your income taxes or you still owe some. If you've paid more, you're due for a tax refund. If you've paid less, you owe the IRS and need to pay the full balance by the tax filing deadline in order to avoid penalties and interest. If you owe and cannot pay the full balance, it is recommended that you still file form 1040 on time to avoid a failure to file penalty. Any amounts owed after the filing deadline will still incur failure to pay penalties and interest, even if you apply for an installment agreement with the IRS.

If you need to file your individual income tax returns, you can find Form 1040 on the IRS website. The form is typically available as a PDF that you can fill out manually and send by mail or use the IRS's Free File Fillable Forms . You can also file your returns using tax software , where you only need to provide the required information.

There are various types of Form 1040 that some taxpayers may need to fill out.

Form 1040-NR

If you're a non-resident alien doing business in the US, you might need to file the IRS Form 1040-NR. Also, if you are a representative of a deceased person, an estate or trust , you need to file this form if they're required to do so. 

Form 1040-ES

This form is for anyone who pays estimated quarterly taxes . The estimated tax applies to any income not subject to withholding, including self-employment income, rents, interest, and dividends . It may also include compensation from unemployment and the taxable part of social security benefits.

Form 1040-V

If you have any balance due on the "amount you owe" line of your Form 1040 or 1040-NR, you might want to fill this form. It's a statement that accompanies taxpayers' payments.

If you made a mistake when filing Form 1040, you can make corrections using Form 1040X. You can also use this form to claim carryback or make changes to the amounts formerly adjusted by the IRS. The typical deadline for Form 1040X is three years from the date you filed Form 1040.

Form 1040-SR

This version of the IRS Form 1040 is exclusively for senior taxpayers (age 65 and older). Form 1040-SR is very similar to the standard Form 1040. The main difference is that it has some sections printed in large fonts. It also has a chart designed to help senior taxpayers calculate their standard deductions.

The IRS 1040 and W-2 forms are not the same thing. A 1040 is the main document you use to file your tax return with the IRS. A W2 includes information from an employer about an employee's annual wages and taxes withheld.

A 1040 is the form that taxpayers use to file their tax returns with the IRS. A 1099 is a tax form documenting different types of payments made by an individual or a business other than your employer.  The payer of those funds fills out a 1099 and sends copies to you and the IRS. 

Who needs a 1040 form?

Almost everyone who pays US income taxes needs a 1040 form to do so. Even if you don't earn enough money to have to pay taxes, filing a 1040 form may still be beneficial because you could still get money back from the government if you qualify for certain tax credits .

New 1040 form for older adults

The IRS has released a new tax filing form for people 65 and older . It is an easier-to-read version of the 1040 form. It has bigger print, less shading, and features like a standard deduction chart. The form is optional and uses the same schedules, instructions, and attachments as the regular 1040.

Check your travel documents — REAL ID required for domestic travel starting 2025

SALT LAKE CITY (KUTV) — The Department of Homeland Security announced that starting May 7, 2025, all travelers over age 18 will be required to possess a REAL ID to board domestic flights and/or cross the border.

This directive serves as a reminder for people to ensure they have the necessary documentation for future travel plans.

Most Utahns are already compliant with REAL ID requirements . The Utah Department of Public Safety said REAL IDs have been issued in the state for years, and around 80 percent of Utahns have them.

If you want to verify, check your Utah driver license or state ID and make sure it bears a gold star.

If you want to travel internationally, you will still need a passport.

Veteran Utah travel agent Suzy Gustafson of SG Travel Two, said she's more concerned about travelers having valid passports than having REAL IDs, since most Utahns have them.

Gustafson said people who travel out of the U.S. often overlook the fact that many countries, except for Mexico, require passports to be valid six months beyond the date of the return flight.

That means passport holders should treat the document as if it expires after 9.5 years, not 10 years.

She has known travelers who have been turned away at the airport for international flights because their passport does not meet that requirement.

"They will not let you on the plane," she said.

The risk of financial loss due to improper documentation is real if you miss your flight and lose hotel rooms or other accommodations.

Gustafson said most travel insurance plans will not cover you if you miss a flight because your documents aren't in order.

From August 1 Onward: Required Documents for Bringing a Dog into the United States

The documents on this website are specific to the importation of dogs under CDC’s updated dog and cat regulation, effective August 1, 2024. All suspension rules remain in effect through July 31, 2024. If your dog is entering the United States before August 1, 2024, you must follow the rules of the temporary suspension. Please find relevant information (and use the DogBot) at What Your Dog Needs to Enter the United States . On August 1, the new requirements become effective.

The documents required depend upon where your dog has been vaccinated for rabies, and what countries they have been in during the six months before traveling to the United States.

Required documents for dogs with a current rabies vaccination administered in the United States that have been in a high-risk country for dog rabies within the 6 months before entry:

  • The CDC Dog Import Form will be accessible beginning July 15, 2024. Check back at that time for travel occurring on or after August 1, 2024.
  • The Certification of U.S.-issued Rabies Vaccination form must be completed by a U.S.-accredited veterinarian before the dog leaves the United States. U.S.-accredited veterinarians can access the form and its instructions at Veterinary Export Health Certification System (VEHCS) Help Page
  • Instructions for veterinarians are available here: Instructions to complete the Certification of U.S.-issued Rabies Vaccination Form [PDF – 4 pages] .
  • This document can be shown instead of the  Certification of U.S.-issued Rabies Vaccination  form.
  • The rabies vaccination must be valid (not expired) on the date of return or the form will be invalid.

Required documents for dogs that departed the United States and have been only in dog rabies-free or low-risk countries during the 6 months before entry:

AND one of the following:

  • The Certification of U.S.-issued Rabies Vaccination form must be completed by a U.S.-accredited veterinarian before the dog leaves the Unites States. U.S.-accredited veterinarians can access the form and its instructions at Veterinary Export Health Certification System (VEHCS) Help Page
  • Lists the destination as the dog rabies-free or low-risk country from which the dog is returning (the form will only be valid for 30 days if it does not contain rabies vaccination information) (the form will only be valid for 30 days if it does not contain rabies vaccination information), or
  • Documents a valid (unexpired) rabies vaccination administered in the United States (the form will be valid for the duration of the rabies vaccination (1 or 3 years)).

Required forms for dogs that have been in a country at high-risk for dog rabies within the 6 months before entry (and do not have Certification of U.S.-Issued Rabies Vaccination form)

  • Travel & entertainment expenses, including company card transactions for direct-billed airfare and service fees for trips concluded prior to June 1 , must be received in the Concur Travel Accounting queue (reimbursements and direct billing) or the Travel Accounting office (vendor invoices) for processing by 5 p.m. Friday, June 7,  to be processed for Fiscal Year 2023 ‐ 24.
  • Travel & entertainment expenses, including company card transactions for direct-billed airfare and service fees for trips concluded between June 1 and June 14 , must be received in the Concur Travel Accounting queue (reimbursements and direct billing) or the Travel Accounting office (vendor invoices) for processing by 5 p.m. Friday, June 14,  to be processed for Fiscal Year 2023 ‐ 24.

The Foreign, Commonwealth & Development Office ( FCDO ) provides advice about risks of travel to help British nationals make informed decisions. Find out more about FCDO travel advice .

FCDO advises against all travel to Russia

Your travel insurance could be invalidated if you travel against FCDO advice. Consular support is also severely limited where FCDO advises against travel.

FCDO advises British nationals against all travel to Russia due to the risks and threats from its continuing invasion of Ukraine. The situation in Russia is unpredictable. This includes:

  • security incidents, such as drone attacks, happening in some parts of the country
  • lack of available flights to return to the UK
  • limited ability for the UK government to provide consular assistance

There is also a high likelihood that terrorists will try to carry out attacks, including in major cities. See ‘Safety and Security’ section .

Security situation in Russia

The Russian invasion of Ukraine continues. There are reports of drone attacks and explosions in areas in western and southern Russia, particularly near the Russian border with Ukraine, Moscow and St Petersburg.

Political rallies and demonstrations can take place in Moscow, St Petersburg and across Russia. Check the local media for the latest information. Be vigilant and avoid any political demonstrations or gatherings.

The situation remains unpredictable and could escalate without warning.

Leaving Russia

FCDO advises British nationals to consider leaving Russia.

If you do not need to be in Russia, we strongly advise you to consider leaving.

You cannot fly directly from Russia to the UK or through EU countries. Commercial flight options are limited and can sell out quickly. Check with your airline or travel provider.

British nationals should exercise extreme caution at all times. Travel within or out of Russia is at your own risk.

You cannot fly direct from Russia to the UK or through EU countries. There are limited commercial airlines with indirect flights via the Middle East, Serbia and Turkey. Check the latest information with your airline or travel provider.

Land borders may be busy. Be prepared for a long wait to exit Russia. You may also be questioned at the border. During periods of unrest, check the local media for updates on the situation before travelling.

Road border crossings between Finland and Russia will be closed until at least 11 February 2024. Consult the  Finnish border guard website  for up-to-date information. Further changes may be announced at short notice.

Some European countries have restricted or banned the entry of vehicles registered in Russia, this includes:

If you plan to drive a vehicle registered in Russia into Europe check that you are eligible to do so.

Some bus companies have international routes. The situation may change quickly. From 18 November 2023, Finland will restrict entry at some road border crossings (See ‘Travelling from Russia to Finland’). Check these companies for availability of buses, timetables and tickets:

  • Ecolines – buses to Riga (Latvia), Tallinn (Estonia), Vilnius (Lithuania) and other destinations in Europe
  • Baltic Shuttle – buses from St Petersburg to Tallinn (Estonia)
  • Lux Express – buses from St Petersburg to Riga (Latvia), Tallinn (Estonia)

Travelling from Russia to Latvia

Travelling from Russia to Finland

Check the travel advice for Finland .

Road border crossings between Finland and Russia will remain closed until further notice. Consult the  Finnish border guard website  for up-to-date information. Further changes may be announced at short notice.

The border crossing points for maritime traffic at Haapasaari, the port of Nuijamaa and Santio will be closed to leisure boating from 15 April until further notice.

The train service from Russia to Finland is no longer available.

Travelling from Russia to Estonia

Check the travel advice for Estonia .

From 1 February 2024, it is not possible to cross the border by vehicle via the Narva-Ivangorod crossing point, whilst construction works take place on the Russian side. The crossing is open to pedestrians.

Travelling from Russia to Lithuania

Staying in Russia

If you decide to stay in Russia, you should:

  • keep your departure plans under constant review
  • ensure your travel documents are up to date
  • follow local media
  • stay alert to security warnings and follow the advice of local authorities
  • take cover in buildings or underground and avoid windows in the event of drone attack
  • sign up to email alerts for Russia travel advice

Support for British nationals in Russia

The British Embassy in Moscow and British Consulate Ekaterinburg are open, but the situation could change at short notice.

In person consular support in Russia is limited. It is very limited in parts of Russia because of the security situation and the size of the country, particularly in the North Caucasus.

Dual nationals

Dual British-Russian nationals are treated as Russian nationals by local authorities. The consular support FCDO can provide is severely limited. If you are arrested or detained, Russian authorities are unlikely to allow us consular access.

In 2022, Russia declared a partial mobilisation of Russian citizens to join the military forces. Military recruitment continues. Anyone with a Russian passport could be conscripted.

In August, Russian law was amended to stop Russian nationals eligible for military conscription from leaving Russia from the day their draft notice appears on the federal electronic conscription register.

Senior Official Performing the Duties of Commissioner Troy A. Miller delivered the following testimony to the House Appropriations Subcommittee on Homeland Security FY 2025 Budget Hearing April 30:

Chairman Amodei, Ranking Member Cuellar, and Members of the Subcommittee –Thank you for the opportunity to testify today and discuss the Fiscal Year 2025 President’s Budget for U.S. Customs and Border Protection.

Before I begin, I would like to take a moment to acknowledge the four law enforcement officers who were killed in the line of duty yesterday – and those gravely wounded. A senseless tragedy, and a stark reminder of the dangers our nation’s law enforcement officers face every day. Our thoughts are with their families and colleagues, and we hope for swift recovery for the injured. CBP is standing shoulder to shoulder with you all.

It is my distinct honor to represent the men and women of CBP here today. As a career law enforcement official, I can speak firsthand to the changes I have seen over the last 30 years when I started with the U.S. Customs Service. 

I can honestly tell you: I have never been more proud of the accomplishments of the CBP workforce than this past year. Just last week I had the great privilege to recognize some of their incredible achievements during our annual Commissioner’s Awards ceremony. These awards celebrate the extraordinary work CBP’s dedicated and talented people do every day – their everyday heroism.

All while facing serious challenges: from unprecedented migration flows, to increased risk in the trade environment, to the persistent threats and sophisticated tactics of transnational criminal organizations facilitating drug and human smuggling. I can assure you that the men and women of CBP are up to the challenge.

I could not be more grateful to the Members and staff of this Subcommittee for your continued support of CBP’s mission and workforce. You have ensured that we have the personnel, technology, equipment, and infrastructure to fulfill our broad responsibilities, and take care of our incredible workforce.

The Fiscal Year 2025 President’s Budget builds on CBP’s ongoing efforts to expand our situational and domain awareness; respond to emerging threats; and detect and intercept dangerous drugs and contraband.

This Budget:

  • funds critical enhancements to border security technology;
  • modernizes our facilities and processes to increase personnel safety and operational efficiency;
  • and provides for additional agents, officers, and support staff.

First and foremost, we are the nation’s largest federal law enforcement agency. At our borders and beyond, CBP continues to counter the threat of sophisticated criminal organizations engaged in drug smuggling. As you know, synthetic drugs like fentanyl are devastating our communities. In Fiscal Year 2023, CBP seized 27,000 pounds of fentanyl — the equivalent of approximately 1.2 billion doses. That’s nearly double the amount we seized in FY 2022.

Our borders must be the last line of defense, not the first, so our enforcement efforts are multilayered and begin beyond the borders. That’s how we are attacking the fentanyl problem. Using intelligence and advanced targeting, we are going after the whole supply chain, from precursor chemicals to production equipment. We are also enhancing information sharing and collaboration with our federal, state, and local law enforcement partners, foreign governments, and the private sector. We are bolstering our enforcement capabilities in the trade environment — pursuing key proposals to strengthen our ability to combat de minimis shipment exploitation.

We continue to experience serious challenges with increased migration between the ports of entry: most of this is being driven by criminal organizations engaged in the lucrative — and cruel — human smuggling business.

We are prioritizing national security and disrupting criminal networks, while maximizing consequences for unlawful entry, including detention, prosecution, and removal. At the end of the day, our goal continues to be getting our Agents and Officers back to the law enforcement mission they were hired to do. The funding you have provided is critical to maximizing our immigration consequence delivery system.

Like I said at the start, the men and women of CBP are the driving force of our agency. In the coming years, we are expecting a retirement surge due to a large number of personnel reaching eligibility. We are planning now, with a human capital strategy to ensure the necessary staffing levels to perform our critical missions. I appreciate your support to confront this challenge by increasing hiring well in advance.

As I know you are all aware, CBP employees have difficult, and often dangerous, jobs. I see it as one of my top priorities to take care of our folks. With critical funding and guidance provided by Congress, CBP has expanded the availability of key programs like on-site clinicians, and enhanced our suicide prevention, chaplaincy, and peer support programs that are improving employee wellbeing and performance. With your partnership, CBP will continue to build on these investments and prioritize employee support and resilience.
