Triton Registration Installment Plan (TRIP)

By default, tuition and registration charges are billed every quarter for the academic year.  This means that tuition will be due at the start of each quarter (Fall – September, Winter – December, Spring – March).  If you require more time to make a payment, you may enroll in TRIP, or the Tuition Registration Installment Plan.  TRIP divides up the tuition and mandatory registration fees into three monthly installments for each quarter (or two months, if enrolled late). 

  • For two monthly installments - The last day to enroll is the second billing month due date for each quarter, to pay in two monthly installments. Installments will be spread evenly across two months. 

Critical Concepts

There is a $40 non-refundable fee for each quarter that TRIP is active. This fee is due, up front when signing up for TRIP.

If you miss a TRIP due date, you may be cancelled from your classes and/or a hold may be placed on your account.

FOR HOUSING: TRIP will only apply to tuition and registration fees. To make adjustments to the housing installment payment plan (i.e. change from quarterly to monthly payments), please visit the Housing Portal and fill out a "Housing Installment Payment Plan Change Request." 

TRIP is not available for students that receive enough Financial Aid to pay for the entire tuition.

TRIP is not available for Summer Session.

The student must not have any holds prior to enrolling in TRIP. 

  • If you have a past due balance, you may not enroll in TRIP.

You must sign up for TRIP every quarter that the payment plan is needed. 

  • You can only sign up for TRIP after your tuition and registration fees have been billed to your account.  

Steps to Take

  • Visit tritonpay.ucsd.edu, click on "Student Login," and log in with your SSO.  
  • Click on "Payment Plans" on the left side navigation. 
  • Click on "View Payment Plan Options."
  • Review the payment plan breakdown and due dates. 
  • Click "Enroll in Plan." 
  • Review "Terms and Conditions," and enter in your PID. 
  • Pay $40 enrollment fee. 

Authorized Payer

  • Visit tritonpay.ucsd.edu, click on "Authorized Payer Login," and log in with your authorized payer username and password.

Scholarship Funding

How can I apply for this scholarship?

  • The Chancellor’s Associates Scholars Program does not have an application. Student eligibility and determination are administered through the Financial Aid & Scholarship Office and Undergraduate Admissions.
  • One institution or organization through an Individual nominator can nominate up to 2 candidates during the UC application process. The application process, deadlines, and eligibility requirements are assessed annually by the Financial Aid & Scholarship Office and Undergraduate Admissions.

How much money will this scholarship award me?

  • First-year admitted first-year students will receive $10,000 per academic year for four years. First-year admitted transfers will receive $10,000 per academic year for two years.

How many years will I receive the scholarship?

  • Entering first-year students will receive the scholarship funding for up to four years and will retain the scholarship benefits during their tenure at UCSD. Entering transfer students will receive for up to two years and will retain the scholarship benefits during their tenure at UCSD.

What happens if I don’t graduate in two years (transfers)/four years (first years)?

  • Students who stay longer than two years(transfer)/four years (first years) will continue to be a part of the Chancellor’s Associates Scholars Program. Students can still take advantage of academic support programs and events the CASP office will organize. However, students will no longer receive the Chancellor’s Associates Scholarship or receive guaranteed on-campus housing.

Can my CASP scholarship cover my College Orientation?

  • A financial aid student, who has enough financial aid to cover all of their fees and tuition, can have their Orientation Fee paid with their fall financial aid disbursement.

What is TRIP and should I sign up for it? 

  • TRIP (Triton Registration Installment Plan) is a payment plan for tuition and fees only. CASP students are typically awarded other forms of financial aid that cover the cost of tuition and fees. If you are thinking about joining TRIP, we’d encourage you to first have a conversation with The Financial Aid and Scholarships Office, before signing up for TRIP.  Please note that TRIP is not a plan used for Housing and Dining expenses.

I'm planning on living off-campus for the 2024-2025 academic year and I won't be living with parents. My financial aid package defaults to "living with parents," does that mean that I'll receive less financial aid?

Given the situation with COVID and UC San Diego’s Return to Learn, your initial financial aid package will be based on a  Living with Parent  budget which is now reflected on your 2024-25 TritonLink.

  • If you will be living with your parents for the 2020-21 academic year, no action is required.
  • If you will be living off campus, but not with parents or family , contact the Financial Aid & Scholarship Office at [email protected] stating your correct housing status (either  Living On-Campus  or  Living Off Campus ). If you are updating your status to  Living Off Campus , please provide supporting documentation, such as a copy of your lease showing your name and rental dates for 2020-21.

Can I get my Orientation Fee deferred?

  • Orientation Fees are handled by the individual colleges and are not something the CASP Office or the Financial Aid Office typically get involved with. We suggest emailing your college dean to inquire as to their specific policy.

Please note the deadline to submit this documentation to adjust fall financial aid is October 16th, 2024 , but to ensure your financial aid accurately reflects your housing status we recommend submitting documentation as soon as possible prior to the Fall fee deadline.

GPA and Academic Commitments

Is there a minimum GPA requirement to maintain the scholarship?

  • Students must maintain Good Academic Standing to maintain the scholarship funding and must meet the scholarship program commitments to remain in the scholarship program.

How many times per quarter do I need to meet with my academic advisor to maintain scholarship eligibility?

  • You need to meet with your College academic advisor a minimum of two times per academic quarter for your first year at UC San Diego.  You will be asked to check in a minimum of one time per academic quarter with your College academic advisor during your second year. Students do not need to provide documentation to CASP after their meeting with their college advisor.

  When do I begin receiving priority registration benefits?

  • Students who are part of the Chancellor’s Associates Scholars Program, and maintain their eligibility requirements, receive priority class registration for every quarter they are a registered student at UC San Diego. A students’ priority registration begins the Winter Quarter of their first year at UCSD and continues afterward.

How will the scholarship be distributed to me?

  • The $10,000 scholarship award will be evenly distributed to you throughout the academic year ($3,333.00 paid evenly over 3 academic quarters).

What happens if I drop a class and I go below 12 units?

  • If you a thinking about dropping a class and will be going below 12 units (which is considered full-time student status for UC San Diego), we highly encourage students to meet with their college academic advisor and the Financial Aid & Scholarship office. Depending on when a student drops a class, it might affect their Financial Aid package in different ways.

Can I be a part-time student and still be a part of CASP?

  • Students can request to go into part-time status and still be a part of the Chancellor’s Associates Scholars Program. However, we highly encourage students to visit the Financial Aid & Scholarship to receive information on how their financial aid package will be affected by change in status.
  • Additionally, part-time status may impact a student’s housing situation. If a student is thinking about going part-time, please contact Housing, Dining, and Hospitality.

If I take a quarter off, will I lose my scholarship?

  • Students can take a quarter off without losing their Chancellor’s Associates Scholarship. If students will be withdrawing from a quarter, they must first meet with their college academic advisor office to complete the official withdrawal process with their college. They must also inform the Financial Aid & Scholarship office about their withdrawal to pause their scholarship for the quarter they will be absent.

Does the scholarship cover my housing?

  • As a CASP scholar, you are guaranteed housing ( as long as you meet all housing deadlines ). Your CASP scholarship can be applied to your housing charges once your tuition and fees are paid in full each quarter. Your housing costs are dependent on the housing choices that you make as well as which dining plans you select. In some cases, the scholarship will cover these expenses, but if you select a higher-cost housing choice, the scholarship may not cover 100% of these expenses. 

Is the scholarship money available during the housing prepayment deadlines (which typically occur prior to when my scholarship is disbursed)?

  • CASP students are not required to make a $450 prepayment to complete the housing contracting process and will be presented with an alternative form to complete instead. For questions, please email  [email protected].

What special housing guarantee do I get?

  • Incoming CASP first-year students get four years of housing if all housing deadlines are met.  Four years is defined as 12 consecutive quarters beginning with Fall Quarter and excluding summers.  Incoming CASP Transfer students get two years of housing if all housing deadlines are met.  Two years is defined as 6 consecutive quarters beginning with Fall Quarter and excluding summers.

  Does studying abroad affect my housing guarantee?

  • No, as long as you are attending a UC-sponsored study abroad program.  However, your study abroad time does not extend your housing guarantee.  Your housing guarantee continues to lapse while you are studying abroad. 

Do I get priority with my housing assignment and room selection? 

  • No, all housing assignments and room selection lottery time assignments are completely random. 

Can I still get guaranteed housing if I’m planning on living in family housing?

  • Yes, students can still receive guaranteed housing even if they’re planning on living in family housing. However, students must contact Housing, Dining, and Hospitality, to know more about their deadlines and requirements.

If I decide to live off-campus, does the CASP scholarship cover my housing? How would I pay for expenses off-campus?

Once all charges are paid with the financial aid awards (each quarter), if there are excess funds, we will refund them to you.

If you choose to live off of campus, the same process will occur, however, there won’t be any on-campus housing charges, so we will refund you the amount of financial aid AFTER the tuition and fees are paid.

Budgeting is an important aspect of this choice. Financial Aid is disbursed 3 times a year (Fall, Winter, and Spring).

Your off-campus rent will be due every month. So your Fall financial aid refund will need to assist with all of your off-campus expenses, from September, October, and November. The Winter financial aid would happen in December. And so on.

Keeping a budget will be critical to help you have enough funding to keep you throughout the full year.

When will I find out my room assignment (for incoming freshmen and incoming transfers)? 

  • Room assignments will be available in late August.  All students with housing contracts will be contacted via email once that information is available. 

I need to change my dining plan and/or housing installment payment plan.  How can I do that?  

  • To change your housing installment payment plan, please log into the  Housing Portal   and fill out a housing installment payment plan change form. If you need to change your dining plan, please reach out to CASP at [email protected] .

Summer Session, Study Abroad, and Global Seminars

Does my scholarship cover Summer Session?

  • No, the Chancellor’s Associates Scholarship award only applies for the regular academic school year including Fall, Spring, and Winter quarters but excludes all summer sessions.

Will my scholarship help me to pay for summer housing?

  • No, you have guaranteed housing on campus during the summer (given deadlines are met) but financial aid will not apply to cover the costs

Will this scholarship help to cover the costs of Global Seminars?

  • This scholarship does not cover any summer expenses including Global Seminars.

Will this scholarship help me fund my study abroad program?

  • If you travel abroad through EAP, all your financial aid, including the $10,000 Chancellor’s Associates Scholarship, will carry over to help cover your study abroad costs. However, it will not apply during summer abroad programs. Contact the Programs Abroad Office and financial aid office for more detailed financing plans concerning your specific travel abroad program.
  • If you travel abroad through OAP, only state and federal aid will carry over to help pay for your costs. No UCSD-based aid, including this scholarship, will help to finance your costs. This applies to both the regular academic year and all summer sessions.

Will this scholarship help to cover the costs for UCDC?

  • All your financial aid, including all UCSD-based aid such as this scholarship, will help to cover the costs for UCDC. However, this scholarship only applies for Fall, Winter, and Spring quarters and so will not apply for UCDC during the summer. Speak directly with the Academic Internship Office for more detailed UCDC budgeting concerns.

Undergraduate and Graduate Registration

Following are brief descriptions and links to additional information regarding enrollment and registration. In addition, other useful information can be obtained at the Registrar’s website, “Registrar’s Office.”

Introduction to Enrollment and Registration

Enrolling in classes, new student enrollment.

Prior to the quarter for which they have been admitted, new students will receive information from their college regarding orientation dates, course enrollment, and fee-payment deadlines. Enrollment materials will be provided at the college provosts’ offices on the days assigned for new students’ registration. New first-year students admitted for the fall quarter will be invited to attend a new student orientation during the summer preceding fall quarter.

Continuing Student Enrollment

Continuing students (those currently registered or eligible to register) should refer to TritonLink for enrollment information, dates, and fee payment instructions.

Definitions

Students are considered enrolled when they have requested space in at least one course and space in classes has been reserved. Students are not considered registered until they have both enrolled in courses and paid registration fees. Waitlisting a class does not constitute enrollment. Enrollment is processed using WebReg in TritonLink . Continuing undergraduate students are assigned a start time, after which they may enroll in classes. Start times are based on the number of units completed. Students who have completed more units will receive earlier start times than students with fewer units. Students are responsible for all courses in which they are enrolled. Students should check WebReg in TritonLink to confirm class enrollments. Students must make any necessary changes by the add/change/drop process (through TritonLink ) or by appropriate withdrawal.

The enrollment checklist provides students with important information on appointment times, advising, holds, enrollment limitations, prerequisite requirements, restrictions, approvals, wait lists, and class confirmation.

Enrollment Checklist (Undergraduates)

Enrollment checklist (graduates), part-time/half-time study.

Students can attend UC San Diego at less than full-time status. Undergraduates are considered part-time if they have been approved for part-time status and enroll in ten or fewer units per quarter. Graduate students are considered half-time if they have been approved for half-time status and enroll in six or fewer units per quarter.

Part-Time Study (Undergraduates)

Half-time study (graduate students), special enrollment.

UC San Diego undergraduates can take classes at other campuses through the simultaneous enrollment program (take classes at another UC campus while simultaneously enrolled at UC San Diego), the cross-enrollment program (take classes at California State University or California Community College campuses), or the Intercampus Visitor Program (visit another UC campus for a quarter).

Add, Drop, Changing Grading Option or Units

After enrollment, students may make any necessary corrections to their class schedules on WebReg in TritonLink . Through the second week of instruction, students may add courses via WebReg. After the second week and through the end of the final week of instruction, students may add courses only with the approval of the instructor and of the department via EASy. Students may continue to change grading options through the end of the fourth week.

Undergraduate students may drop a course before the end of the sixth week of instruction; approval to withdraw from a course after the end of the sixth week of instruction and before the end of the tenth week of instruction may be granted by petition to a student’s college provost for emergency reasons. Graduate students may drop a course before the end of the ninth week of instruction; approval to withdraw from a course after the end of the ninth week of instruction and before the end of the tenth week of instruction may be granted by petition to the dean of the Graduate Division for emergency reasons.

Undergraduate

How to add a class, how to drop a class, how to change a grading option or number of units per class.

Undergraduate students who wish to drop all their courses are required to file an undergraduate withdrawal form with their college academic advising. Please see the W (Withdraw) grade regulation that applies after the fourth week of instruction. Graduate students who plan to withdraw from UC San Diego should contact their graduate program.

If an undergraduate student has been absent for two or more quarters, he or she must apply for readmission to UC San Diego. Graduate students who have been out at least one quarter must apply for readmission through the Graduate Division. The readmission process is different depending on the amount of time the student has been absent from UC San Diego, and the academic standing when the student left.

How to Apply for Readmission to UC San Diego (Undergraduate)

Enrollment exceptions and limits.

The undergraduate program consists of four four-unit courses each quarter, or sixteen units per quarter, for four years. Students must complete a minimum of thirty-six units in three consecutive quarters in order to satisfy the minimum progress requirements (see “ Minimum Progress ” in the “ Academic Regulations ” section). Undergraduate students wishing to take more than twenty-two units of credit in a quarter will need their college provost’s approval.

The minimum unit requirement for the bachelor’s degree is 180 quarter units. A student is expected to complete the requirements for graduation within this minimum unit requirement. The bachelor of science (BS) degree may require satisfaction of additional units, depending upon the student’s major.

Quarter Limit and Enrollment Beyond the Quarter Limit (for students entering UC San Diego in fall 2019 or thereafter)

An undergraduate student who enrolls at UC San Diego as a first-year student in fall 2019 or thereafter is allowed to enroll for twelve quarters to complete all requirements for a bachelor of arts (BA) or bachelor of science (BS) degree; if a student reaches this quarter limit and needs additional time to complete those requirements, they will be required to submit a completion plan and have it approved by their college prior to enrolling for additional quarters to continue work toward the degree.

An undergraduate student who enrolls at UC San Diego as a transfer student in fall 2019 or thereafter is allowed to enroll for six quarters to complete all requirements for a bachelor of arts (BA) or bachelor of science (BS) degree; if a student reaches this quarter limit and needs additional time to complete those requirements, they will be required to submit a completion plan and have it approved by their college prior to enrolling for additional quarters to continue work toward the degree.

Summer session, as well as quarters during which students are approved for part-time status or have withdrawn from all courses, will not count toward the allowable number of quarters.

Maximum Unit Limitation and Approval for Enrollment for More than 200 Units (for students enrolled at UC San Diego prior to fall 2019)

An undergraduate student who enrolled at UC San Diego as a first-year or transfer student prior to fall 2019 may register for no more than 200 course units. Candidates for BS degrees in engineering are permitted 230 units (240 for engineering majors in Revelle and Roosevelt colleges). Under special circumstances, students may extend their undergraduate training beyond the minimum. Non-engineering students who are attempting to achieve more than 200 quarter-units will not be permitted to register without their college provost’s approval. Other exceptions will be granted only for compelling academic reasons and only with the approval of the college provost. Transfer units applicable toward general education requirements or major requirements are included in the maximum unit calculation; all other transfer units are excluded. Advanced placement and international baccalaureate units are excluded. See information regarding “ Maximum Unit Limitation ” in the “ Undergraduate Degree Requirements ” section of this catalog.

Enrollment and Registration Holds

A student may have a “hold” placed on their account, preventing enrollment or registration (payment of fees) for reasons that may include, but are not limited to:

  • Failure to respond to official notices.
  • Failure to settle financial obligations when due or to make satisfactory arrangements with the Student Financial Services Office.
  • Failure to present certification of degrees and/or status on leaving previous institution(s).
  • Failure to comply with admission conditions.
  • Failure to declare major after ninety units.

Each student who becomes subject to a hold action is given advance notice and ample time to deal with the situation. However, if the student fails to respond, action will be taken without further notice, and he or she is entitled to no further services of the university, except assistance toward resolving the issue. Students must secure a release from the office initiating the hold action in order to receive further services from the university.

Payment of Fees

Billing and payment.

Registration at UC San Diego is a two-step process: (1) enrollment in classes and (2) payment of fees. You must enroll first so that your fees can be assessed. You can pay fees any time after you enroll in classes. An E-Bill notice will be emailed to your UC San Diego email address after enrollment; however, if enrollment occurs just prior to the enrollment deadline, you may not receive an E-Bill notice. Pay by E-check on TritonLink or make checks payable to: UC Regents. Mail checks to UC San Diego Cashier’s Office, 9500 Gilman Dr. # 0009, La Jolla, CA 92093-0009. Be sure to include your student PID number on your check and include the remittance stub from TritonLink or the top portion of your billing statement. Fees are due and payable by the published deadline whether or not an E-Bill notice is received. Payments must be posted to your student account by published deadlines. Your current account activity and balance are available on TritonLink during normal TritonLink hours.

Students do not receive printed bills via US mail. Instead, UC San Diego sends an E-Bill notice to your UC San Diego-issued email address when your bill is ready to be viewed and paid.

The UC San Diego Triton Registration Installment Plan (TRIP) is available for students who desire an alternative method of financing their registration fees on a short-term basis. All students in good financial and academic standing are eligible for the program, except for those students whose financial aid or graduate support will pay their registration fees.

Resolving Payment Holds on Your Student Account

The university registration fee covers services that benefit the student and are complementary to, but not a part of, the instructional program, and it includes recreational activities, student organizations, and the Student Health Service. No part of this fee is refunded to students who do not make use of these privileges.

In addition, there is a campus activity fee for undergraduates, a university center fee for all students to be used for the construction and operation of the student centers, and a recreational facility fee.

Registration fees are subject to change.

Students who enroll in courses but fail to pay fees by the published deadline will be assessed a late payment fee. Students who fail to enroll in courses prior to the registration deadline will also be assessed a late enrollment fee and a late payment fee. Currently these fees are $50 each.

Public Transit at UC San Diego

Several mass transit routes serve the campus and surrounding area. UC San Diego offers different programs that provide discounted transit access for faculty, staff and students.

Transit Passes

Transit products for the San Diego Metropolitan Transit System (MTS) and North County Transit District (NCTD) are delivered through the PRONTO regional fare system.

In addition to the daily, weekly and monthly products available directly through PRONTO , these products are available exclusively to certain segments of the UC San Diego community.

Travel needs to be planned and communicated in advance with the department fiscal staff. All travel receipts should be provided to fiscal staff within 15 days after travel has been concluded and will be reconciled by the department within 30 days of travel.

Travel Request and Reimbursement Form

Pre-Travel and Obtaining an Event Number

UC San Diego policy requires that all business travel, including employees and guests, is booked in   Concur   through   Concur Travel .  Concur Travel is also available for personal travel.  Before booking any travel, your trip should be authorized by the University by creating a  trip request.  

The following information is required when creating an event number (trip request) and before you book travel.   Incomplete information will delay processing.   Please gather the following information and then complete the  Travel Request and Reimbursement form . 

Set Up Concur Delegate

To have staff complete financial entries on your behalf, please follow these steps to assign them as your delegate in Concur. Concur in the campus system for processing travel and reimbursements of any kind. 

  • Log in to Concur
  • Click 'profile' in the top right corner
  • Click 'Expense Delegates'
  • Select ‘add’ and enter the emails [email protected]  and [email protected]  
  • Select the first 5 checkboxes (do not check, Can Preview for Approver or Receives Emails for Approver)

Booking Airfare

It is possible for department fiscal staff to book airfare on behalf of a traveller for those who desire this. To do this, gather the full trip details and payment method then complete the  Travel Request and Reimbursement form .

For those booking their own airfare:

  • Book airfaire   from the   Concur   home page. Your travel profile in Concur should be completed in profile settings before booking travel. Additional booking guidance can be found   here . 
  • Airfare is highly recommended to be purchased through Balboa Travel Agency in your Concur profile or by calling (858) 678-3752.
  • Since Concur is only accessible for UC employees, business travel for non emplyee guests (Colloquium, event guest speakers, ect) will be set up in Concur with the assistance of the  department fiscal staff . A guest can book business travel directly with Balboa Travel after initially contacting the  staff .
  • When booking business travel through Concur, you are automatically enrolled in UC’s   traveler insurance program , covering a wide range of incidents and accidents across the globe.

Note: Before booking airfare for business travel, you must have a trip request event number following preauthorization requirements

Exceptions to Coach or Economy Airfare

Coach fare or the equivalent should be used whenever available and practical. Reimbursement will be based on the actual fare. 

  • Business or first-class service is the only service offered between two points;
  • Coach class would be more expensive or time consuming (such as when scheduling difficulties would require an unnecessary hotel expense, circuitous routing, or an unduly long layover when making connections);
  • An itinerary involves overnight travel without an opportunity for normal rest before the commencement of working hours
  • A medical need or disability requires accommodation. The need/disability must be certified by a physician and chronic conditions updated annually, except in the case of permanent conditions which require a certification stating such.

  • Fees for early check in, priority boarding, or seat selection  are reimbursable only when the original ticket is booked in Concur or with the Travel & Entertainment Card and there is no change to the class of travel.  A business purpose for the purchase is required.
  • Consider the fund source.  Some fund sources may restrict first class, business, or other higher cost service of travel. In cases where the fund source policy is more restrictive than UC/ UC San Diego policy, t he more restrictive policy applies .

Travel Insurance

When travelling for business purposes, it is good practice to have accident insurance established for the duration of travel. For those who book their travel through Concur or Balboa Travel, the insurance is automatically applied. If you book using an external source, you are able to still sign up for travel insurance here .

The rental car receipt must be itemized for reimbursement. In order to ensure policies are followed and UCSD agreements are applied, rentals should be done through Concur travel. Information regarding rental cars for business and personal reasons can be found here .

The information below is for lodging within the Continental U.S. and for travel that last fewer than 30 days. It is possible for staff to book local hotels for guests if desired. It may be possible for staff to book and pre-pay hotel expenses on bahlaf of those traveling out of the San Diego area. This is a lengthy process and must be approved by the participating hotel. 

Staff Booking: 

If you want staff to make hotel arrangements on behalf of yourself or a guest, complete the  Travel Request and Reimbursement form .

Traveller Booking:

Before you book a room ,   find out how to get   discounted hotel rates through   Concur Travel . Note that:

  • Effective October 15, 2017, the UC maximum lodging rate for reimbursement is   $275   before taxes and mandatory hotel fees. You won’t be reimbursed for in-room charges such as gym or movie fees. An expense for lodging within the vicinity of your home or headquarters is generally not eligible for reimbursement unless an early start time is combined with a distance greater than 40 miles from the headquarters or home, whichever is closest. 

Reserve a room   using one of these methods:

  • Follow payment instructions using   Concur .
  • Use a personal form of payment.

Pay for your hotel using a personal form of payment and requesting reimbursement after your trip.

After your trip ,   your expenses will be reconciled in Concur:

Meals for Domestic/Short-term Travel

  • Meal costs can be claimed only for travel longer than 24 hours
  • Claim the actual amount spent up to maximum of $79 per day for trips up to 29 days in the continental U.S.
  • Provide receipts and/or a  Travel Log

Per diem for Foreign/Long-term Travel

Per diem is a daily allowance given to employees by the University so that expenses can be covered while travelling for business. To see if your travel qualifies, please visit UCSD's   Per Diem For Travel . 

  • For travel outside the continental U.S., or that lasts 30 days or more, per diem applies.
  • The claim should reflect the traveler's actual costs up to the per diem rate. Although r eceipts are not required, they are often provided as a way to confirm actual costs. See Per Diem (Travel Allowance) . In place of receipts, t ravelers may instead show bank records with the expenses highlighted (all personal and confidential information will be redacted) or keep a log of expenditures and use it to calculate expenses. A sample log is provided for those wanting to show actual expenses without providing all of the individual receipts. 
  • An exception to per diem when actual expenses exceed per diem and   required conditions   are met.

If you are traveling to a remote location and/or conducting long-term travel, please reach out to department fiscal staff on setting up a potential cash advance for your trip.   Cash Advances   may be setup upto 2 weeks in advance of the trip start date and should be reconciled monthly with the trip.  A partial cash advance is generally for meals, incidental expenses, and ground transportation. The requested amount must be appropriate for the nature and duration of the travel.

Conference Fees

To pay for conference fees, you will use your personal credit card. To do this, provide the card number and ask for a confirmation number. Once the trip had completed you can request reimbursement.

Mileage Only Reimbursement

  • Does not need preauthorization
  • For multiple-trips reimbursement, use a UCSD mileage log (sample mileage log is HERE )
  • For single trips, use Google Maps
  • Effective 07/01/2022 reimbursement rate 62.5 cents per mile for privately owned automobile

Guest Traveler

  • Approved Travel Request is required for guest traveling on UCSD business
  • Any non-Employee must register in PaymentWorks, even if they are not personally receiving a reimbursement, there are no exceptions. Complete the  Travel Request and Reimbursement form with name and email of a Guest Traveler to start the approval process.

  • Travel must be reconciled within 60 days of the completion. Provide all itemized receipts for reimbursement and reconciliation of a Travel Expense Report.

Student Traveler

Prior to participating in a department-funded trip, complete the  UCSD Student Certification for Business-Related Travel  form in addition to the requirements outlined in the table above. Be sure to check the first box "Directly supports the faculty/PI project or research program"   or   the second box "Presenting at a conference." If second box is checked, attach a copy of the program listing your name and UCSD. Obtain your faculty advisor's signature.

If travel is being funded by your departmental research and travel funds, prior to travel please check in with department fiscal staff to learn what is and is not reimburseable. If you do not review the campus policies and/or check-in with department staff, you risk spending inappropriately and not being eligible for reimbursement.

Before you travel on official university business, familiarize yourself with UC and campus policies, procedures, and tools. Business Travel information is available on Blink , and key information and resources are highlighted below.

Information for Travelers & Travel Arrangers

  • Concur Travel is UC's online business travel booking program that automatically applies UC-negotiated prices with airlines, hotels, and car rental companies
  • Travelers should review UC San Diego Business Travel Policy Highlights (PDF), which are based on UC Travel Regulations outlined in UC Policy G-28
  • Concur help is available via online resources, live training & weekly office hours
  • Travel arrangers new to UC San Diego or to Concur should review the travel process and travel booking FAQ as well as Concur FAQ before trip planning begins
  • Trips must be pre-authorized by creating a Travel Request in Concur before travel arrangements are made
  • Travelers should review travel receipt requirements to ensure reimbursement eligibility, and redact personally identifiable information from receipts before attaching them to claims
  • Manage receipts throughout the trip and make expense reporting easier by using the Concur Mobile App
  • Business Travel Accident Insurance is automatic when booking through Concur or when traveling for UC business within 100 miles of campus or residence; otherwise, travelers must register for coverage (coverage is not automatically added for trips booked in SWABIZ )
  • "Package deals" (i.e., airfare + hotel for one price) are generally not eligible for reimbursement
  • Student travel for official UC San Diego business requires completion of a certification form (PDF) by the student and the faculty member/PI

Business Purpose

  • Travel expenses must serve a business purpose, with no personal benefit to the traveler
  • The business purpose should clearly explain why the trip occurred and the benefit to UC San Diego
  • Please include the full name of any sponsoring organization and spell out acronyms
  • Best Practice: Attach documentation supporting the business purpose (conference brochure, invitation, registration confirmation, agenda, etc.)

Ground Transportation

  • The 2023  mileage reimbursement rate is 65.5 cents per mile when using a personal vehicle for official UC San Diego business
  • You must have sufficient insurance coverage before using your personal vehicle for official UC San Diego business
  • If needed, follow the guidelines for renting a car for business travel (use a UC agreement supplier)
  • UC San Diego fleet vehicles are also available for business travelers who do not wish to use a personal vehicle

Meals and Lodging

  • The UC maximum lodging rate for reimbursement is $275 per night, before taxes and mandatory hotel fees (or $320 including taxes and fees)
  • Airbnb for work offers access to lodging options and can be booked through Concur
  • Claim actual meal & incidental expenses up to the maximum of $79/day for short-term domestic business travel
  • Per diem rates apply for international travel and travel to Hawaii or Alaska (claim actual expenses); use the currency converter to calculate reimbursement amounts
  • For travel shorter than 24 hours, meals may only be claimed if you had an overnight stay

Travel: Meals and Lodging

Find out about lodging and meal expenses for travel in the continental U.S. that lasts fewer than 30 days.

Before you book a room, find out how to get discounted hotel rates through Concur Travel . Note that:

  • Effective January 1st, 2024, the UC maximum lodging rate for reimbursement is $333 before taxes and mandatory hotel fees.
  • In-room charges such as gym or movie fees are not reimbursable.
  • An expense for lodging within the vicinity of your home or headquarters is generally not eligible for reimbursement unless an early start time is combined with a distance greater than 40 miles from the headquarters or home, whichever is closest. 

Reimbursements for lodging expenses are valid up to $333 per night before taxes and mandatory hotel fees. These reimbursements must be substantiated by original itemized receipts, regardless of the incurred amounts, and should be reasonable for the locality of travel.

It is understood that a traveler may not always be able to secure lodging within the UC maximum, so a couple of allowable exceptions are referenced within the policy:

  • A traveler attending a conference with a prearranged lodging rate exceeding the $333 per night cap may stay at the conference hotel without requiring exceptional approval. In such cases, the traveler will need to provide supporting documentation indicating that the hotel is either the designated conference hotel or recommended by the conference as the preferred place of stay.
  • During peak seasons, if the traveler cannot secure lodging at $333 per night or less, they must provide additional documentation, such as price comparisons within the proximity of the meeting location, supporting the higher lodging rate. The price comparisons should be performed at the time of booking.

Meal costs can be claimed only for travel longer than 24 hours. For details and exceptions, see below section "Meals".

Reserve a room using one of these methods:

  • Follow payment instructions using Concur .
  • Use your Travel & Entertainment Card  - University’s preferred buying method
  • Use a personal form of payment.

Note: If you reserve a room more than 21 days in advance and your card will be charged rather than held to secure the room, reconsider using your Travel & Entertainment Card to avoid any out-of-pocket expenses.

Pay for your hotel using one of these methods:

  • Prepay local hotels for inbound travelers.
  • Use a personal form of payment and request reimbursement after your trip.
  • Preferred: Charge the bill to your  Travel & Entertainment Card  and claim the expense after your trip. 

After your trip, use Concur to report these expenses and itemize your hotel folio:

  • Enter the lodging amount (single room rate plus tax), including any prepayments by UC San Diego.
  • Business phone calls
  • Personal phone calls
  • Modem access fee
  • If prompted, enter remarks in the comments
  • Attach the itemized hotel receipts or provide it to the appropriate contact in your department.
  • Enter any meal expenses that appear on the lodging receipt under the Meals & Incidentals expense type.
  • Meal and Incidental Expenses (M&IE) is the term for the daily maximum for meals and service tips for business travelers' individual costs during trips lasting from 24 hours to 29 days in the continental U.S.
  • Meal & Incidental Expenses (M&IE) for trips prior to July 1st, 2022 claim up to the maximum of $62 per day.
  • When a UC San Diego employee attends a local conference, they are not on travel status (no lodging or meal expense is eligible for reimbursement).
  • M&IE isn't Per Diem , which applies to long-term U.S. travel (30 days or more) and travel outside the continental U.S.

Recording M&IE

  • Before your trip, ask your department's travel delegate or approver if you must turn in receipts. UC San Diego travel policy doesn't require meal receipts for M&IE, but departments may require them to calculate the actual amount to claim for reimbursement up to the threshold.
  • If your department doesn't require receipts, keep a log of the actual amount spent on meals and tips each day of travel.

Claiming M&IE

Travel shorter than 24 hours:.

  • An overnight stay and you provided a lodging receipt to your department's travel approver
  • A working meal scheduled as an integral part of a conference
  • If you claim a meal for either reason above, indicate the business requirement of the cost in the Notes section of the Meals tab in Concur . Entertainment costs incurred during travel status may be claimed within the Travel Expense Report under Expense Type Entertainment Meals-Travel Status .
  • UC Travel Policy specifies that for travel in excess of 24 hours within the continental US (CONUS), travelers should be required to submit meal receipts if it appears that they are treating the max amount of $79 as per diem by routinely claiming the full M&IE amount.

Incidentals

The incidentals portion of an M&IE rate includes tips for service (e.g., for waiters, baggage handlers, etc.)

Tax consequences

  • Correct use of M&IE, by claiming actual expenses only up to the maximum daily amount, is required.
  • If M&IE is improperly used by routinely claiming the maximum amount or claiming the maximum amount on any occasion without written justification, it would be considered taxable income to the traveler.

Description of the Major

The Microbiology major encompasses a wide range of topics from human health to biotechnology, synthetic biology to microbiomes, and biofuels to bioremediation. This major provides students with a solid background in biochemistry, genetics, molecular biology and basic microbiology, and then allows them to tailor their studies for an emphasis in general, medical, biotechnological, or environmental microbiology. The Microbiology major provides a foundation for careers in a variety of fields including healthcare, epidemiology, clinical diagnostics, food microbiology, microbial fermentation, environmental testing, health and environmental public policy, biotechnology, bioenergy, and biomanufacturing. The Microbiology major will also provide an excellent foundation for graduate studies in microbiology, virology, infectious diseases, biotechnology, and related fields, as well as for medical, dental, nursing, veterinary and pharmacy school.

Two UCSD researchers will travel far and wide this summer

UC San Diego economist Ruixue Jia will visit China to study changes in industries.

Economist Ruixue Jia will study industries in China, while oceanographer Fiamma Straneo will be taking the sea’s temperature off Greenland.

Got a good atlas? One might be helpful to understand how far-flung some scientists who work at UC San Diego in La Jolla will be this summer when they’re conducting field research.

Ruixue Jia, an economist, will roam through China.

Fiamma Straneo, an oceanographer at UCSD’s Scripps Institution of Oceanography, is headed for an icy stretch of the North Atlantic off Greenland.

Jia will make liberal use of China’s high-speed rail system to move among big cities, small towns and obscure villages to get a fresh look at what’s happening economically and culturally in the world’s second-most-populous nation.

She’ll pay special attention to how industry is coping with worker shortages.

“Young people don’t want to work in factories anymore; they think it’s boring,” said Jia, who studies the political and historical context in which companies change, especially in adopting new technology. “I’ll ask businesses if they’ll use more machines, including robotics.”

She’ll also engage members of the public in general conversations about their day-to-day lives, avoiding sensitive political topics. Jia, who is Chinese, said she expects that to be a bright spot of her trip.

She also will drop by music festivals to connect with young people.

“You see slogans about feminism and LGBT, which are [otherwise] forbidden topics in public,” Jia said. “But young people express themselves in the subculture.”

Fiamma Straneo of UCSD's Scripps Institution of Oceanography will be conducting research off Greenland this summer.

In Greenland, Straneo hopes to add details of what’s happening with Earth warming by taking baseline data of things such as ocean temperature and salinity off the northwestern part of the island.

The work involves risk. She’ll be on a research ship that will have to slowly pick its way through sea ice and glaciers.

Still, she said, “we think some of the warming of the ocean has made its way to the glaciers. It’s one of the drivers of ice loss from the ice sheet.”

“One of the goals is to get as close to some of the glaciers as we can,” Straneo said. “But there’s always a balance between pushing science and wanting to be safe.” ◆
