Five Tips for Taking Better Photos for Your Assessment or Inspection Report

site visit photos

As an engineer, when you're on site for an assessment or inspection, you’re confident you have a good handle on the issues. You take notes and snap pictures, and you’re positive that between your notes, photos, and memory, writing the report will be no sweat. But back in the office the next day, you flip through some close-ups of a crack and wonder, "Wait, where exactly was this again?..."

Photos are the cornerstone of any engineering assessment or inspection report. Engineering reports need hard evidence to back up observations and recommendations. Plus, as they say, “a picture is worth 1,000 words.” However, in actuality, only good pictures -  quality photos with context - are worth anything.

Your assessment or inspection photos have to tell a complete story that anyone can follow - whether it’s your supervisor who needs a quick rundown of the project the next day, you when you’re writing your report a few days later, or your client who is reading your report a few weeks later. Investing a little more time on site and having discipline in how you take photos can save a lot of headaches down the road.

Learning how to establish meaningful context and organization with assessment or inspection photos can instantly boost your engineering value. Here are five tips for taking better site visit photos:

1) Take photos in a far-away/up-close sequence

Establishing context for your close-up photos is one of the main things you can do to take meaningful photos. It's so easy just to click as you go - to take a quick close-up picture of the damage you observe and then move on. But when you sit down in the office, all you have is a bunch of zoomed-in photos with no context in terms of location or scale

Before you take that close-up shot, take a few steps back and get an overall picture of the area. Then, zoom into your item of interest. Continue this far-away/up-close sequence for all of your photos, and you’ll end up with a comprehensive ‘story’ of your assessment or inspection. It may take a few extra seconds to get that far away shot, but the next day when you're flipping through photos, you'll be thankful you have a series of far-away/up-close photos that you can easily follow.

2) Take a “key-plan shot” to establish location

Sometimes, a far-away shot may not even be helpful enough. If you're inspecting a large building or site with a lot of redundant components, you may need an extra piece of info in your photo set.

For instance, let’s say you observe a damaged column while performing a general assessment of a large warehouse. With endless columns in all directions, a far-away shot isn't going to do much when it comes to helping you get your bearings. In this case, it may be helpful to take a picture of where the item is on your foundation or framing key plan before taking far-away/close-up pictures of the damage. I like to literally point to the location with my finger or pen or identify the location with a number. Later, when going through photos, these “key-plan shots” are an easy indicator for what photos are coming up.

3) Take photos of your measurements

Whether it’s measuring flange and web dimensions to determine an existing beam size during a general assessment or measuring rebar spacing to ensure quality assurance during a special inspection, measurements are a key part of most site visits. Of course, you take notes, but how often do you wish you could double check your measurements? Was the flange really ½” thick, or was it actually closer to ⅜”?...

This is where taking pictures of dimensions or measurements with the tape measure, calipers, or other measuring device in the photo can be helpful. Then, when you go back to evaluate your site notes, there's no question about the beam dimension or rebar spacing. You can double check your notes without having to make another visit or rely on a contractor to field verify the measurement!

4) Take photos in order

Depending on your inspection type, it may help to take photos chronologically as you walk a site. Take note of the point at which you start and the path you take. That way, you know your photos follow a specific route.

Alternatively, if you are following a checklist or itemized document, it may help to group certain types of photos together. Then, you know your first set of photos are for “item A”, the next set for “Item B” and so on.

5) Reorganize photos back in the office

Sometimes, taking photos in a specified order just isn't feasible. There may be people or things in your way, and in order to be efficient, you have to move on and come back to this area later. Or, maybe towards the end of your inspection, you notice one more issue in an area where you have already taken photos. In this case, renaming photos when you get back to the office can be beneficial.

Once all of your photos have been downloaded to your computer, you can open the folder, select all of the out-of-order photos that need to be grouped together, right click, and click “Rename.” You can then write a short description (such as “Issue A”), and the photos will be renamed “Issue A (1)”, “Issue A (2)”, and so on.

Assessment and inspection photos are vitally important for backing up claims, explaining issues, or even just accurately remembering site conditions. You usually don’t have the time or fee to go back out to sites to get information you missed or are questioning. Using one or a combination of these methods can help ensure you get all the information you need on site, and you’re not left struggling to piece things together in the office.

What is a site visit report.

A site visit report is a formal document that provides a detailed account of a visit to a particular location or project site.

It records the observations, activities, conditions, discussions, and any deviations or issues identified during the visit.

The report often includes recommendations or action items based on these findings.

It serves as an official record, aids in tracking progress or compliance, and can guide future decision-making.

What does the site visit report example cover?

Here's what's covered in the site visit report example:

  • Report Title: Clearly indicating it's a "Site Visit Report."
  • Project Name/Title: Name of the project or site.
  • Location: Address or description of the site visited.
  • Date of Visit: The exact date the visit took place.
  • Prepared By: Name of the person or team who prepared the report.

  • Next Steps/Follow-Up Actions: Any scheduled follow-up visits, tasks to be done, or decisions to be made after the site visit.
  • Attachments/Appendices: Additional materials, notes, or detailed data supporting the report's content.
  • Signatures: Depending on the report's formality, it might be necessary for the person preparing the report and perhaps a superior or project stakeholder to sign off on its contents.

A well-prepared site visit report should be clear, concise, and structured. It provides a factual and objective account of the visit and serves as a vital tool for communication, decision-making, and record-keeping.

Adobe has released a plethora of editing tools over the last couple of years, including some of the best photo editor apps available. Some options include Adobe Photoshop Express, Adobe Photoshop Mix, and Adobe Lightroom. Each one has a variety of features to help you do things. You’ll be able to do simple stuff like remove red eye and edit RAW files taken by your smartphone or DSLR camera. Adobe Lightroom gets updated frequently with new features. The only potential caveat is that some of them require an Adobe Creative Cloud subscription in order to use all of the features. Those who already use Adobe CC should definitely get these since they’re included with a CC subscription anyway.

Price: Free / In-app purchases ($0.49 – $89.99 per item)

AirBrush screenshot

The AirBrush app is a powerful tool for enhancing photos and creating stunning digital art. Its features include customizable brushes for precise edits, skin smoothing and blemish removal for flawless portraits, and filters to add artistic flair. With easy-to-use controls, it offers fine-tuned adjustments like brightness, contrast, and saturation. Additionally, the app provides advanced features like background blur and object removal, making it a versatile choice for beginners and experienced digital artists. Whether you want to retouch selfies or unleash your creativity, the AirBrush app has you covered.

Price: Free / In-app purchases ($1.49 – $47.99 per item)

Bazaart is a reasonably popular photo editor on iOS, and the Android version isn’t far behind. The app boasts many features, including a background eraser tool and various adjustments like saturation, exposure, contrast, tint, and others. Additionally, you get the usual mobile photo editor stuff like filters, text, backgrounds, stickers, and other stuff. The big draw here is the background tool, where you can add a different background to an existing photo. The app offers a free trial, but after that, it’s $11.99 per month and $71.99 annually, making it one of the most expensive options on the list.

Price: Free / In-app purchases ($0.99 – $129.99 per item)

InShot Photo Editor Pro screenshot

InShot Photo Editor Pro is a fairly decent editor. This is a new-style editor with tons of things like filters, stickers, and other such effects. The app houses all of these effects in a store-style layout, and you can pick and choose the ones you want to download. Of course, some of them are only available with the pro version subscription, so prepare for that. In any case, it does actually edit some photos. You can do things like retouch photos or cut things out of the image, and it covers the other basics like cropping and such. We think the $7.99 per year subscription is relatively reasonable as long as you use the app consistently. Plus, the developer has a bunch of other photo and video editor apps in the Play Store.

LightX Photo Editor

Price: Free / In-app purchases ($0.99 – $49.99 per item)

LightX is one of the upcoming photo editing apps. It had rousing success on iOS. There are quite a few decent features as well. It has a background changer tool, color splash effects, and a range of slider tools like color balance, levels, and curves. You can even merge photos together. There are also blur features, photo collages, shape manipulation, and stickers. It’s still in beta. That means there are bugs. However, it should eventually be among the top five or so photo editors out there.

Price: Free / In-app purchases ($0.99 – $199.99 per item)

Motionleap (formerly Enlight Pixaloop) is a neat photography app with some pretty cool tricks. It turns static photos into GIF-style images. The effect works best with things like water or clouds, but there are plenty of other examples of its use as well. Some other features include adding elements that weren’t there before and overlays that can add to the ambiance of a photo. This won’t get the red eye out or crop your photo. However, the ability to add some extra effects is kind of neat. The only real downside is that Motionleap goes for $9.99 per month, and many of its most desirable features require the premium version.

PhotoDirector Photo Editor

Price: Free / In-app purchases ($0.99 – $26.99 per item)

PhotoDirector is a newer entrant (comparatively speaking) into the photo editing space on Android, and this one is pretty good. It focuses a lot more on manual enhancements than filters, and you have access to HSL sliders, RGB color channels, white balance, and more to properly edit your photos. There are also sliders for tone, brightness, darkness, exposure, and contrast for more in-depth editing. It’s more powerful than most and should be good for those who want something other than filters. This one heavily depends on the subscription; without it, there isn’t much to do.

Photo Editor by dev.macgyver

Price: Free / In-app purchases ($3.49 per item)

Photo Editor by dev.macgyver is a surprisingly decent photo editor. It has the usual simple stuff like crop, flip, etc. However, it also boasts fine color controls, including levels and curves. You also get gamma correction, auto contrast, auto tone, blur, sharpen, and other editing tools as well. It works with JPEG, PNG, GIF, WebP, and PDF. There are also batch options available. It doesn’t have the glitz and glam of some of the more expensive photo editors, but this is right up there with Snapseed in terms of simple but powerful functionality. Plus, it’s only $3.49 for the pro version, and it’s free with a Google Play Pass subscription.

Photo Effects Pro

Photo Effects Pro is definitely an editor for those who like to play with filters, effects, stickers, and things like that. It boasts more than 40 filters and effects, as well as the ability to add text, stickers, and frames as well. The editing features are actually pretty basic. However, the developers recently redid the application, and with it came the removal of a few beloved filters and features. Hopefully, the developers will add those back soon.

Photo Lab Picture Editor & Art

Price: Free / In-app purchases ($0.99 – $29.99 per item)

Photo Lab isn’t among the most popular photo editing apps. But still, it manages to do quite well. It boasts over 640 filters, frames, and effects for you to play with, which makes it among the largest collections available to consumers. With this one, you can create montages, lightly edit photos, and stitch together effects to create some unique photos to share with friends. There is a free version with advertising and watermarks. You can try the free one first before purchasing the pro version.

Price: Free/ In-app purchases ($0.69 – $99.99 per item)

YouCam Perfect - Photo Editor

YouCam Perfect is a good photo editing and selfie editing app. It allows for real-time beautification, skin smoothing, and numerous creative effects. YouCam Perfect also offers tools to retouch, reshape, and enhance their images. YouCam Perfect also incorporates an AI tool for envisioning yourself in different scenarios. It also enables background removal and collage creation. Whether you are looking to capture the perfect selfie or transform your photos, this app provides a user-friendly platform for enhancing your visual content.

Price: Free / In-app purchases ($0.49 – $119.99 per item)

Picsart AI Photo Editor screenshot

PicsArt has been around for a very long time and has accumulated over 250 million downloads to date. Thankfully, the developers have done a decent job updating the app to keep it modern. You’ll find a lot of the usual stuff, including the light editing tools as well as filters, text, stickers, and collages. It boasts over 100 editing tools as well as a community of creative people to share stuff with. You can also use this app to generate animated gifs and even draw stuff on your photos. It’s a strong option with a lot of features. There are also plenty of other photo tools by PicsArt. This one used to be loved by a lot of users, but with the recent price hike and many free features now requiring a subscription, the app has received tons of bad reviews on the Play Store.

Price: Free / In-app purchases ($0.99 – $11.99 per item)

Pixlr by AutoDesk, also known as Pixlr Express, is a powerful photo editor and one that our readers have recommended to us time and time again. It has one of the best one-touch enhancement tools that we’ve seen, and it also includes a ton of other features and tools that you can use. There are also filters, although it cleverly disguises them as “overlays” and also includes cosmetic editing tools like blemish removers and teeth whiteners. It is one of the better photo editing apps, with a little something for everybody.

Price: Free/ In-app purchases ($14.99 per item)

TouchRetouch is one of the more unique photo editing apps. It doesn’t do the usual stuff like smooth your skin or remove redeye. Instead, it removes other stuff from the photo. You can do things like remove unsightly power lines from your shot, small objects that you don’t want there, and, in some cases, even people. The app either works insanely well or not at all. We don’t recommend that you expect miracles, but it does do a fairly decent job most of the time. You can also use it for free with Google Play Pass if you have it.

Price: Free / In-app purchases ($0.99 – $79.99 per item)

Vimage is a newer photo editor app with some decent features. It’s very similar to the LG V40’s cinematography feature. You can take photos with no moving elements and add moving elements to them. You can do basic editing like brightness, blur, crop, rotate, saturation, and other stuff. Then, you can add any one of a number of pre-made animations to the photo to give it life. During our testing, I added steam to a food item and falling flower petals to a selfie (don’t judge). This creates some unique animated photos that you simply don’t see every day. The app has a couple of subscription options or a single purchase price if you don’t mind the cost.

Snapseed

Snapseed is a photo editor developed by Google. It is a powerful and user-friendly photo editing app that is equipped with a wide range of tools and filters for enhancing your images. Prominent features include RAW file support, precise adjustment controls, and selective retouching. Whether you want to adjust the exposure and color, remove unwanted objects, or add creative effects like lens blur or vintage styles, Snapseed’s got you covered. And it’s completely free, with no subscriptions or payments to unlock pro features.
