In 2021, embassies around the world received 22,260 Sweden visa applications and rejected 6,654 (30.6%). The Embassy of Sweden in New Delhi received 1,974 applications and rejected 833 (42.3%).

If you are going to Sweden, you must apply for a visa and you can do this from India as long as you are a citizen or have the legal right to stay in India.

The Embassy of Sweden processes visa applications and will decide whether you can have your visa or not, however, it is VFS Global that is responsible for the receipt of applications. This means that you will hand your application into one of the VFS offices in India. VFS Global accepts Schengen (short-stay) visa applications only. If you are applying for a long-stay visa, you will deal with the embassy directly. For more information, go to the website of The Swedish Migration Agency .

Schengen visa applications are usually processed within 15 days, but it could take as many as 45 days. It is your responsibility to apply in time, so it’s a good idea to apply as soon as possible. You can apply up to 6 months in advance, so don’t leave it too late.

Types of Schengen visas offered at The Embassy of Sweden in India

There are 2 types of visas you can apply for and it is your responsibility to choose the right one:

  • Short-stay type (Schengen) visa –  for trips up to 90 days for business , conference, visiting relatives/friends, tourism etc
  • Visitors Permit – this is for trips for more than 90 days for employment , study/training, family reunion etc. See the embassy’s website for more information

Step 2 – Begin your application

Next, go to “step 2” and click on the “download the visa application form” link:

On the next page, first, click on the “download form” tab and then the link for the “Schengen visa application form”:

Save the form to your computer, complete and sign it and then print it out and take it to VFS Global when you attend your appointment.

Step 3 – Book an appointment

Making appointments with the embassy, consulate or visa application center is generally free and can be done yourself. However, If you are running short of time or not sure which consulate to apply to or have no idea how to get this done yourself then not to worry, we will make the appointment for you for a small service fee!

Booking a visa appointment using our services is pretty simple! All you have to do is follow the 3 simple steps below:

  • Submit the appointment details, the visa you are applying for, consulate you need the appointment for, the country you need the appointment IN and make the payment
  • Receive appointment confirmation in email

Once you have completed your visa form, you can drop it off at VFS Global with no need to book an appointment. Please check VFS Global’s opening hours (see below).

Additional information about fees

  • There is also a service charge of Rs 1639
  • The applicable visa fee in Indian Rupees is as per the current exchange rate. The same is subject to change without notice
  • The visa fee and service charges are non-refundable even if your application is refused
  • There is an optional courier facility available at Rs 300
  • The fees can be paid in cash or by debit/credit card

Step 5 – Visit a visa application center

On the day of your appointment:

  • Aim to arrive 15 minutes before your appointment
  • You must attend the appointment for your visa application. You cannot send someone in your place
  • Only applicants and one parent/caregiver accompanying a child under 18 years are permitted to enter VFS Global
  • Take your visa application form, as well as a valid passport or travel document with at least 2 pages that are blank on both sides
  • Take all supporting documentation (originals and copies)
  • You can pay your fees once you get to the center
  • You will also need to submit your fingerprints and photograph. This is known as biometric information collection

Step 6 – Track your application

Once your application has been submitted, you can track it. Go to “step 6” and click on the link:

Step 7 – Collect your passport

Once the embassy has reached a decision, your passport will be returned to VFS Global. You can either:

  • Pick your documents up from VFS Global. You will need the receipt and some ID
  • Have them returned to you by courier (for an additional fee)

The decision will be either:

  • Accepted – you will find your visa in your passport
  • Rejected – if your application for a visa has been refused, you can appeal the decision. See the embassy’s website for more information

There are different reasons why an application may get rejected:

  • No invitation letter – if you are being invited to Sweden by a person or a company/business, you must provide an invitation letter which states certain information (see the document checklists)
  • Travel insurance does not cover the whole Schengen Area – even if you are only going to Sweden, the travel insurance must provide cover for the entire Schengen Area
  • Proof of financial means not included – you must prove that you can afford your trip, so you should provide at least 3 months’ bank statements and/or other proof of funds
  • Passport is not valid for 3 months after your return to India – your passport must be valid for at least 3 months after your return to India. If not, you should get a new one before applying for the visa

Reasons For Schengen Visa Rejections

Documents Required

There are document checklists on VFS Global’s website which you can refer to. You must also sign the checklist and submit it as part of your application.

You should also submit photocopies along with original documents.

Documents include:

  • Application for Schengen Visa – please explain your plan for visit
  • 1 photograph not older than six months with white background (3.5cm/4.5 cm) (see full photograph specifications ). Must be attached to the application form
  • Valid passport – must ha ve been issued within the last 10 years, valid for three months after the scheduled return & include at least two empty page s
  • If passport has been extended – enclose a copy of this page & copy of the observation page (if any). Please note, handwritten passports and/or passports that contain manual entries are not acceptable
  • Previous Passports available- irrespective of their condition (In case lost – a note is required)
  • Proof of lodging such as hotel reservation , rental document of holiday home or campus residence reservation for the entire duration of the stay in the Schengen area
  • If you plan to stay in several Schengen countries, proof of travel itinerary (e.g. ticket bookings for transport between different countries)
  • Certificate from the travel agency confirming booking of an organized trip or other proof of travel plans
  • Marriage certificate and birth certificates of children. (if applicable)
  • Flight reservation of return ticket. If traveling to several Schengen states, proof of intra- Schengen flight reservation, train itinerary or car rental
  • Travel medical insurance valid for all Schengen countries .The insurance has to cover at least 30,000 Euros for all risks e.g. accident, illness, medical emergency evacuation etc. The policy has to cover the entire duration of the trip including the date of arrival & departure
  • Evidence of professional activity: – Employees: pay slips for the last three months, employment contract and employers statement on approval of holidays ;  Student: letter confirming enrolment in the college /university; Self -Employed : PAN registration and bank statements covering the last 3 months/company registration proof; Pension: Pension statement for the last three months or proof of regular income generated by ownership of property or business
  • Proof of financial means – bank statements covering the last 3 months; Income tax declaration for the last two assessment years; If Sponsored: proof of sponsorship
  • The consent of the parental authority or legal guardian should be required only if the minor travels alone or with one parent
  • If you are traveling with someone – mention number and names of co-travelers
  • An invitation letter from the host – if the invitee person is covering your costs in Sweden, you must show you have a family link (family book, birth certificate, etc.). You also need to show your host’s nationality & ID
  • For conferences or training – confirmation of your enrolment and proof of payment of e nrolment fees

Government of India has introduced eTourist Visa (eTV) scheme for 113 countries (including Sweden and Latvia):

Eligibility

  • International Travellers whose sole objective of visiting India is recreation, sightseeing, casual visit to meet friends or relatives, short duration medical treatment or casual business visit.
  • Passport should have at least six months validity.
  • International Travellers should have return ticket or onward journey ticket, with sufficient money to spend during his/her stay in India.
  • International Travellers having Pakistani Passport or Pakistani origin may please apply for regular Visa at Indian Mission.
  • Not available to Diplomatic/Official Passport Holders

Instructions for eTourist Visa (Enabled by ETA)

  • Applicants of the eligible countries may apply online minimum 4 days in advance of the date of arrival with a window of 30 days. Example: If you are applying on 1st Sept then applicant can select arrival date from 5th Sept to 4th Oct.
  • Recent front facing photograph with white background and photo page of Passport containing personal details like name, date of birth, nationality, expiry date etc. to be uploaded by the applicant. The application is liable to be rejected if the uploaded document and photograph are not clear and as per specification.
  • eTourist visa fee for the holder of Swedish/Latvian passport is USD 48/- per passenger excluding interchange charge for credit/debit cards. The fee must be paid 4 days before the expected date of travel filled by you otherwise application will not be processed.
  • eTV fee once submitted is non-refundable.
  • Applicant should carry a copy of ETA along with him/her at the time of travel.
  • Biometric details of the applicant will be mandatorily captured at Immigration on arrival in India.
  • The validity of visa will be 30 days from the date of arrival in India.
  • Electronic Travel Authorisation (ETA) is valid for entry through 16 designated Airports i.e. Bangalore, Chennai, Cochin, Delhi, Goa, Hyderabad, Kolkata, Mumbai, Trivandrum, Ahmedabad, Amritsar, Gaya, Jaipur, Lucknow, Thiruchirapalli and Varanasi.
  • This facility is in addition to the existing Visa services.
  • eTourist Visa is allowed for a maximum of two visits in a calendar year.
  • eTourist Visa once issued on arrival is non-extendable, non-convertible & not valid for visiting Restricted and Cantonment Areas.
  • Applicants can track the status of their application online by clicking  visa status .
  • Please be careful while making payment of the eTV fee. If the number of unsuccessful attempts is more than three (03), then the application id would be bocked and the applicant would be required to apply afresh by filling in the application form again and regenerating a new application ID.

What is Reciprocity?

Nonimmigrant visa applicants from certain countries*/areas of authority may be required to pay a visa issuance fee after their application is approved. These fees are based on the principle of  reciprocity:  when a foreign government imposes fees on U.S. citizens for certain types of visas, the United States will impose a reciprocal fee on citizens of that country*/area of authority for similar types of visas. 

How Do I Find Out if I Have to Pay a Reciprocity Fee?

To view the Reciprocity Page for your country* of nationality, select your country*/area of authority from the list of countries on the left side menu. On the Reciprocity Page, select the Visa Classifications tab from the column on the left

Select the type of visa you have applied for, such as a B-1/B-2 (temporary visa for business or pleasure), F-1 (student visa), etc. from the drop down menu:

What does this table tell me?

Visa Classification:  The type of nonimmigrant visa you are applying for.

Fee:  The reciprocity fee, also known as the visa issuance fee, you must pay. This fee is in addition to the nonimmigrant visa application fee (MRV fee).

Number of Entries:  The number of times you may seek entry into the United States with that visa. “M” means multiple times. If there is a number, such as “One”, you may apply for entry one time with that visa.

Validity Period:  This generally means the visa is valid, or can be used, from the date it is issued until the date it expires, for travel with that visa. If your Validity Period is 60 months, your visa will be valid for 60 months from the date it is issued.

What is the Difference between the Reciprocity Fee and the Nonimmigrant Visa Application Fee?

The nonimmigrant visa application fee, also known as the MRV fee, is a nonrefundable fee paid by most applicants for U.S. visas, whether the application is approved or refused. It covers the costs associated with processing a U.S. visa application. Current nonimmigrant visa application fees can be found on our  Fees – Visa Services  webpage. (This webpage also lists the few visa categories for which application fees are not required.)

While most visa applicants are required to pay the visa application fee, the Reciprocity Fee is only charged to an approved nonimmigrant visa applicant after the visa interview.

Civil Documents and How to Use Them

Immigrant visa applicants are required to submit certain civil documents as part of their visa application, such as birth certificates and police records. (Nonimmigrant visa applicants do not routinely need to submit civil documents as part of their visa application.) Each Reciprocity Page will provide detailed information about how to obtain these civil documents from the country* you have selected, as well as the location of the U.S. Embassy or Consulate where you can apply for your visa. * With respect to all references to “country” or “countries” on this page, it should be noted that the Taiwan Relations Act of 1979, Pub. L. No. 96-8, Section 4(b)(1), provides that “[w]whenever the laws of the United States refer or relate to foreign countries, nations, states, governments, or similar entities, such terms shall include and such laws shall apply with respect to Taiwan.” 22 U.S.C. § 3303(b) (1). International travel documents for children

See what documents a child needs to travel to or from the U.S. alone or with a parent or relative.

Children traveling to the U.S.

All children, including infants, must have their own travel documents such as a passport or document from a Trusted Traveler Program to enter the U.S. If you travel or are going to travel with a child, consider taking the following documents:

  • If the child is traveling with only one of their custodial parents, they must have a letter of consent, preferably in English and notarized, from the other parent or signed by both parents. The letter should say "I acknowledge that my son/daughter is traveling outside the country with [the name of the adult] with my permission."
  • If one parent has sole custody of the child, a copy of the custody document can take the place of the other parent's letter.
  • Parents who frequently cross the border by land with a minor must always carry a letter of permission from the other parent.

U.S. citizen children traveling abroad

Ports of entry in many countries have security measures to prevent international child abduction . If you are traveling alone with your child, you may be required to present documentation proving you are the parent or legal guardian. You may also need a letter of permission from the other parent for your child to travel. 

If your child travels alone, depending on the country, they may be required to present a notarized letter from both parents or their legal guardian. If a minor is traveling abroad and is not accompanied by both parents or a legal guardian, contact the embassy or consulate of the country you will be visiting and ask about entry and exit requirements for that country.

New Zealand universities are requesting the government to act on the high rejection rates of student visas for Indian applicants. Universities New Zealand, representing all eight tertiary institutions, has voiced concerns over this issue. In 2023, the rejection rate for Indian student visa applications rose to 40%, up from 28% in 2022, according to Immigration New Zealand.

Due to affordability, New Zealand is a favourite destination of Indian students wanting to study abroad. The New Zealand dollar is relatively cheaper compared to other currencies like the US dollar, pound sterling, and euro, making it a cost-effective option for Indians to study in New Zealand.

New Zealand has eight universities, and they are ranked in the top 3% in the world by QS World University Rankings .

These universities provide hundreds of courses in various fields, including computer science, medicine and business administration. Popular courses among Indian students in New Zealand are MBA, artificial intelligence, engineering and hotel management, among others.

Chris Whelan, chief executive of Universities New Zealand, highlighted the problem, noting that at the start of semester one, nearly 10% of visas were not yet allocated for processing, with another 2% still being processed.

"At the start of semester one this year, nearly 10% of visas to study at a New Zealand university were not yet allocated to an Immigration New Zealand official for processing, and another 2% were still being processed," Whelan said, reported Radio New Zealand (RNZ).

He also mentioned that 18% of visas overall were not confirmed at the start of the term, causing delays and uncertainty for students.

"This meant uncertainty for students, and far too many had their studies impacted by late starts and, once they were able to start, having to deal with the double pressure of familiarising themselves with a new country while catching up on missed studies," Whelan explained.

He stressed that these delays are unfair to students and harmful to New Zealand's reputation as a top study destination.

INDIAN STUDENT VISA APPLICATIONS HIGH REJECTION RATE

According to an RNZ report, between January and April 2024, Immigration New Zealand processed 5,018 study visa applications from Indian students, with 2,010 of these being rejected.

In contrast, the agency processed 8,012 study visa applications from Chinese students, rejecting only 206, resulting in a rejection rate of just 2%.

In 2023, a total of 8,810 visa applications were submitted by Indian students, with 5,074 approved and 3,523 declined, resulting in a rejection rate of 40%.

UNIVERSITIES EFFORTS TO ATTRACT INDIAN STUDENTS

New Zealand universities are increasingly collaborating with Indian entities to attract more students.

In July 2023, a university was close to signing an agreement with Mumbai's Bombay Stock Exchange Institute.

Education New Zealand partnered with the High Commission of India to feature India as the "country of honour" at the New Zealand International Education Conference, NZEIC KI TUA 2024.

STUDENT VISA PROCESSING CHALLENGES

Celia Coombes, director of Student Visa at Immigration New Zealand, mentioned that rejections often occur due to insufficient proof of funds or genuine study intentions.

"We have recently implemented initiatives to help facilitate student visas as quickly as possible, while protecting the integrity of the immigration system," Coombes said, reported by RNZ.
