If you are going to invite someone from outside the EU to come to the Netherlands, such as a friend, partner or family member, you may need to apply for a short-stay Schengen visa. Whether your guest needs a visa depends on his or her nationality .

If that is the case, then you can too guarantee for your foreign guest. There are a number of things that need to be done in advance documenten are collected and completed. There must also be a so-called travel medical insurance .

Inviting a foreign guest to visit the Netherlands

If you want to invite someone who needs a visa for his trip to the Netherlands (and who is allowed to stay with you), then this person needs a 'certificate of sponsorship and/or private accommodation' in order to obtain a visa. A condition is that the visit does not exceed 90 days.

What is a guarantee statement and what do I sign for?

​With the guarantor statement you let the Dutch authorities know that you are guarantor for the costs of a foreign national's stay in The Netherlands . You also guarantee that this foreign national will leave the Netherlands on time. The guarantee statement states exactly what this means for you.

In any case, this text on the guarantee form is important:

I (the undersigned) hereby declare that I guarantee the payment of the costs of accommodation, medical care and repatriation caused by the person mentioned under 4. for a period of 5 years or a shorter period than the stay of the person. alien, counting from the entry of that person into the Schengen territory, up to a maximum of € 10.000 per year, insofar as these costs would otherwise be borne by the State and/or public bodies. The guarantee ends if it can be sufficiently demonstrated that the person referred to under 4. has left the Schengen area (such as an exit stamp affixed by a Schengen State or entry stamp affixed by an authority responsible for border control in the country of origin).

Can I act as guarantor for several persons from abroad?

In principle, you can guarantee a maximum of 2 adults (+ possibly 1 or 2 children) at the same time. You must complete a separate 'Proof of sponsorship and/or accommodation' form for each person and have it legalized. It is ultimately up to the Dutch representation or Consular Service Organization (CSO) to decide whether and for how many people someone can act as a guarantor at the same time.

Why is medical travel insurance important and what requirements should it meet?

A medical travel insurance offers (financial) security to both the guarantor and the foreign guest. Therefore, take out medical travel insurance yourself and send the policy to the visa applicant by e-mail.

To apply for a Short Stay Visa (Schengen Visa), it is mandatory to take out medical travel insurance. The insurance must meet the following EU conditions:

  • The validity of this travel insurance must be equal to the total visa period.
  • The travel insurance must be valid in all Schengen countries (minimum Europe coverage).
  • The travel insurance must cover repatriation costs and urgent medical expenses.
  • The cover for medical costs must be at least € 30.000.

Read below frequently asked questions and answers about the guarantee, if you want to invite someone to come to the Netherlands.

With a guarantee you stand surety for the foreign guest. You are a financial guarantee for the costs that the Dutch state has to incur for the foreign national, should something go wrong. You sign that you guarantee the payment of the costs of the stay, medical care and repatriation of your foreign guest. The most important risk you run with a guarantee is therefore a financial risk.

Do you guarantee your foreign guest or partner? Then take out the medical travel insurance yourself and send the policy to the visa applicant by e-mail. Travel insurance is also for your financial protection. After all, you are financially responsible for any medical costs and these can be significant. If you take out a policy, we advise you to ensure that you are the policyholder (premium payer) and your guest is the insured. The advantage of this is that any damage payment will be transferred to you and not to your guest's bank account. Also take out Schengen insurance with a Dutch insurer. With a Dutch travel insurer you are subject to Dutch law. Dutch insurers are under strict supervision and are usually more reliable than foreign insurers.

Usually this is not necessary. If you have AVP (liability insurance for private individuals), guests are also insured, insofar as their liability is not covered by other insurance. If necessary, contact your AVP insurer.

Legalization of a signature means that an official on behalf of the mayor declares that your signature on a certain document is 'genuine'. He or she compares it with the signature on your ID. With the signature you will receive a stamp with date. By legalization, the municipality declares that a signature has been placed on a document by the person who had to sign the document. Legalization of the signature says nothing about the correctness of the contents of the document; only about the authenticity of the signature.

There are fees (costs) associated with the legalization of your signature by the municipality, which differ per municipality, which vary between € 9 and € 20. Check the website of your municipality for the exact amount.

The validity period of the legalization of a 'Proof of sponsorship/accommodation' is not legally established, but 3 months is often used. However, not all embassies and consulates use the same validity period. Therefore, always contact the relevant Dutch representation for the most up-to-date information.

To be able to provide a financial guarantee, you must have a sustainable and sufficient income to have. This means at least 100% minimum wage gross income excluding holiday pay). On January 1, 2019, this amount was € 1.615,80 per month. This standard amount is updated once every six months. You can use this income as a guarantor for one or more people, but the income requirement remains unchanged.

The guarantee ends as soon as the foreign national has demonstrably left the Schengen area. A new guarantee is therefore officially required for a new visit to the Netherlands. As long as a foreign national still resides within the Schengen area, a Dutch guarantor can be held responsible for any costs for another 5 years.

An invitation letter was used for a visa application in the distant past, but since the advent of form  Proof of guarantee and/or private accommodation  the invitation letter has been deleted. You are therefore not obliged to draw up an invitation letter. If you feel the need to explain something, you can of course decide to draw up such a letter. It is important to keep it short and businesslike.

Non-EU/EEA family members coming to the Netherlands for short visits

Depending on their nationality*, relatives who wish to visit you for less than 90 days may need a Short Stay Schengen visa to visit you in the Netherlands.

  • They should apply for the Short Stay Schengen visa at a Dutch embassy or consulate.

A non- EU/EEA relative (spouse, registered partner or child) who will stay with you in the Netherlands for more than 90 days will need a Dutch residence permit.

In most cases they will also need a provisional residence permit (mvv), which needs to be collected at a Dutch embassy before they travel to the Netherlands. 

Relatives who require an mvv :

  • Relatives who need an mvv must wait to collect their mvv sticker at their Dutch embassy outside  of the Netherlands - before  entering the country to join you;
  • Once approval for your relative’s mvv is issued they can collect the mvv sticker at their local Dutch embassy and may then travel to the Netherlands.
  • You submit the application to the Dutch embassy (outside the Netherlands). This is called an MVV-DIP application. Your relative needs to wait for an approval outside of the Netherlands, and collects the mvv sticker at the Dutch embassy upon approval.

Relatives who do not require an mvv:

While it’s possible to start the residence permit application process upon their arrival in the Netherlands, the IND advises they submit the application and wait for the outcome while still abroad. This will prevent disappointment if your relatives are unable to enter the country due to an unapproved application.

Consequences

Bringing a family member to the Netherlands while you study at EUR is no small matter!

First and foremost, you will be the legal sponsor of any family member who comes to the Netherlands to be with you during your studies at EUR. Matters you should think about carefully in advance are:

  • You will be asked by the IND to prove you have a solid financial plan, and sufficient financial means, to support yourself and family member(s) while you are in the Netherlands.
  • We advise you to start your search for accommodation well before your relative intends to join you. EUR only facilitates short stay student accommodation that is (in most cases) unsuitable for a family, so you will need to find suitable housing upon arrival in the Netherlands.
  • Your full-time study programme at EUR will demand a lot of time and energy, which can limit your time with family member(s). Before deciding that they come to join you, it’s important to know how your family member will spend their days. What activities will they get involved in to meet new people and build a social network, and feel at home in the Netherlands?

When having a valid Dutch study residence permit in place, you can travel within the EU/EEA . However, make sure your permit is still valid at the time of travelling. If not: extend your residence permit in time!

If you are a non- EU/EEA student staying in the Netherlands with a residence permit, then your family/friends from home might need to apply for a visa and/or residence permit for the Netherlands as well. The university is not involved in the immigration procedures for family/friends visiting you, so make sure to carefully check this out yourself.

Inviting Foreign Visitors

Some specific conditions need to be met if you want to invite a non-EU person to visit you in the Netherlands. In general, they are allowed to stay for a maximum of 90 days. Depending on their nationality (see this link ), they will also need a visa to enter the Netherlands.

Your visitor must fulfil certain requirements to obtain a visa (see this link for the full list), most importantly that they have sufficient financial means for the entire stay in the Netherlands, transit and/or the return trip.

Sufficient funds

As of 2023, €55 is considered sufficient funds per person per day for the duration of their stay. Your visitor must demonstrate they have this by showing bank statements.

If the visitor does not have sufficient funds, then you (or someone else who lives in the Netherlands) can sponsor them. The sponsor must prove that they have sufficient income . As of 2023, sponsors must earn at least €1,934.40 per month (gross income excluding holiday allowance) and this income must still be available for at least 12 months.

To start the process, you must fill in – but NOT SIGN – the form “ Proof of sponsorship and/or private accommodation ” (if you are the sponsor).

The form offers two options. Check one or both boxes as appropriate:​

Part 3a : Private accommodation – the visitor will stay at your house.​

Part 3b : Sponsorship – you are financially responsible for any costs that may arise from your visitor’s stay in the Netherlands.

Make an appointment at your local municipality to have your signature witnessed by a municipal representative. You will also have to pay a fee.

Send the signed (and thus legalized) document along with your proof of income to your visitor. Your visitor can take these to the Dutch embassy or consulate in their home country or country of residence and apply for a visa. The application for a short-stay visa also costs money, so check this link to see how much your visitor can expect to pay.

The decision time for the visa is 15 days. If the visa is granted, your visitor can collect it at the Dutch embassy or consulate where they submitted the application. A short-stay visa is a type C visa. It is a sticker that will be placed in their passport.

Required Documents for Netherlands Family Visit Visa

  • Standard documents

Invitations, passports, photographs in accordance with biometric dimensions, Netherlands short term visa application form, bank statements/ passbook, round trip flight reservations supporting travel purpose, travel health insurance… are among the standard documents.

  • Vocational documents

Professional documents change depending on your business situation. If you are an employee or company owner; the company's activity certificate, license plate, photocopy of commercial registry newspaper; if you are retired; your retired card, your retiring payroll; If you are a housewife or student, you can complete your visa with the Schengen family visit to the Netherlands with your family income and other documents.

Standard Documents

  • Municipality Invitation

The invitation from the Netherlands must be approved by the municipality whose residence address is attached, not old than 3 months. If no official invitation is made to cover the costs, the photocopy of the applicant's national identity, identity, residence or residence permit must be attached to the invitation document to be written by the inviting person.

The invitation certificate mustn't be older than 3 months.

Original and photocopy of the document must be submitted.

  • Invitation Documents for Inviting Person

If the inviting person is going to cover the expenses of the visa applicant, the income documents of the inviting person must be attached to the invitation document. The statement of the inviting person's salary slips of the last 3 months or the statement showing the income with stamps must be attached.

The passport photocopy as front and back, copy of the Netherlands residence card must be attached to the invitation letter. An exact sample of the population register showing your degree of closeness with the inviting person should also be included in the invitation.

Your passport must be valid for at least 3 months after the expiry date of your visa. Passport must be no more than 10 years old and should have at least 2 blank visa pages must be available. In addition to your passport, you must provide a photocopy of the page containing your identification information and, if applicable, photocopies of your Schengen visas, American, UK and Canadian visas that have been processed on your previous passports.

  • Sample of full accurate population registration

A sample of full accurate population registration is required to prove the degree of kinship with relatives of persons applying for a visa to visit the Netherlands. Full sample population registration records should be presented in stamped, wet signed form and include family and sibling information.

All parts of the Netherlands family/ friend/ relative visit visa application form must fully completed by the applicant and signed by the applicant in person. Pages 3 and 4 of the Netherlands family /friend /relative Schengen visa application form must be signed and the application date written.

  • Biometric photo

According to Schengen biometric measurements (35x45 mm), a photograph with a white background, no more than 6 months old, previously unused for visa application, with a clear face. Click here to see Schengen photo sizes.

  • Financial Status Documents

The applicant, who is applying for a Netherlands, must submit a statement of account on his behalf. The applicant, who doesn't have an account on his / her behalf, must submit the bank account statements of the person who will cover the costs.

Bank statements should include recent account transactions. If any, documents such as title deeds, vehicle licenses, rental income and property and additional income should be submitted.

  • Travel health insurance

The travel health insurance policy must be presented with a wet signature and seal. The travel health insurance must have a 30,000 EUR coverage covering emergencies and serious accidents. Your travel health insurance must be arranged to cover your travel dates. The insurance must comply with the travel dates you declare on the application form or other documents. Health insurances must be provided at least one day before the travel date and one day after the return date.

For your visit to the Netherlands, we will make your travel health insurance policy on your behalf (up to 15 days) without any additional service charge .

  • Flight Reservations

You must present your flight reservations during your travels to the Netherlands. If you wish, we can book your flight in accordance with your travel dates. If you plan to travel to the Netherlands by car, you must have an international driving license and green insurance.

  • Hotel or address information

If you are staying at the address of the inviting person in the Netherlands, the inviting person must indicate this in his/ her invitation letter. The invitation letter must include the address of residence and all contact details of the person to whom the invitation will be sent.

If you are staying at the hotel, you must provide your hotel reservation documents. Hotel reservations must be arranged separately for each applicant. It must include the name and surname of the applicant.

Documents that change according to your vocational/ business situation

For employees;

  • Employer letter

The employer letter that you will obtain from the company official you work for should specify the travel date range planned by the employee to the Netherlands and the employer letter should be presented as wet signed and stamped.

  • SGK Declaration of Employment

You must provide a copy of your employment statement from the company you work for.

  • 4A service statement

The 4A service statement, which can be obtained directly from the SGK or online by the e-government site, should cover your entire insurance history in detail. If a Netherlands family visit visa applicant is retired and continues to work, SGK should provide additional support premium payments.

The last 3 months payroll must be signed.

  • SGK Declaration of Employment

You must provide a photocopy of your employment statement from the company you work for.

  • Business arrangement

If you aren't an employee of SGK, a notarized work contract proving the cooperation between you and the company you work for should be submitted.  

For employers;

  • Trade registration

A legible photocopy of the register certificate containing the information of the company title and whether the applicant is the founder or partner must be submitted.

  • Chamber of Commerce registration

A copy of the activity document to be obtained from the chamber of commerce in which the company is registered must be submitted. Professional registration mustn't be older than 6 months.

  • Signature Circulars
  • Current Tax Sheet

A copy of the current tax plate for the last one year must be submitted.

For government agency personnel;

Permission letter from the company he/ she work for

For the farmer;

Registration of the Chamber of Agriculture, document if any of the cultivated agricultural area and soil.

For the retired;

Retiring certificate or pension bankpass

For the student;

Students original document showing that the applicant is a student in a school in Turkey. Students who are required to attend must obtain a permit from the school if they are traveling outside of public holidays.

The person who will cover all the travel expenses of the students should submit all their professional and income documents as if applying for a visa. In addition, he / she must sign the guarantee letter personally and sign it.  

For applicants who don't work;

The person who will cover the applicant's all travel expenses must submit all professional and income documents as he/ she applying for a visa for her /himself. In addition, he / she must sign the guarantee letter personally and sign it.

For Housewives;

A copy of the population register proving the kinship relationship of the person who will cover the applicant's expenses must be submitted. Sponsor should submit documents stating his / her job status, fixed income and additional income as if applying for a visa. It must also provide a letter of guarantee that it will cover all costs.

For foreigners;

Photocopy of the Turkey residence permit must be submitted.

Attention! The documents prepared in accordance with the specified directives in all vocational groups will increase the chances of your application to be concluded without delay. However, even if the documents are submitted in full, the Netherlands Embassy and the Netherlands Consulate have the authority to evaluate and finalize visa applications.

For applicants under 18 years of age;

For applications under the age of 18, the following documents must be submitted in addition to the mandatory documents:

The visa application form for travel to the Netherlands must be signed by both parents or legal guardian. If the applicant is under the protection of only one of the parents, the document showing this requirement should be submitted.

The consent signed by the applicant and both parents must be submitted. Consent must be notarized. If one of the parents will accompany the child during his /her travel, a consent form signed by the other parent and certified by the notary must be attached. For applicants under 18 years of age, additional documents showing the legal guardian (a copy of the identity card and a full sample of population registration must be submitted.)

How many days does Netherlands visa Results?

Netherlands Schengen visas result in an average of 7 to 15 business days. This time doesn't cover the consular official holidays and  foreign passport holder applicants. In addition, it may take longer for the visa application process of the inhabitants outside the jurisdiction of the General Consulate of the Netherlands to be finalized.
