London, UK – March 28, 2023 – Egencia , the only proven B2B travel tech platform, and part of American Express Global Business Travel (Amex GBT), announced new enhancements to its guest traveller features, which provide temporary users or non-profiled travellers with a complete managed travel experience including easy self-service booking and 24/7 emergency support. Invited travellers are now empowered to choose travel options easily and quickly, and companies can get even greater visibility and better policy compliance for these trips.

Bookings made by arrangers for guests and other travellers increased to 33% in 2022 compared to 26% in 2019. With improved self-service features for guest travellers and flexible configuration based on the type of guest, travel arrangers will have more time to focus on other business priorities and less time manually managing non-employee travel.

The Egencia platform offers many benefits for arrangers or guest users:

To make the booking experience more seamless, we’ve designed a self-service experience to make it even easier and convenient for companies to book travel for their invited guests.”   Through a pilot in North America and Europe, 20 customers helped influence the new features that are designed to alleviate some of the challenges linked to increased volumes of guest bookings, trip tracking and invitation configuration.   • Visual dashboards that allow you to easily spot trends and savings opportunities – regular reviews might reveal new high traffic air routes that represent an opportunity to negotiate discounts, upgrades, or amenities with a particular airline or a hotel chain and car rental provider your employees are favoring.
  • The ability to drill down into specific data points – more details often reveal more insights, like being able to see who is booking flights out of policy most often, and how.
  • The ability to take action on insights by customizing travel policy for traveler groups. For instance, let’s say you uncover the fact that the travelers who are booking out of policy – by booking business class on certain flights – are the ones who travel significantly more than others. You should be able to create a group for those travelers and include policy exceptions to suit their travel arrangements. For example, setting a higher per diem or allowing a higher class of service on long-haul flights after having flown a certain number of miles are a few exceptions you can indicate.

Add a traveler in egencia.

A Stanford travel arranger can log into Egencia and add the traveler via the " Arrange and Approve " section under profile settings. Under profile settings there will be a " Manage " feature the arranger can click on to add the traveler's name. The traveler will then get an email request to add the arranger to their account. Below are screenshots for additional guidance.

Before You Start

You must be able to arrange travel in Egencia to become someone else's Travel Arranger. You can check under User Associations. If your role is not Arranger please submit a request to the Stanford Travel Team .

Log in to your Stanford Egencia account

  • Log in to your Egencia profile. All faculty, staff and students have an Egencia profile. If you are unable to log in, please submit a Get Assistance with a Travel Profile Support Request. 
  • Navigate to View Profile
