The Essential Guide to Controlling Business Travel Costs

deem travel software

“Cost is a major factor for travel sourcing managers. The challenge for travel procurement is to balance cost control without negatively impacting the traveler experience or traveler safety.”

  • Encourage savings
  • Maintain negotiated rates
  • Address travel loyalty programs
  • Recoup unused airline tickets
  • Build fewer sites: Single Site Builder
  • What does sustainability mean in technology?
  • Increase adoption

1. Encourage savings

Travel and expense management is never easy. Prices for flights change continually and rapidly. To help you get the best prices despite airfare volatility, Deem uses Google ITA search for flights. ITA software was built specifically to address the issue of finding the best prices for flights . Travelers are savvy shoppers when it comes to booking trips. Deem offers filters to help them shop smarter for their travel needs. Can they fly into any of the multiple airports in their destination city? Travel managers can determine whether alternate airports should be considered as part of the lowest fare measure. Deem's custom alternate airports feature can make it even easier: If they need to be between two major cities, Deem can be configured to show flight options for both cities so travelers don’t have to do another search to compare flights and prices. Or, can they add a stop on one or more segments? Travelers know these details can help them reduce costs and Deem has lots of ways to help them stay within your company’s budget.

  • Technology-first: By making use of an easy, intuitive tool like Deem, companies save significantly by not having travelers need to call an agent for help, which can be much more expensive. Travelers can book and manage nearly everything about their trips themselves, through desktop or mobile devices.
  • Pre-trip approvals: Travel managers can choose to make all trips actionable or only receive notifications on trips. Settings can be more or less restricted, helping manage trips in the way that best fits your needs.
  • Policy controls: Deem’s flexibility means that policy controls can also be expanded or restricted as needed, using our single site builder functionality. Policy controls can vary by user type and even by route.

2. Maintain negotiated rates

Most travel managers are familiar with negotiating rates with suppliers to keep costs low. But being successful with obtaining and maintaining discounted rates requires some action on your part: you’ve got to have travelers adopt your company’s program and preferred partners. When they do, travel managers get better data and can negotiate better rates. Here’s how Deem helps:

deem travel software

  • User experience: Deem was created using a human-centered design approach . This makes Deem intuitive to use, and as easy (or easier!) than many consumer apps travelers use in their personal lives. In fact, Deem routinely wins awards for its user experience. Because Deem feels familiar, looks beautiful, and is robust enough to book and manage even complex trips, travelers want to use Deem . So they’re happy to stay on platform.
  • Content sources: Travel managers can provide travelers more options when they can include preferred vendors, Southwest Direct Access (SDA) and low-cost carriers, and Booking.com into their programs. So if travelers need that one hotel near corporate headquarters that’s only available through Booking.com, for example, they can still get there through Deem. It’s all in one platform for them.

deem travel software

  • Policy indicators: Deem uses visual indicators to help guide travelers to stay in policy. These nudges include use of color, as in EcoCheck , where selecting a flight with fewer carbon emissions results in bright green and white images, or dull gray for flights with more CO2 emissions. Visual indicators also include dynamic site messaging (DSM) , a powerful and contextual way to identify the benefits of booking with preferred suppliers showing in their search results. If travelers select flights that aren’t in policy, Deem will identify that choice as out of policy and also recommend alternate options that are within policy.

3. Address travel loyalty programs

Travelers often want to book directly with suppliers so they can collect points to apply to upgrades. When travelers book directly your market share commitments are not met, even if travelers book your preferred airlines. This jeopardizes your ability to maintain or increase company discounts. This can also mean travelers spend more than necessary when they book their travel. It can even drive them off platform entirely, costing travel managers visibility and control of spending. But Deem stores all of your travelers’ loyalty memberships and applies them to trips. This makes it even easier for your team—they don’t have to search for long rewards numbers or worry about incorrect manual entries that might cost them points. Travelers always keep their rewards and travel managers get better compliance .

deem travel software

4. Recoup unused airline tickets

The pandemic caused a deluge of unused tickets. Airlines allowed companies to recover the cost, but companies can lose out when unused tickets are difficult to track. Enter Automatic Ticket Exchange in Deem. Other platforms require travelers to call their TMC to use those credits. That typically translates into higher fares plus higher transaction fees. But Deem lets travelers know if they have unused tickets as they’re booking their trips and automatically applies the credit to the new trip only when it can be used for the new itinerary. Travelers don’t have to make any extra effort and the company potentially saves millions of dollars per year.

  • Reveal more ground travel expenses

5. Reveal more ground travel expenses

Today, when travelers book directly with ground suppliers, the expense is hidden until after the money is spent and after the travel manager gets their data. Now throw in last-minute ride hailing expenses, and you’re creating a complex arena for travel expenses that can potentially be time consuming and frustrating to unravel. And that’s for each traveler in your program. For companies with mature travel programs, especially, ground travel is a top area to examine to uncover savings . Ride hail was the most expensed item in business travel in 2019. It’s a popular and often efficient mobility option, but it stays hidden from travel managers until after the trip is completed and expensed. Deem brings this mobility demand to light with a first-of-its-kind travel platform integration with Uber for Business . Now travel managers can better track spending and traveler mobility needs . Not to mention provide better duty of care, knowing where and when travelers are in a private vehicle.

deem travel software

5. Build fewer sites: Single Site Builder

Travel programs can get very complex and Deem’s competitors are built to make companies build and pay for separate sites around many different business rules, including user group/type, integrating unique content, policy, payment, messaging, custom fields, and more. We believe travel technology should work for you and make your job as uncomplicated as possible. So, Deem’s site structure allows you to build everything on a single site . This means you’ll avoid the costly implementation and maintenance fees of supporting multiple, independent booking environments.

deem travel software

6. What does sustainability mean in technology?

Corporate finances are already being impacted by sustainability measures, leaving travel managers with even more new challenges, that is, both providing sustainable options for travelers as well as managing regulatory compliance as it keeps evolving. One of the best ways to optimize travel procurement is by “integrating sustainability and responsible sourcing metrics,” according to the IDC study . That same report also shows that “more than 80% [of survey participants] feel that incorporating responsible source principles will have a significant impact on procurement, including travel content and travel service providers.” So, how can travel managers balance sustainability goals with procurement goals ? By starting with EcoCheck , the feature in the Deem travel management software that provides carbon emissions data where travelers need it most—right in the app as they’re booking trips.

deem travel software

7. Increase adoption

Travelers prefer consumer booking platforms—they’re fast, intuitive to use, and consumers sometimes believe they can get better prices. They also see all trip results, with no one prioritizing suppliers or options based on unknown-to-them biases. But when travelers go off-platform, duty of care is harder or impossible to provide because you don’t know where travelers are. This is why we made Deem a traveler-centric booking platform . When travelers get the information and features they need combined with the beautiful and intuitive platform they want, they have less reason to go off platform and travel managers get higher adoption rates.

The few negative reviews mentioned some technical issues with time outs and expense logging as shortcomings.

On the App Store , the platform received a 4.8-star rating, with users praising the speed and efficiency of the application. Reviewers enjoyed the travel stats and safety ratings, although some users complained about the application crashing.

Deem does not readily disclose its pricing online. Interested users should contact the company by phone or email for a quote.

Deem vs. SAP Concur:

Both SAP Concur and Deem cater to a global market and feature a range of third-party integrations to streamline the processes involved with business trips. Neither platform discloses its pricing online, but users benefit from a 15-day free trial of SAP Concur's software – a feature that Deem lacks. SAP Concur also offers 24/7 customer support.

Deem vs. tripactions:.

Neither TripActions nor Deem offer a free trial, but the former stands out as the more affordable option thanks to its free version. Great OBT with innovative features for end-users, but confusing admin dashboard

Great tool ! Capabilities to configure private fares are extensive and continuously improved at record speed. High customer satisfaction as well.

Requires little to no training for end users thanks to a great help feature which guides users along. Hotel location safety check, sharing flight options via email from search results, great app, etc. ! Very quick to implement industry required changes (e.g. adding country of issuance to KTN field).

Unfortunately it is not intuitive. The fact that e.g. adding a ghost card to the site requires you to go to at least 4 different places does not make sense. Steps are easily missed. After adding it at the first place a pop up warning should appear, stating that it's not live and where to go next. The ability to clone private rates to other already existing Deem sites is lacking. For TMCs with a lot of airline agreements it is tough to manage.

I loved being able to book, modify and easily cancel and rebook my trip with Deem. It was great and I didn’t run into any issues. I loved how simple it was and the process was very easy.

Just five months after Travelport announced the acquisition of Deem, the global technology company has confirmed the corporate booking tool’s integration with Travelport+

LANGLEY UK, August 8, 2023 – Travelport , a global technology company that powers travel bookings for hundreds of thousands of suppliers worldwide, today confirmed the integration with Deem , a leading corporate travel management platform, with Travelport+. The announcement comes just months after Travelport publicized the game-changing acquisition, a move intended to fulfill a growing need for a tight, fully-integrated tool that provides access and end-to-end servicing of all multi-source content, including NDC.

“Business travelers want, and deserve, the same modern retailing experience as leisure travelers,” said John Elieson, COO and Deputy CEO of Travelport . “When Travelport announced the acquisition of Deem in March, it was with the intention of providing the corporate travel world with award-winning, complementary tools that are as revolutionary, modern, and easy-to-use as Travelport+. We’ve not only delivered on that promise, but are proud to confirm the integration of the Deem and Travelport+ platforms.”

Together, Deem and Travelport are modernizing the corporate travel experience. Travel management companies (TMCs), corporations and their travelers that utilize Deem and Travelport+ will be able to access a wide range of rich and relevant content, all in one place, enhanced by the Content Curation Layer (CCL). This Travelport+ feature uses powerful artificial intelligence (AI) and machine-learning (ML) capabilities to provide agents and travelers a more modern retailing experience with faster search responses, more pertinent results, and greater accuracy. When seamlessly integrated with Deem’s award-winning, modern user interface, this will allow travelers to stay within their corporate policies while ensuring bookings (including NDC) are fully serviceable.

In the 150 days since the acquisition, Deem has continued to thrive, with notable moments such as:

  • Being named a Champion in Software Reviews 2023 Travel Management Emotional Footprint Awards
  • Expanding to support global customers in more than 60 countries
  • Achieving a net score of 9.5 in a customer satisfaction survey, a nearly two-point lead ahead of industry standards
  • Receiving the highest CX score (9.7) of all corporate booking tools
  • Rebranding the Etta platform to the company’s namesake, Deem, to increase clarity and unite products under a single iconic name that has become synonymous with innovation in corporate retailing
  • Winning a Stevie Award for its Diversity and Inclusion campaign

When looking towards the immediate future, Travelport has big plans for the GDS-agnostic tool. In 2024 alone, Travelport expects Deem to:

  • Accelerate its international expansion, doubling its global footprint with a focus first in EMEA, followed by APAC
  • Evolve the user interface to continue to revolutionize the corporate travel retailing experience and deepen the industry-leading gap that Deem already has in front of its competitors
  • Implement enhanced emissions data, which is already available on Travelport+

“We’ve heard our corporate customers and there are two key things that they need,” Elieson continued. “First, they want a one-stop shop for all content through a single tool. And, just as important, they want ease of traveler servicing, meaning the content needs to be the same as what their TMC partner sees. By combining traveler-first, human-centric design with a best-in-class user experience, we’ve brought the ease and enjoyment of booking leisure trips to business travel. Making that content both accessible to and easily managed by their TMC partner ensures travelers are covered, even when you factor in new products only available through NDC or other content sources.”

Oakland, Calif., Feb. 23, 2021 (GLOBE NEWSWIRE) -- Deem, a leading mobile and cloud technology provider for the corporate travel industry, announced at its Miles Ahead Virtual Summit today the launch of its new business travel management software. Called Etta, an acronym for Easier To Travel Anywhere, the new software platform presents a sleek, intuitive design in which travelers can search, book and manage every part of their trip. For businesses, Etta features customizable policy integration that can help drive savings, and incorporates data from any expense platform through Open Expense Alliance.

“Business travelers want a more consumer-like experience because those platforms are easier to navigate and available as mobile apps,” said Deem President David Grace. “Travel managers and other business leaders want their travelers to adopt the platform they’ve chosen so they can manage costs and provide duty of care. We created the best for both worlds in Etta.”

“We all know how important our mobile devices are, and our data show an increase in the number of travel bookings made via mobile devices,” said Neil Markey, chief information officer at Deem. “We’ve paid strict attention to creating a mobile app that has the user experience and functionality travelers can rely on.”

What is Etta?

Etta is a fast and reliable travel search, booking and management software platform for business travelers. Its consultative approach to integration means it designs and builds policy programs that are customized to control spending and drive savings. It’s also intuitive to use and beautifully designed, so travelers are eager to adopt it for booking their trips.

Available both on desktop and as an iOS mobile app, Etta includes personalization features, such as applying traveler preferences and loyalty memberships. Deem’s innovative Travel SafetyCheck (available at launch on desktop and web app) presents hotel neighborhood safety scores as well as current and historical COVID-19 caseloads in the selected area. Armed with this information during the booking process, travelers are empowered to make the best choices for themselves and their companies.

Etta provides business travelers an effortless and modern experience. They’ll have the freedom to search for and book the flights, hotels and ground transportation they want within their company’s travel policy. Rather than facing problems when it’s too late, that is, after the trip, Etta prevents the wrong items from being booked in the first place.

Who is Etta for?

Etta is for anyone managing their company’s travel policy, including travel managers, finance and revenue professionals, and human resources leaders. Whether they’re serving at large enterprises or small and medium businesses (SMBs), company leaders want travelers to stay on platform and book in policy so they can control and accurately forecast costs as well as provide duty of care to travelers.

Travel management companies (TMCs) can use Etta to differentiate themselves by offering a best-in-class online booking solution to their customers. TMCs using Deem’s Rise product will see the name and design change to Etta Go, and will also be able to use the Etta mobile app.

Etta is also for business travelers who want to spend more time being productive during their trip and less time managing trip details. Its full functionality lets travelers plan, modify and cancel trips all within the mobile app, anywhere they go. The app, designed with a mobile-first approach for the best mobile user experience possible, also makes intelligent suggestions based on traveler preferences, to make it easy to create productive trips that are also enjoyable.

Etta’s Features

Wrapped into Etta’s remarkable user experience are powerful automation features:

Automated Ticket Exchange: A powerful tool that completely automates the application of unused tickets to a new trip by flagging their availability and dynamically calculating their value during the shopping experience. Travelers are prompted to use aging tickets by flagging airlines in the new trip booking process, and the system automatically recalculates the exchange.

Pre-Trip Approval: Deem’s comprehensive pre-trip approval and notification workflow provides the flexibility to review 100% of bookings, but only act on those that are out of policy. This eliminates time-consuming, manual approvals by implementing automated rules that target only the trip types managers want to review.

Personalization: Travelers can assign seat and meal choices on flights, add frequent flyer, hotel loyalty and other related programs, and customize notifications for assistants, co-workers and family members to keep them informed of trip details.

Support: Etta’s automated chat tool, Ask Etta, can answer traveler questions and handle issues that are more easily resolved by launching a step-by-step guided help tool or navigating travelers to a specific page to perform an action. Ask Etta is expected to be fully available in Spring, 2021.

Travel app Sēkr can plan your next road trip with its new AI tool

deem travel software

Sēkr, a startup that offers a mobile app for outdoor enthusiasts and campers, is launching a new AI tool for planning road trips. The new tool, called Copilot, is available on the startup’s updated website and app, which is used by more than 100,000 users.

The company was founded in 2016 with the goal of helping the “van life” community find campsites based on their needs, such as shower facilities, restrooms, overnight van parking or free Wi-Fi. The app also allows users to connect with fellow travelers who want to participate in outdoor activities together, like rock climbing or skiing.

After being acquired by van company Peace Vans in December 2023, the startup is under new leadership. Sēkr and Peace Vans CEO Harley Sitner was a user of the app for seven years but had noticed last year that the app had gone dormant. He learned that the founders of the startup were going to unwind the app due to the sudden shift in global fundraising climates in late 2022, despite having a strong user base. Sitner, who was a former product manager at Microsoft, was approached to acquire Sēkr in November 2023.

Fast-forward eight months, the startup is now looking to help people better plan the journeys to their destinations, while also updating the app with enhanced features that stay true to Sēkr’s original mission.

With the new AI-powered road trip planning tool, Sēkr is combining natural language processing with proprietary data from its community of users who have left reviews and ratings about specific places. Copilot also looks at publicly available data when creating road trip itineraries. The tool leverages OpenAI’s GPT, Meta’s Llama and others.

deem travel software

“For the millions of people traveling by van, car, or RV this summer, Sēkr Copilot will help you bypass hours of trip planning to quickly deliver a better itinerary,” Sitner said in a statement. “AI isn’t going to create a panoramic sunset, but it will help you overcome the notorious planner’s block, set you up for serendipitous moments, and connect you to an authentic road trip experience co-created by Sēkr’s incredible community of dedicated users.”

Copilot can be accessed via the new “Trip Planning” tab on the startup’s website or app. Once users open the tool, they will be asked to answer a series of prompts about where they’re going and what they’re looking for. The tool will then provide a travel itinerary that has editable trip legs that include camping destinations, stops for food and outdoor activities.

The idea behind Copilot is to help travelers discover unique places that they may not have known about otherwise. For instance, the tool may encourage travelers to check out a taco truck parked by the side of a dusty road in Baja that users have said offers better food than a five-star reviewed Denny’s outside of Los Angeles. Or, the tool may encourage users to explore secluded, unmarked areas in BLM (Bureau of Land Management) land that overlooks scenic views.

Sēkr is available on iOS and Android . The app’s basic features are free to use. Users can unlock premium features like, offline maps, event discount codes, and unlimited messaging and searching for $4.99 per month.

The startup previously received $2.25 million in seed funding led by Storyteller Overland, with participation from Backstage Capital, Techstars, Ad Astra Ventures, Crescent Ridge Ventures and Andy Ballester, the co-founder of GoFundMe.
